3. 1. Introduction
setters has a need for a comprehensive sales resource centre within the dashboard that requires
more functionality than the current file system.
No other option (CRM-only, Sharepoint-only, etc) is sufficient or does what is required, so a new
dashboard section needs to be built.
The Sales Resource Centre (SRC) dashboard section needs to cover a number of options, which are
outlined below.
2. Sales Resource Centre: The Main Dashboard
The SRC main dashboard should look and act as much as possible like a normal file resource system,
with functionality for searching, adding categories and file tags, and using time stamps.
When first loaded, the SRC should appear as follows:
We are presented with large buttons (in setters colours) that split the available files by file type:
- PowerPoint
- PDF
- Excel
- Word
- Videos/Animations
Clicking any of these buttons will take the user to a list of files. Here is an example of the PowerPoint
files section:
4. Each document has a large icon and the filename is displayed below its icon.
Note the files are listed alphabetically. Full file names are visible and should not be truncated.
Above the icon list should be a breadcrumb option to let the user return to the previous page.
When an icon or filename is clicked, it takes the user to a download or share page:
3. Share page
The share page makes use of a slideshare.net
style presentation screen for suitable
filetypes (PowerPoint files, video files, etc), or
a “no preview available” option for other
filetypes (Excel and so on).
5. Note the inclusion of a padlock icon on the right of the title: a closed red padlock if the file is locked
for distribution, or an open green padlock if it is publicly available / unlocked (more on this below).
Locked files cannot be downloaded but they can be shared. Unlocked files can be shared OR
downloaded locally.
The fields on this share screen are:
- Public Link
- Message to Recipient(s)
- Link Expiry
- Send to
3.1. Public Link
This is an auto-generated link for this particular share (a document can be shared more than once;
each time it is shared the link will be unique). The link should generate a complex alpha-numeric URL
that cannot easily be replicated or cracked.
On the right of the field is a copy link icon. This link is where the recipient of the shared document
will go on the safesetters website to view the file. If the user doesn’t want to send the notification
through the system but would rather copy the link, they can do so here.
3.2. Message to Recipient(s)
This is a free-text field where the user can add a personal note or message to the recipients of the
file. It will be included in the generated email that the recipients receive.
3.3. Link Expiry field
The link that is auto-generated above needs to expire after a pre-selected period of time. Once the
link has expired, the file will no longer be available to view unless it is shared again with a newly
generated link.
Therefore, this drop-down list should include the following
options:

6. 3.4. Send To
The send to field is for the user to enter one or more email addresses of the recipients of the file
being shared. Email addresses should be separated by a comma or semi-colon, whichever is easiest
for the system to recognise.
When the SHARE button is pressed, each recipient will receive an email from safesetters in the
following format:
It should be sent from a generic setters email address.
7. 4. Locked / Unlocked documents
A locked document displays a red closed padlock and offers only a SHARE or CANCEL button.
Locked files are any video file (.mp4, .mov, .avi and so on).
An unlocked document displays a green open padlock and offers SHARE and CANCEL buttons as well
as an option to DOWNLOAD the file to the user’s local machine.
Unlocked files are any file that is not a video (i.e., .docx, .xlsx, .pdf, .pptx and so on).
5. Shared File – Frontend
When a recipient clicks the link for the shared file, they are taken to a page on safesetters.com with
the following style:
It will show the embedded slideshare.net style presentation screen for suitable documents (PPT,
Video), or a download option for incompatible files (Doc, Excel, etc):
8. 6. Shared File – Frontend: Expired
When a link has reached its expiry time (i.e., if someone selected an expiry of 5 days, after 5 days the
file is no longer available).
The webpage URL is still accessible, but the file is not offered for preview or download.
Instead, the recipient sees the following:
The link/page remains active, but the file associated with that shared link is no longer available to
the recipient(s).
If the file is shared again, it will be done in the same way, through the system, with a new auto-
generated link.
