1. Responsibilities:
- Preparation and processing of monthly and annual journals.
- Processing of monthly invoicing.
- Creating of Customer, Supplier and General Ledger accounts.
- Replying to customer correspondence (e-mails etc.)
- Follow up through investigation with suppliers' accounts receivable department all
reconciling and disputed items, ensuring no outstanding items.
- Process bank statements by importing CSV file to SAP via smart bank.
- Reconciliation of Cash books to Bank Statements etc.
- Liaise with banks to resolve any queries.
- Ensuring correct allocation of payments to prevent over payment, duplication.
- Review general ledger accounts and transactions for appropriateness and ensure
accuracy of transactions processed is maintained.
- Reconciliation and preparation of the VAT returns on a monthly basis.
- Reconciliation of Supplier invoices to Supplier Statements.
- Take maximum advantage of creditors payment terms and monitor compliance
with all administration control policies.
- Ensure correctness of VAT payment and all VAT transactions.
- Ensure supplier tax invoices adhere to SARS requirements, and have been issued
as per agreement.
- Authorize and validate petty cash.
- Process Credit notes and Debit notes.
- Managing cash book, fixed asset registers and month end accounts.
- Ensure prompt creditors payments.
- Ensure that all monthly reconciliation is completed accurately and timorously in
order to investigate whether necessary
adjustments need to be processed.
- Prepare budget and financial forecasts.
- Allocate, tag and track assets.
- Ensure all revenue journals (counter sales) are passed and approved.
- Record , allocate and process all inter-divisional/departmental transfers
- Managing project cost allocations, purchase orders, etc. while ensuring that all
figures are correct.
- Managing selling price allocations, invoices, sales orders etc while ensuring that
all figures are correct.(discount structures etc)
- Ensure that all costs are accounted for – double checking that all entries are
accounted for.
- Collating and finalizing the checking of Travel & Expenses.
- Provide support with regards to the implementing of an information management
system:
Compiling monthly financial reports accurately
Compiling Purchases breakdown report (Cell C, Vodacom, MTN, Neotel, 8ta etc)
Compiling quarterly reports
Compiling Purchases report
2. Compiling sales report
Analyzing, interpreting and presenting monthly results and financial ratios
- Validate all creditors’ reconciliation’s.
- Advice Staff on preparation of year end accounts.
- Monitor compliance with standard company credit terms and review all bad debt
risks and major accounts.
- Ensure expenses are approved and allocated to correct departments.
- Compiling year-end reports and liaising with auditors.
- Monthly journals, reconciliation’s, monitoring of loan accounts and investment
accounts. (fixed and daily call accounts)
- To process, capture and code all supplier and Debtors invoices onto
systems.(Account mapping etc)
- Ensure that the standard of controls in place are adhered to and monitored.
- Verify documentation, capture & attain approval for credit notes.
- Import customer invoices from server onto SAP and thereafter send to the clients.
- Opening new Debtors and creditors accounts on SAP and ensuring all terms and
conditions applied.
- All queries are followed up and resolved in the shortest possible timeframe within
policy framework.
- Internal and external customers are constantly updated as to the progress of their
payments.
- CONTINUES IMPROVEMENT PROCESSES used for 30 day large creditor
accounts.
Ad-hoc:
- Type out payroll documentation and authorize them.
- Maintain filing system.
- Put together / update Working Papers.
- Track company sales vehicle occasionally.(Tracker and Tom Tom)
- Managing all staff expenses, such as fuel and accommodation.
- Quality and Quantity control of goods received.(sign supporting documentation)
- Maintain an up to date and accurate HR filing system.
- Arranges formal disciplinary processes and hearings, and manage exit process.
