Ace Student Performance
K–12 Industry Insight Brief
Use student relationship management and
digital learning to achieve excellent marks.
Trends Driving the Profession
Digital Learning
The excuse “my dog ate my homework” won’t exist much longer now
that digital learning systems are making their way into schools across
the country. Digitizing the learning management process makes it easier
for teachers, staff, students and parents to connect through integrated
teacher websites. Plus, these systems digitally analyze students’ strengths
and weaknesses, which can help personalize teaching methods.
Student Relationship Management
Access to student data was not always efficient. Information was kept
in various locations and gaining insights from that data took time and
money away from classrooms. Student relationship management (SRM)
systems are changing that.
Often hosted in a secure cloud, SRM streamlines administrative processes
like student registration and keeps data in one secure location. If a
student switches schools, files transfer automatically. These systems
drastically cut administrative time, greatly improve efficiency and
productivity and provide secure access to confidential student data for
administrators, staff, students and parents.
Challenges You Face
Teacher Effectiveness and Productivity
Grading papers. Collecting homework. Reaching out to parents. These
tasks cut into the time a teacher spends on creative lesson planning,
tracking student progress and tailoring their teaching methods to
achieve student success.
However, until now, integrating technology and effective digital learning
strategies has been costly and often times not customized to individual
district challenges. Teacher effectiveness will prove to be more of a
challenge as many senior educators are retiring—leaving a shortage of
well-qualified teachers.
Financial Management
As local, state and federal governments cut funding to schools, districts
are challenged to do more with fewer resources—meet Common Core
standards and state mandates along with improve student performance.
Schools need to find ways to cut costs on the administrative end,
including workflow and back-office processes, to recover funds to put
back into the classroom.
Paper processes in education add up to major costs and wasted time—parents spend
hours filling out forms, administrative staff enters data manually and student records are
filed in various locations. That’s why student relationship management programs and
digital learning systems are set to be key factors in addressing these challenges effectively.

Challenges
A mid-sized school district that serves
21,000 students struggled financially and
academically. Money was short, transparency
an issue and student performance was down.
They needed a solution that would put their
focus back on student success.
Solutions
• Xerox®
Workflow Assessment Services
• Xerox®
Managed Print Services
• Xerox®
ConnectKey®
for distributive scanning
Goals
• Save over $1 million per year across
the district
• Reduce administrative burdens
• Redirect focus, time and money back into
classrooms to significantly improve
student drivers
Challenges
A public school district with nearly 60,000
students faced plummeting revenues, a bleak
financial forecast for the next five years and
state mandated student information system
compliance. Shrinking budgets due to falling
property tax revenue were in full effect for the
district. They needed to make educational
gains—and fast.
Solutions
• Xerox®
Content Management Services
• Registration Gateway by SRC, in partnership
with Xerox
Results
• Over five hours a week returned to each
teacher which can be used for lesson
planning, student evaluations and time
with students
• Total of $8 million saved since
implementation of various solutions
• Teacher Assistant Team time reduced from
over five days to 24 hours
Challenges
For West Orange Public School district, the
registration process was paper-intensive,
inefficient and costly. Once forms were
completed, often in triplicate, they were sent on
paper via interoffice mail to other departments.
During peak registration times, four registrars
were needed to handle the workload. Data
accuracy in the information system was much
lower than it should have been.
Solutions
• Registration Gateway by SRC, in partnership
with Xerox®
Results
• Average registration went from 45 minutes
to ten
• Parents only have to enter student data
once and directly online
• Registrars can add relevant student data
electronically and distribute it through
automated business rules customized for
each student
• Student data can be viewed on one
single dashboard
• Reduction in time dedicated to ensuring
data accuracy
5 Reasons Education Is Transforming
How Xerox Can Help: Success Stories
Challenges
An Amarillo, TX district with 53 campuses,
33,330 students—66.67 percent eligible for
free and reduced lunch participation—and
4,100 staff members, had limited funds and
limited IT personnel. They needed an effective
technology solution to back up student files,
allow secure access to file storage without
compromising internal network resources and
ensure 24/7 access for students and staff.
Solutions
• eBackpack®
in partnership with Xerox
Results
• Significant cost savings from moving to
electronic document management and
workflow solutions
• Teachers can electronically mark up and
grade assignments
• IT personnel have been relieved of having to
securely store student work
• Students working from district devices or
their own personal equipment can easily
access files
Challenges
With 500 students, Harris Hill Elementary
School struggled to implement Common Core
standards and process the tremendous amount
of data from the state and federal level. They
were committed to their mission and meeting
mandates while staying focused on the overall
student—not just data points.
Solutions
• Xerox®
Ignite™ Education Support System
Results
• Automatic identification of gaps, skill
struggles and patterns in each student’s
learning process
• Correlation of student data into personalized
instructional strategies
• Minimal time spent grading papers, freeing
teachers to focus on lesson planning
• Integrated implementation of and
compliance with national Common Core
learning standards
• Variety of assessment reports, including
student progress, test question results,
district-wide trends and more
Visit xerox.com/HarrisHill to watch a short video and find
out more about how Harris Hill Elementary School uses
digital learning to tailor education.
With the integration of
technology in schools and
U.S. student performance
ranking far behind other
countries, all signs point to
major changes under way
in K–12 classrooms.
63 percent of parents agree that mobile devices
can help teach problem-solving skills.2
90 percent of students believe mobile tablets
help them study more efficiently.3
