 Q&A
Question: How Many Email
Users Are There?
 Answer:
 According to a Radicati Group study from August 2008,
there are about 1.3 billion email users worldwide.
 That means more than one in every five persons on the
      earth use email.
 The mailboxes commanded by these millions of users
were estimated to number about 1.4 billion in 2006.

 Corporate Users
 The Radicati Group counted 516 million business email
      inboxes worldwide in 2007.

 Disclaimer! Clearly all numbers are educated guesses. Still, they
are probably more educated a guess than most of us can make! 
Question: How Many Emails
Are Sent Every Day?
 Answer:
 Statistics, extrapolations and counting by
Radicati Group from August 2008 estimate
the number of emails sent per day (in 2008)
      to be around 210 billion.
 210 billion messages per day means more
than 2 million emails are sent every second.
 About 75% to 90% of them are likely to be
      spam and viruses.
Email – A little history
 1960‘s Timesharing computers created the possibility of sending
messages to other users of that one computer
 1970‘s Ray Tomlinson updated SNDMSG (a local email program for
the TENEX OS) for the ARPANET by adding CPYNET. Told
    colleagues via ―email‖
 John Vittal created MSG which was the first program to allow for
replies to a message thus creating a conversational tool
 1975 MS and MH – MS was created when the above MSG was
ported to Unix, it was very slow and was rewritten by Bruce Borden
and called Mail Handler or MH. It became the standard UNIX mail
    program
 1977 – RFC 733 was updated to RFC 822 which first described
    domain names
 1980‘s SENDMAIL created and goes on to become most used
    SMTP server on the Internet
 Late 1980‘s – Early 1990‘s MCI Mail, Compuserve, AOL and Delphi
all connect their mail systems to the Internet
The history of @
 The Monks
 In the Middle Ages, monks published, reproduced, kept and passed on vast
        amounts of data.
 The monks' translations and transcriptions were hard work. Texts were long and
brevity a virtue. Authors abbreviated words as short — and common — as quot;adquot;.
        quot;adquot; is Latin for quot;atquot;.

 From Monks to Merchants
 In the 15th century, the '@' sign appeared again. Spanish merchants used it as an
abbreviation of the weight measure quot;arroba―.
 During the Renaissance period, people started to use '@' in the more general
sense of quot;costsquot;: quot;1 email address @ $100quot; means an email address costs USD
        100.

 From Merchants to Mail
 With the advent of the Industrial Revolution, '@' was used in bookkeeping and
that's why the inventors of email happily found it on their keyboards.
 It was Ray Tomlinson who first added @ to separate host and user name

 And Finally – A special code for @ was introduced to the Morse
    code in 2004.

 GlaxoSmithKline
 Many More!
Why?
 GlaxoSmithKline
 Cost: With Online Services, we are able to reduce our IT
operational costs by roughly 30% of what we‘re spending
now and introduce a variable cost subscription model for
these technologies that allows us to more rapidly scale or
divest our investment as necessary as we undergo a
transformational change in the pharmaceutical industry
 Voice of the Customer: Several types of user studies were
conducted and confirmed the selection of Microsoft.
 Focus: The team needed the ability to focus internal IT on
driving further innovation that differentiates GSK in the
market while offloading innovation around communication
and collaboration to Microsoft. This ensures that we can
focus on our core competencies and also that we have an
‗evergreen‘ IT strategy where the latest technologies are
always at our disposal via the cloud

 Mail Tips
 Prevent accidents
 Have you included 3000 users
 Is you mail too large
 Is your mail sent to someone out of office
 Is you mail sent to a moderated group
 Do you have permission to send to distro
      group
 Is you mail marked with RMS and have you
      accidentally included external recipients
 Works as part of OAB
Architecture
 Client access
 HA now much improved/on off site
      ○ Active Manager
 Definitive source of info about what server has active
          db
 RPC access all through MOMT
      ○ This really helps failover as clients don't really
even notice loss of service as still connected
        to CAS
Architecture
Architecture
Architecture
 Client access
     Federated sharing
      ○ Cross org and also on/off premise
      ○ Federation gateway hosted by MSFT
      ○ Doesn't require dir sync (E14 and O14)
      ○ Share side by side view of calendar
      ○ Free/Busy
      ○ Contacts
      ○ Integrates with Live Calendar
     Calendaring data more consistent
Architecture
 Mailbox
     IO reduction over E12 50%
      ○ Exchange did many small random IOs work has been
done to make this more sequential - used to be limited
        by capacity etc
 Page level correction of data base corruption due to
      disk faults
      ○ This is useful also to prevent reseeds.
      ○ Exchange can analyse changed pages and then resync
        them
 Aim for no more use of RAID - one disk one DB -
Only if 3+ copies in DAG
     Online Mailbox move
     Support 10GB mailboxes
     Streaming backups are gone
Architecture
 Mailbox
     Database level failover
      ○ 2-16 copies of data
      ○ Incremental reseed
      ○ 30 sec failover per DB
      ○ Management through exchange not clustering
      ○ Other roles allowed on the cluster - 2 node full
        HA but needs hardware NLB
      ○ Continuous replication
      ○ SCC is no more!
         No more shared storage
      ○ SGs no longer exist
      ○ DAG created anytime not preinstalled
      ○ Still Need Enterprise edition
Architecture
Architecture
 Transport
 HA improvements - redundancy (shadow copies) kept whilst
      message in transit
       ○ Works by using smtp extensions for limited overhead
 Dumpster improved so once mail replicated to all copies it is
      removed from dumpster
     Security
       ○ Disposable email addresses
       ○ Automatic mail processing based on rights management
     Message tracking
       ○ Works across different organisations - web services

 Mobility
 Block lists for types of devices
 Send SMS through the phone
     New client
       ○ First to be upgradable

  • 2. Agenda  Email Questions  History of Email  History of Exchange  Exchange Market Place  Software + Services (BPOS)  Exchange Labs  Something Exciting!  Q&A
  • 3. Question: How Many Email Users Are There?  Answer:  According to a Radicati Group study from August 2008, there are about 1.3 billion email users worldwide.  That means more than one in every five persons on the earth use email.  The mailboxes commanded by these millions of users were estimated to number about 1.4 billion in 2006.  Corporate Users  The Radicati Group counted 516 million business email inboxes worldwide in 2007.  Disclaimer! Clearly all numbers are educated guesses. Still, they are probably more educated a guess than most of us can make! 
  • 4. Question: How Many Emails Are Sent Every Day?  Answer:  Statistics, extrapolations and counting by Radicati Group from August 2008 estimate the number of emails sent per day (in 2008) to be around 210 billion.  210 billion messages per day means more than 2 million emails are sent every second.  About 75% to 90% of them are likely to be spam and viruses.
  • 5.
  • 6. Email – A little history  1960‘s Timesharing computers created the possibility of sending messages to other users of that one computer  1970‘s Ray Tomlinson updated SNDMSG (a local email program for the TENEX OS) for the ARPANET by adding CPYNET. Told colleagues via ―email‖  John Vittal created MSG which was the first program to allow for replies to a message thus creating a conversational tool  1975 MS and MH – MS was created when the above MSG was ported to Unix, it was very slow and was rewritten by Bruce Borden and called Mail Handler or MH. It became the standard UNIX mail program  1977 – RFC 733 was updated to RFC 822 which first described domain names  1980‘s SENDMAIL created and goes on to become most used SMTP server on the Internet  Late 1980‘s – Early 1990‘s MCI Mail, Compuserve, AOL and Delphi all connect their mail systems to the Internet
  • 7. The history of @  The Monks  In the Middle Ages, monks published, reproduced, kept and passed on vast amounts of data.  The monks' translations and transcriptions were hard work. Texts were long and brevity a virtue. Authors abbreviated words as short — and common — as quot;adquot;. quot;adquot; is Latin for quot;atquot;.  From Monks to Merchants  In the 15th century, the '@' sign appeared again. Spanish merchants used it as an abbreviation of the weight measure quot;arroba―.  During the Renaissance period, people started to use '@' in the more general sense of quot;costsquot;: quot;1 email address @ $100quot; means an email address costs USD 100.  From Merchants to Mail  With the advent of the Industrial Revolution, '@' was used in bookkeeping and that's why the inventors of email happily found it on their keyboards.  It was Ray Tomlinson who first added @ to separate host and user name  And Finally – A special code for @ was introduced to the Morse code in 2004.

Editor's Notes

  1. http://www.livinginternet.com/e/ei.htm
  2. The path to Microsoft Online services begins with a shopping trip to the Microsoft Online Customer Portal. We will take a look at the customer portal and I will show you how to find subscriptions to try or buy,How to add them to your shopping cartAnd we will look at ways you can manage your subscriptions.
  3. This is a screenshot of the current MOCP site. Appearances can change based on new features added over time.Customers generally only use this site to sign-up and add-change services. Details will follow in this presentation.
  4. Whether you are a large company using coexistence and migration tools or a small company with a hand full of users you can quickly setup Exchange Online. When you first sign up for a Microsoft Online subscription you are given a startup domain. The startup domain allows you to evaluate the services without needing to change your existing domain’s DNS records. When you are ready you can of course add your own domains to the Microsoft Online service. We will discuss when you should configure your domains as authoritative and when to make them act as an external relay. We will look at how Microsoft Online uses CNAME records verify domain ownership and how the service helps you setup MX records when you are ready to enable inbound messaging. You can have many domains associated with your hosted company and we will look at the role of the default domain.
  5. We can create users in Microsoft Online in a number of ways. We have discussed how you can use directory synchronization to copy users from the on premise directory to the online directory but you can also create users directly in the Administration Center Portal. -You can create individual users one at a time using the New User wizard -Or you can bulk import users into Microsoft Online using a comma separated fileThe Administration portal also allows you to create filtered user views that will help you make administration quicker and more organized. As any administrator knows many users forget their passwords and the administration center makes resetting passwords easierYou can edit user properties for individual users as well as perform bulk updates to users.Exchange Online also makes it possible to define alternate e-mail addresses for you users. When users leave your company you can reclaim their licenses by deleting the user from the Microsoft Online user list.Lets take a quick look at user management features.
  6. This is a screenshot of the MOAC site. Appearances can change based on new features added over time. The MOCP site will create an initial administrator account and password. Once you have that information, you will login to the administration center to create and manage users. The information about this site will be discussed in the Administration Center presentation.
  7. When users are create in Microsoft Online Services we give the administrator the ability to send the new user a welcome e-mail with their credentials and instructions on how to get started. The will need to change their temporary password which they can do from the My Company Portal or from the Service Client.Following the Change Password link in the Welcome email will allow the user to update their password and give them an opportunity to download the service or sign in application. The Sign In application provide a single sign on experience between services and helps users configure client applications like Outlook and Live Meeting for use with the system. The sign in application is required if you want to full integration between your Office client applications and the Microsoft Online services and features. The Company Portal give users access to web clients and web sites for the services they are assigned. For Exchange Online users can connect using Outlook and OWA and they can also connect using active sync devices. If time allows I will also show how users can take advantage of our other services like SharePoint Online and Office Live Meeting.
  8. This is a screenshot of the Microsoft Online Company Portal site. Appearances can change based on new features added over time. This site can be used to access the online services through a browser whether or not the sign in tool is installed.More information about this site will be discussed in the Accessing the Services presentation.
  9. Once you have a Microsoft Online subscription you can begin setting up the service for your users. There is more than one way you can get users onto Microsoft online and which path you choose could depend on the size and current infrastructure of you company.Microsoft Online coexistence and migration allow companies that already have active directory and perhaps Microsoft Exchange running on premise to leverage their existing infrastructure when setting up a Microsoft Online subscription.Using the Microsoft Online directory synchronization tool you can use your existing active directory to create disabled user accounts in Microsoft Online. The directory synchronization tools will then continue to synchronize your companies Microsoft Online directory with changes you make to the master on premise directory. When directory sync creates users in Microsoft Online they are disabled because they are not using any Microsoft Online licenses. You can chose to enable some users or all users with Microsoft Online licenses. This means you can move users to Microsoft Online in batches over time to help you break up the migration process.Exchange Online Service users and on premise Exchange users will continue to receive e-mails and find resources and coworkers in the global address list during coexistence and migration. When administrators are ready to bring users over to Exchange Online they can use the Microsoft Online Migration console to mange changes to mail flow and move users mailboxes to Exchange Online.Lets take a quick look at directory synchronization, coexistence and migration with Exchange Online
  10. The Hosted BlackBerry service offer includes the most requested BES features -- PIM functionality (email, calendar, contacts with GAL integration, tasks), plus device wipe and PIN reset. As with other Online services, application settings are essentially standardized across the service. Pricing is $10/user/month plus a $50/user setup fee and a $1k setup minimum.  Today's licensing model is that customers who have their own BES licenses and RIM support agreements (level Tx2 or greater) can transfer the server license information to Microsoft, add Microsoft as a named caller to the RIM support agreement, and Microsoft will run the service on their behalf using the customers' licenses. Fees are for Microsoft hosting, operations, and support. Microsoft Exchange Hosted ServicesMicrosoft Exchange Hosted Services (EHS) offers online tools to help your organization protect itself from spam and malware, satisfy retention requirements for e-discovery and compliance, encrypt data to preserve confidentiality, and maintain access to e-mail during and after emergency situations. https://www.microsoft.com/online/exchange-hosted-services.mspx

  17. What are customer telling us? When we talk to customers, they talk to us about 2 major trends: On one hand we have newer complianceregulations, stronger privacy laws, higher demand for tighter security. So customers want increased control over their IT environments. This is the type of functionality customers find today in their on-premises environments. At the same time, they want it delivered with the agility of the Web. They want speed of innovation, ease of access and ease of use that the Web provides.Microsoft software + services is designed to deliver the best of both worlds. What we provide is: A consistent user experience across delivery models, devices, or user types whether users are information workers sitting at their desks, mobile users, or occasional users of IT A common architecture and data model across deployment methods enables companies to leverage their investment in skills, tools, and solutions once regardless of the deployment choices.AD for instance is key to manage users across on-premise and online environments. What’s in it for Partners? What’s key for Microsoft partners, is that as customer demand is changing and customers are moving to these hybrid models, partners can capitalize on their existing expertise on our softwareon the customer and user experience, on the applications and functionality as well as the back-end infrastructure and extend it to Software + Services. Transition: let’s go deeper in what services we offer today for business customers:
  18. The broader Microsoft Online Services family, shown here, includes Microsoft ExchangeOnline, Microsoft Office SharePoint® Online, Microsoft Office Communications Online, and Microsoft Office Live Meeting Standard. Office Communications Online is currently available as part of the dedicated offering and a multi-tenant offering of the service will be added in early 2009.Also part of the Microsoft Online Services family is Microsoft Exchange Hosted Services, a collection of attached services for messaging that include filtering, archiving, encryption, and continuity. This session will not detail features of the services. Those details will be covered in later presentations. Most of this session focuses on how to sign up for a trial or paid subscription.
  19. Microsoft Online Services offers three options: Standard, Dedicated and Deskless worker. Today, Standard is available only in the US but in early 2009 will be available more widely. Your account manager can provide you with the latest roadmap. If your business has less than 5000 seats and cost efficiency and getting up and running with the greatest possible speed is a key focus for your IT department, Standard is the right service. Standard may also be the right service if you have more than 5000 seats, unless you need advanced server features or a dedicated environment. A dedicated hardware environment requires the Dedicated service option. Due to the higher cost, the dedicated option is optimized for customers over 20,000+ seats but with a minimum of 5000 seats purchased. Deskless worker is a limited functionality offering for infrequent users that still need email and read only access to Office SharePoint Server. See the Appendix for more details.
