SACNAS – Society for Advancement of
Chicanos/Hispanics and Native Americans in
Science – is an inclusive organization dedicated
to fostering the success of Chicanos/Hispanics
and Native Americans, from
college students to professionals, in attaining advanced degrees, careers, and positions of
leadership in STEM.
HOW DID WE MANAGE THE CRITICAL DEADLINE:
Deb McIntosh,Assistant Director of Finance from SACNAS had a requirement for Live Captioning
their Events from October 19-24 where the Live Captioners support was totally needed for this
long duration of scheduled events that lasted for 30 hours on an average.

3. This inquiry was made at the last minute but our
Scheduling team and Sales team made sure the technical
arrangements were done successfully without any
conflict.
LIVE CAPTIONING IN
EVENTFINITY-VIRTUAL EVENT
PLATFORM:
Deb McIntosh, had a specific requirement for Live
Captioning and we were asked to perform Real-time
Captioning in a Virtual platform Eventfinity.

4. So far at CaptioningStar we have performed Live
Captioning in different platforms like Zoom, WebEx,
GoToWebinar, Vimeo, Ringcentral and working with
Eventfinity was relatively new to the technical team. But
we never stopped, and explored this new technology
with the overall knowledge and experience we gained
so far.
We had several back to back calls before we
onboarded the Live Captioners for SACNAS
event where the first call was meant to explain
the process of Live Captioning to Deb that we
usually follow at our firm.

5. During our next call from our client they explained
the process of Eventfinity and the product
demonstration was illustrated to our technical
team.
On further discussion our technical team elucidated how we will login to Eventfinity platform and
provide Live Captioning after listening to the voice of the meeting participants.
USING STREAMTEXT HOW DID WE ACHIEVED
REAL-TIME CAPTIONS:
Since Eventfinity has no in-built facility to provide Closed Captions ,our technical team had used a
Streamtext product to handle the situation.

6. StreamText delivers the spoken word as real time captions
to virtually any platform or device with Internet access.
Using Streamtext we embed the iframe code and Live
Captions will be displayed at the bottom of the window.
We were informed by the Client to login the Eventfinity system 30 minutes prior to the event since
the platform has the limit to allow the number of participants and if the Captioner delays it, there’s a
high chance that he/she might not be able to login to Eventfinity virtual platform.
During the Trial process, the audience of SACNAS
conference were delighted with the outcome of high
quality and 99% accurate Captions.
Though the Captioners were super busy due to the prevailing situation they made sure to login well
before the time. Separate login credentials were provided to the captioners to avoid any discrepancy.

7. OUR CUSTOMERS HAPPINESS IS WHAT MATTERS:
We as a team had the ability to adapt to the new technology in a less matter of time and helped
our client to achieve their goal by improving the accessibility rate of their Event and ensured their
participants had an equal access to the content.
