This presentation was created as part of my Business Analysis Requirements Gathering, Planning, and Managing capstone project. It explains to the fictional stakeholders of the project the feasibility of acquiring or creating software to help reduce administrative overload.
2. Introduction
Willowbrook School is experiencing a significant increase in enrollment across the
board. This has led to a high administrative load that is becoming difficult to
handle. Hiring additional staff is not possible at this time and the workload is
beginning to overwhelm current paid staff and parent volunteers.
Director Victoria Owens and Principal Kathy Gilliard have expressed interest in a
computer-based solution to the increased workload.
This presentation describes the results of an investigation into the feasibility of
acquiring or creating software to help Willowbrook’s staff.
3. This project will improve

4. Goals and Objectives
• To develop an information system (software) to ease the administrative
workload of Willowbrook School.
• This goal can be achieved by:
Looking at the current strategy and seeing how it needs to adapt or change;
Identifying any issues in the business that may affect the project, positively or
negatively; and
Developing a plan to keep the new system efficient and effective into the future.
5. Key Issues
• Near term
The increase in enrollment is increasing the amount of work required;
The current system is a mix of paper-based and electronic and the possibility of errors
while working between the two is increasing;
Replacing the current system will ease the workload and reduce the likelihood of
mistakes in enrollment, after-care registration, and billing.
• Long term
The amount of work will increase and become more difficult to manage without a
centralized system;
The longer the current system is in use the costlier and more difficult it will be to replace
in future.
• Replacing the existing systems with a single, computer-based one requires
sufficient funding to cover the costs of staff, development, hardware, and
training.
7. Risks and Rewards
All projects include risks. Risks facing Willowbrook’s proposed project are:
Insufficient funding;
Exceeding cost and time budgets;
An incomplete or insufficiently detailed project plan.
Project planning includes strategies for handling these risks if they arise.
The potential rewards from Willowbrook’s project include:
Reducing the need for other staff members to assist administrative staff, freeing them
for other duties;
Increasing effectiveness and efficiency;
Lowering the risk of errors;
Removing the need to hire additional administrative staff;
Improving staff morale.
