SUMMARY OF DUTIES
Andrea Williams
I compile monthly reports and special reports that are requested by administration, pull reports daily from Offendertrak for monthly tasks,
help maintain files, draft memos, schedule meetings/events, notify fellow employees of any information that needs to be passed on, make orders for
the department, sort incoming and outgoing mail, answer phone calls from outside agencies and from people associated with offenders such as their
family members with issues that they may have. During my daily duties I also speak with Offender family members in regards to problems or
questions they may have about their family member and the current situation that they are in and help them if possible or direct them to someone
that could possibly help them. I have also acted as a liaison to local, state, and federal law enforcement officials and to all other departments within
the facility concerning Offenders behavior or for any other information regarding the Offender and to child services and courts for teleconferences
with offenders. I help ensure that my department is in compliance with the American Correctional Association (ACA) standards and policies.
During my daily duties I also speak with Offenders family members in regards to problems or questions they may have about their family member
and the current situation that they are in and help them if possible or direct them to someone that could possibly help them.
Provides direct clerical support to Area II Offender Services and the Associate Warden. I draft training rosters, filing system for
departmental documents, operate various office equipment such as computers, copiers, type writers, fax machine and scanners. Also, requests
maintenance from appropriate departments when needed, train new employee to proficiently, and operate Offendertrak database. I conduct,
organize, and schedule time to train new employees for job duties and computer databases, organize training material for new hire to utilize as
they learn duties and other job functions. Assists in ordering office and janitorial supplies, answers telephone professionally, and routes calls to
necessary person or department. I place in-house and local outgoing and long distance calls as required, retrieve and deliver mail to appropriate
person within the department and routes outgoing mail correctly to ensure delivery to proper destination. I make arrangements and keep
calendars for meetings and notify participants in a timely manner. I clerically assist with intake procedures for Area II by creating sign-in logs and
Red Tags for each offender. I complete mass movements and transfer requests to move offenders working closely with the inmate locator to ensure
accurate bed availability within the facility, gather working files, and routes them to appropriate personnel, department or location and completes
necessary tracking documentation. I Supervise departmental inmate workers as well as offenders that have been called to the back administration.
Assists in compiling monthly reports and distributes to appropriate staff when necessary; prepare interview paperwork and letters for open
positions within department.
