I am writing this letter to find out more about the newly launched LCD projector by your company. We happened to see your
product in operation at a recently held National conference at Pune and subsequently read a couple of your advertisement in
The Times of India, New Delhi.
4. We have gone through your website and other sources to get detailed information on the product but have not
been able to find out the exact information we are looking for.
We are a large technical institute operating in New Delhi with 700 students in various professional courses. To
make our classroom lecture delivery effective, we are in the process of installing LCD projectors in each class.
For evaluation and assessment of this product, we would like to seek your help in finding answers to the following
questions:
1. What are the limitations of your product?
2. How long it can be used on a continuous basis?
3. Can the color combination be changed on the spot?
4. What is the life time of the product?

8. E Mail Etiquette
1. No caps:
• Except for the normal use of capitals, proper nouns, to start a sentence, etc. Use Lower case as it is
considered polite and easier to read.
• Capitals are considered extremely rude in electronic media and seem like shouting in a verbal
conversation.
• Use proper fonts and avoid the colorful designs and tables
2. Signatures:
• Attach a signature to the end of each message you send via e-mail. Name of business, contact
information. Try to be simple.
3. Grammar and punctuation: Divide in paragraphs and use applicable punctuation, commas, etc. Check
spellings too.
4. Chat language and humour:
Do not use Neways, b4, or thnku, as they seem irritating in regular business e-mails. In friendship mails, all
is fine as far as the reader understands the right meaning.

Use the subject line intelligently. It should introduce the reader to the topic of the e-mail.
6. Limit the length of the message
Long messages are too tiring. The reader may not show interest.

11. BUSINESS PROPOSAL
Solicited Proposals
A solicited proposal is prepared in response to a request. The solicitation may be made face-to-face or in writing.
Solicited proposals may be internal or external. Many businesses and government agencies issue requests for
proposals. These Request for Proposals (FPF) outline a particular need or service the business or agency wants to
outsource, as well as the information they require in the proposal. Interested parties develop a proposal that
details the ability of the company to provide the service, as well as projected costs and delivery dates. The proposal
serves as a job application that competes with other applications. Stick to the structure of the RFP, as the
evaluation committee will assess your proposal on your apparent understanding of the RFP.
Unsolicited Proposals
Proposals prepared at the writer’s initiative are called unsolicited proposals. These proposals represents an
independent analysis of another’s problem or needs and the creation of possible solutions. Unsolicited proposals
may be internal or external. You can develop an unsolicited business proposal to try to convince this business that it
should hire your business. Unlike a solicited proposal where the organization has already identified the need, your
unsolicited proposal needs to demonstrate both the unidentified need and why the company should use your
business to deal with it. Unsolicited proposals should very specifically address the organization they target.

Subject: PROPOSAL TO CHANGE FACILITY-USE POLICY
UPC (Universal Publishing Company) could enhance its public image and strengthen relationships with
its employees by permitting outside groups to use the company’s meeting rooms.
Background
During a typical three-month period, UPC receives one or two requests to use its meeting rooms.
These requests come from employees, customers and representatives of the general public. In
accordance with Policy No. 102, which was enacted for financial and liability reasons, we refuse these
requests.
13. Problems
In the three-month period May 1 through July 31, we received 27 requests to use our facilities. Thirteen of these requests
came from our employees or from representatives of organizations that UPC supports through financial or in-kind
donation. The increased requests activity can be attributed, at least in part, to the fact that two popular meeting sites are
no longer available: Fire destroyed The Holy Community Center in April and Central Library began a major remodeling
project in mid-June.
Recommendation
I recommend that we make our three main-floor meeting rooms available to local groups between 6 and 10 pm weekdays
on a cost recovery basis until other facilities are again available (approximately nine months). By doing so, we will provide a
valuable public service and build on our already strong reputation in the community.
Information gathered from our insurance carrier, our maintenance manager and our security chief suggests that a Rs. 3000
per hour fee will cover our costs. If you approve this recommendation, I will issue a notice news release, notify those
whose requests have been processed that our policy has changed and draft internal procedures for your review.
