So what is LiveAccounts? LiveAccounts is a new online accounting solution from MYOB. It’s been designed to be really easy to use so you can get your accounts done as quickly as possible. LiveAccounts is only available online. This means you can access your accounts anytime of the day and from any computer connected to the internet. It also means you can give others access to your accounts, like us for example, so we can help you with your accounts easily. LiveAccounts can be linked to your bank accounts and credit cards so your transactions, like the payments you make and the payments you receive, are securely transferred into LiveAccounts for you. This feature alone can save you heaps of time. LiveAccounts has been specifically designed for businesses with simple needs. It’s great for sole traders, smaller businesses or those just starting out.
So what can LiveAccounts actually do? LiveAccounts can help create and email invoices, track your expenses, manage GST, track your bank accounts and transactions, manage your contacts and product a range of reports to help run your business.
So what does LiveAccounts look like? As soon as you open MYOB LiveAccounts you see a snapshot of your business. This section shows what’s changed since you last logged it. That includes any transactions that have arrived if you’ve linked your bank account. It shows any invoices that have been paid. Again, that’s only if you’ve linked your bank account. It shows any messages that have arrived.
This section gives you an update on who owes you money.
This section helps you keep track of your expenses and displays your top 5 expenses.
This section gives an update on the current balances of your bank accounts.
And this section keeps track of your GST and is constantly tracking your GST balance.
The invoicing area displays complete list of invoices. Lists status of the invoice on the right.
Creating an invoice is really simple. It’s a matter of selecting the customer, or creating them on the fly, selecting the items of the invoice, or creating it on the fly and then selecting to save the invoice as a draft or to send to the customer via post or via email.
Key points: When emailing, the invoice is automatically attached to the email as a pdf file.
Your business expenses or bills are easily recorded in MYOB LiveAccounts. The status icons in MYOB LiveAccounts clearly show who you owe money to – and which expenses are not paid, paid or are overdue. You can easily see how much you’ve spent with a supplier for the month, quarter or year with MYOB LiveAccounts. Plus there’s also a range of expense related reports to view if you want to get into the detail.
The banking area lets you keep an eye on your business bank accounts. This is where you can key in your transactions or alternatively, link your bank accounts and credit cards to LiveAccounts.
One of the key concepts within MYOB LiveAccounts is around reducing data entry. If you link your bank accounts and credit cards to LiveAccounts, your transactions are securely transferred for you. This not only cuts down on the data entry for both payments and receipts but also helps in keeping your data more accurate. LiveAccounts also includes some real smarts to help deal with those regular payments going through your business. When you link your bank accounts, any payments like car payments, loan payments, bills from regular suppliers are automatically allocated to the relevant income or expense category for you. All you’re left to do is check it over – or edit anything if you need to. LiveAccounts links to over 70 financial institutions in AU and over 30 in NZ.
The Contacts area in LiveAccounts lets you record the detail of your business contacts. You can record key information like their delivery and postal addresses, their email address, contact numbers and more. Your Contacts details, like their address, will automatically display when you create an invoice or record an expense. If you have recorded a Contacts email address, the system will provide you the option to send them their invoice by email. You can quickly see how much a customer has bought from you for the week, month, quarter or year in MYOB LiveAccounts. You can also see how much you’ve spent with any of your suppliers too. You can record specific notes about your individual Contacts to help you deliver a highly personalised service. You might like to note particular payments terms you’ve agreed, key points about discussions you’ve had or simply how they like their coffee!
