Rules of the Road
• Staffing Templates are based on your budgeted staffing plan
• Which isn’t necessarily the same as staffing for capacity
• Different days of the week can have different targets, based on your trended
staffing patterns
• For Reporting there must be a staffing template with a DEEN coverage set
• Staffing Templates must be applied to a schedule period prior to the
opening of self scheduling (more on templates and self scheduling later)
• Templates need updating whenever staffing targets change – fiscal year,
opening additional beds, etc
• Templates need updating whenever staffing roles change -- ie, if you add
a resource nurse need, you need a new profile and a new template
• All roles should have a profile – CH, NSE, (specialty NSE) NA, HUC, PPE,
etc
• Updated Templates must be applied to any schedule period (current or
future) that has previously had a template applied – it won’t update the
future automatically
Two Types of Templates
• Staffing Template is by Coverage
Period DEEN
• Core Staffing Template is by
Activity Code
Updating the Template
• Since this is done rarely, most units email our team to
update templates for them
• Julia Bambach, Rushdee Omar or
apiresroucegroup@duke.edu
BUT
• Some have asked if they can update it themselves,
and yes, you do have access to do it yourself
How to Update the Template
• Configuration>Scheduling>Staffi
ng Template (or Core Staffing
Template)
• Search for your facility and dept
• If more than one template, you
most likely want the default
• Open the Yellow Folder
• On left side of screen, click
Details
How to Update the Staffing Template
• Change the numbers in the grid,
as appropriate
• The SAVE icon is in the far
bottom right of the screen
If you update the Core Template…
Be sure to click the Copy to Staffing Template button –
The Staffing Template (not the core staffing template) is
used for reporting.
How to Update the Staffing Template
• Last Step
• Open the schedule and Reapply
the template
• You will have to do this for all
future schedules that already
have the old template applied
• If you did a core staffing
template reapply BOTH the core
staffing template and staffing
template
Updating specific days (not permanent)
• Under Apply Staffing Template
(or Core Staffing Template) is
Open (Core) Staffing Plan.

Editor's Notes

  1. Different coverage set views (such as DN) can be applied on the main scheduled screen, Current Staffing Overview Screen, and some roster reports When departments have applied templates way in advance, they often forget when they need to apply new ones for self scheduling – then the helpdesk gets calls from folks saying they can’t self schedule. So, if you’ve applied templates onto future schedules, put a reminder in your calendar to let you know when to start again. Patient Attendants (ie, Sitters) don’t need to be on templates because you don’t have to have them every shift. They will always show as blue – over staffed – on your templates.
  2. Core Staffing Templates are designed for areas that have many staggered start and end times – such as EDs, ORs, PACUs, SDS, or even clinics. That said, an inpatient unit can set up a CORE Staffing template in additional to the Staffing Template (needed for reporting) BUT you can not allow self scheduling overstaffing with a CORE Template AND you have options to change your view to different coverage periods on the main schedule, current staffing overview screen, and roster reports, so it may not be worth it.
  3. Since this is not a common happening, it is also fine to ask one of our team to do this for you. But we are often asked if “I can do this myself”, and the answer is yes
  4. That save button is sneaky in its position and easy to miss. Be sure to SAVE.
  5. Keep opening new schedules and reapplying until the new correct template auto-fills. Note: If you ever open a new schedule and the numbers seem wrong, you can also reapply your staffing template to see if that corrects them.
  6. Why would you do this? Maybe beds are scheduled to be closed for maintenance/renovation and thus your census will be lower Known down time for surgeries (docs at a conference) Holidays Unexpected change in volume (up or down) Other ideas? It keeps data more accurate! Helps Float Pool, OAs and other involved in staffing make better staffing decisions on assignments and floats.
