1. CASE STUDY
Orbit Medical
The Problem
Slow, Paper-Based Billing
Orbit Medical, headquartered in
Utah with regional sales offices
throughout the Midwest, is one of
the top medical equipment distrib-
utors in the country. They provide
their customers with medically
essential products like wheelchairs,
mobility aids, and in-home oxygen.
The problems arose from the stacks
of paperwork that accompany work-
ing in the medical industry.
The biggest issues included:
• Inability to bill clients quickly
or effectively
• Lack of real-time reporting
from the field techs
• Spelling errors, lost forms,
missing data, slow data capture

The Strategy
Paper Free Processing
Canvas Senior Mobile Application Consultants worked with Justin Thomas, Vice Presi-
dent at Orbit Medical, to deploy a solution that not only would improve the speed of their
invoicing process, but also help fill additional holes in their process that were costing them
money. To assist in this process, Justin worked with the actual field technicians and drivers
to collect feedback and tweak the Canvas platform until it was just right. Other use cases
that were implemented include:
• Weekly Vehicle Inspections
• Dead Stop Report (missed appointments)
• Delivery Paperwork
• Close-out Procedures Checklist (warehouse)
In total Orbit Medical has created and implemented, without any IT support, over 20+
mobile apps.
The Results
Reduced Liability
By replacing their paper delivery forms with Canvas, Orbit Medical has been able to cut
down on their medical liability across the board. With their “Dead Stop Report”, the techni-
cian now has the ability to record a GPS stamp, photo of location, and time stamp to con-
firm that their client was not home at the scheduled time of delivery. This report can serve
as evidence of attempted delivery in the case of a wrongful death lawsuit, which is all too
common in the medical industry. Justin commented that once in the past while using paper
forms, they had this exact situation occurred. He stated that “if we would have had Canvas
sooner, it probably wouldn’t have ever happened.”
Increased Billing & Filing Efficiency
With the implementation of Canvas, deliveries are now processed and invoiced in minutes,
not days. More often than not, the technician has completed his/her report and the data
has already been transferred to Orbit Medical’s internal billing and electronic medical
record(EMR) system via the Canvas API before they even leave the client’s driveway. By
eliminating manual data transfer, lost forms, and reducing billing time by over 80%, Orbit
Medical ensures they get paid on time, every time.
Total Paper Freedom
When Justin began implementing Canvas with Orbit Medical, he made it his mission to
find as many ways to use it and integrate it into their current platforms. Today, everyone
from the warehouse, to the field technicians, to regional managers use Canvas to collect
and share their data. By doing this it has allowed the corporate HQ to reduce time spent
managing paperwork by 75% and enabled them to focus on the operations that make
them money.
Orbit Medical has an initiative called “100% Canvas”. Justin Thomas explained that this pro-
grams aims to make every field process 100% paperless, and today they have achieved that
with all their drivers. “We’ve been able to tighten up so many processes that you can’t put
a dollar amount on”, stated Justin Thomas, “(Canvas) opens the mind to better processes,
things that were not possible with paper.”

Takes Just Minutes!”
