Proceedings of the Pre-bid meeting
held on 2nd January 2015 at 3.00 pm in Class No.13
Institute has floated a limited tender for installation/extension of Campus wide Network. Tender document
for the same was published on Institute website on 18.12.2014 and email/letters were sent to around 28
suppliers from Pune. As mentioned in the Tender document a pre-bid meeting was convened on 2/1/2015
at 3.00 pm in Class Room No.13 of the Institute. Following Committee members were present for the pre
bid meeting:

The representatives of the following companies attended the pre-bid meeting:

Dr. D.A. Divekar, Member welcomed the committee members and representatives of the vendors and
explained about scope of the work as mentioned in the tender document. It was also informed that in this
phase connectivity from VAMNICOM Bhavan to Godavari Hostel is planned. In subsequent phases other
locations as mentioned in the tender document shall be considered. It was also informed to the members

2. present for the meeting that if they desire they shall be taken to the location of Godavari Hostel after the
meeting. Representatives raised their queries related to the Tender Document and technical specifications
of items mentioned therein.
The queries raised by the vendor representatives were clarified by Committee and summarized as below:
A. Query - Date for tender submission and opening of technical bid
Clarification - Based upon request received from representative of vendors, it has been decided to
extend the last date for submission of tenders from earlier mentioned 8/1/2015 to 22/1/2015 by
1600 Hrs. Technical bids shall be opened on 22/1/2015 at 1630 Hrs.
B. Query - Proof of company's existence for over 5 years
Clarification - Committee noted that there could be possibility of forming a subsidiary unit or a
separate unit by the interested bidder in recent past. In such instances Bidder needs to provide
documentary evidence for existence of parent unit or subsidiary unit for the desired period.
C. Query - Whether to quote for items where quantity is mentioned as 0
Clarification - It was informed that bill of material was prepared taking into consideration
connectivity at other locations also. As Institute has decided to take-up connectivity only from
VAMNICOM Bhavan to Godavari Hostel in this phase and therefore, those items are seen with
quantity as 0. Representatives were therefore asked to quote for items where quantity is mentioned
as 0 through separate sheet as a part of Financial Bid. Prices quoted in such sheet shall not be
considered while arriving at L1 and shall be considered purely for information purpose. Moreover, it
was made clear that quoting for such items is not mandatory at this stage.
D. Query - Depth for digging and re-surfacing
Clarifications - Cabling has to be done through roadside space with one and half feet of digging
and re-surfacing.
E. Query - Warranty period of Active and Passive components
Clarifications - All active components shall carry onsite comprehensive warranty for period of three
years and support shall be of 8 X 5 type. All passive compnents shall carry comprehensive
warranty of one year
F. The payment terms will be as follows :
50% on receipt of material and equipments in good condition
40% on successful installation and certification by external expert

3. 10% shall be released along with 40% payment as mentioned above subject to submission
of two separate bank guarantees of 10% (10% of total value of Active components for
period of 3 years and 10% of total value of Passive components for period of one year)
G. Query - Supply of 50mm HDPE / Rex pipe
Clarifications - It was informed to consider supply of 40mm HDPE / Rex pipe in place of 50mm as
mentioned in Tender document
Additional Requirement :
Bidders are requested to quote for LIU and Labour charges for Fiber Optic Cable connectivity received from
NIC to VAMNICOM. This will be required at VAMNICOM Server Room and details may be provided
through Financial Bid.

Representatives of majority of the vendors preferred to visit location of Godavari Hostel. Dr. Divekar, Mr.
Sandeep Gaikwad and Shri Nyayapathi accompanied for physical location of cabling from Computer Lab to
Godavari Hostel at Plot “B”.
