Welcome back to another edition of our BAIT Series, which aims primarily to
align business with technology. This month we would do a brief coverage on
Email Automation…
Automating Email communication channels is one of the most effective
methods for information flow in the business today. Newer technologies are
evolving which makes automation task simpler and more effective. Today, as
a strategy, the smartest companies are starting to setup automated emailing
that trigger off of a user’s actions. This is especially true, in finance /
payment related tasks or activities.
Why? Because these automated emails are timely, personalized and hyper-
relevant to the reader. As a result, they are opened more frequently and
drive your business.

An automated email is set up once and then automatically sent to a
particular individual when that person or activity meets a certain trigger as
set.
To give you an example, let’s say you are running a business and you want to
send an email to somebody when they make payment. This email will send
a “Payment Receipt” and “Thank you” mail for their payment. Now, it would
be a huge waste of your time to manually create and send an email to every
person whenever they make this payment and that too repeatedly. Instead
you could set up an automated “Thank You” email that gets sent whenever
a person sends the payment and the same is being entered or recorded in
your Financial Accounting software (like Tally or any other ERP).
That’s the beauty of automation, you can set up the email once and then as
more people continue to meet the trigger you defined, the email will
continue to be sent to them without you ever having to lift a finger. It
essentially ‘automates’ your marketing for you.
Payment Receipt & Thank You Email
This email goes out to everybody that make the payment for the product or
service they have utilised and are required to make payment. The mail could
contains some basic information about their account, purchases made and
any adjustments made towards the payment now transacted along with a
note of thanks for the payment made.
The customers are happy to receive this information and thus improves the
customer satisfaction level. It also serves as to reminder the customer on
the balance payment (if any) that needs to be accounted for.
The configuration is pretty simple. Such options are already available in
some of the Financial ERP applications. In others, some tweaking or
customisation may be required to activate the email automation, such that
once the payment entry has been entered and saved in the application, the
system will trigger an automated email, with pre-defined content, of course
populated with the customer specific detailing like customer name, product
/ service, amount.

Tips for Effective Automated Email
Automated emails that you send need to be optimized in order to be
effective. Here are a few tips & resources to help you create effective
automated email:
Informative subject lines – Even though automated email are triggered off
the recipients’ actions, they still need to have good informative subject lines
to ensure they convey the requirement information and of course get
opened.
Structure your email for scanners – Research shows people don’t read
emails word for word and instead, they scan the email looking for elements
that are of interest. So in order to get your message across you need to
make sure your automated email are structured for such scanners too.
Constant Improvement Measure – Keep aligning the contents to suit the
ever changing needs of the customer, thus to achieve customer satisfaction
by such Thank You and informative mails.

CONTENTS Welcome back to another edition of our BAIT Series, which aims primarily to align business with technology. This month we would do a brief coverage on Email Automation… Automating Email communication channels is one of the most effective methods for information flow in the business today. Newer technologies are evolving which makes automation task simpler and more effective. Today, as a strategy, the smartest companies are starting to setup automated emailing that trigger off of a user’s actions. This is especially true, in finance / payment related tasks or activities. Why? Because these automated emails are timely, personalized and hyper- relevant to the reader. As a result, they are opened more frequently and drive your business. What is Email Automation? CONTENTS Business Aligned IT (BAIT Series 16) By Samuel Raj Anbudaiyan (Technology Auditor) An automated email is set up once and then automatically sent to a particular individual when that person or activity meets a certain trigger as set. To give you an example, let’s say you are running a business and you want to send an email to somebody when they make payment. This email will send a “Payment Receipt” and “Thank you” mail for their payment. Now, it would be a huge waste of your time to manually create and send an email to every person whenever they make this payment and that too repeatedly. Instead you could set up an automated “Thank You” email that gets sent whenever a person sends the payment and the same is being entered or recorded in your Financial Accounting software (like Tally or any other ERP). That’s the beauty of automation, you can set up the email once and then as more people continue to meet the trigger you defined, the email will continue to be sent to them without you ever having to lift a finger. It essentially ‘automates’ your marketing for you. Payment Receipt & Thank You Email This email goes out to everybody that make the payment for the product or service they have utilised and are required to make payment. The mail could contains some basic information about their account, purchases made and any adjustments made towards the payment now transacted along with a note of thanks for the payment made. The customers are happy to receive this information and thus improves the customer satisfaction level. It also serves as to reminder the customer on the balance payment (if any) that needs to be accounted for. The configuration is pretty simple. Such options are already available in some of the Financial ERP applications. In others, some tweaking or customisation may be required to activate the email automation, such that once the payment entry has been entered and saved in the application, the system will trigger an automated email, with pre-defined content, of course populated with the customer specific detailing like customer name, product / service, amount.

Here are a few tips & resources to help you create effective automated email: Informative subject lines – Even though automated email are triggered off the recipients’ actions, they still need to have good informative subject lines to ensure they convey the requirement information and of course get opened. Structure your email for scanners – Research shows people don’t read emails word for word and instead, they scan the email looking for elements that are of interest. So in order to get your message across you need to make sure your automated email are structured for such scanners too. Constant Improvement Measure – Keep aligning the contents to suit the ever changing needs of the customer, thus to achieve customer satisfaction by such Thank You and informative mails.
