This presentation is designed to transition paralegals, as users of IT, into the role of administrator, the strategist, steward and trouble-shooter of IT.
A basic understanding of a law office network is essential. This understanding includes; (1) basic and advanced knowledge of a network, (2) the requirements for restoration and recovery of a network and finally (3) perfecting IT’s strategic plan by correctly identifying the needs of the users and leveraging the existing and future network services to address those needs.
This presentation assumes the attendees have a basic understanding of desktop PCs and networks. As paralegals, you have day-to-day experience with your firm’s technology and phone system. If you choose to become a law office administrator, you’ll need a different perspective on IT management. This presentation also assumes that you accept the requirement that the firm administrator must demonstrate competency in explaining IT network and structure requirements to the owners of the firm along with projecting the necessary competence to IT staff and contractors who support this essential service for the firm.

Key questions to ask potential document retrieval service providers relate to their technology infrastructure, how they utilize technology to provide fast, secure access to documents digitally, and how they ensure regulatory compliance and backup storage of documents.
Ethics and Security of Cloud Computing for LawyersRobert Ambrogi
Lawyers have an ethical duty to protect client confidential information and safeguard client files. Most ethics panels agree that lawyers may use cloud computing services if they take reasonable steps to minimize risks, such as understanding the technology, ensuring access to and protection of data, and verifying security measures of cloud providers. Competent use of cloud computing requires diligence in areas like company reviews, access to data, encryption, backup procedures, and network and physical security.

Imprima is pleased to present How AI is changing legal due diligence, published in association with Mergermarket. With the introduction of artificial intelligence to the legal sector over the past few years, this technology has been gradually changing the way that legal due diligence is conducted.
Exploring these trends, Mergermarket, on behalf of Imprima, spoke with five experts from the fields of law and technology to share their insights on the day-to-day use of artificial intelligence in legal due diligence processes and how this might continue to develop.
Points of discussion include:
• Software solutions have allowed for greater efficiency in legal due diligence processes. Typical pain points associated with legal due diligence include the amount of time needed to both compile and review countless documents. AI can prove a useful tool to help streamline this process. However, there are limits to what current technologies can achieve.
• Emerging AI technology is met with increasing enthusiasm. Law firms are showing willingness to adopt AI processes into their practices. While this is not yet universal, some clients are beginning to expect law firms to use tech-enabled processes and be able to offer innovative solutions.
• Is AI causing permanent changes to the legal workforce? While the fears that AI technology would automate job roles, and lead to mass redundancies in legal firms proved unfounded, it is true that adoption of these technologies could lead to major changes in the legal sector. It is unlikely that the need for new lawyers will ever be fully eliminated – rather that the nature of their work may change, as AI technologies allow lawyers to shift their focus to higher-value work.

DTI White Paper - WHY MOVING TO MANAGED SERVICES NOW MAKES SENSEJessop Fowler
If you’ve not recently reviewed a “Managed Services Model”, I encourage you to do so, leaving traditional discovery practices behind. The traditional model is a Data Security nightmare and will cost you sooner than later. Recent increases in the costs and risks associated with data breaches at major law firms are forcing corporate legal departments to reevaluate how their discovery is handled. Corporations are now discovering the old way of doing things is extremely inefficient, risky and expensive for companies routinely involved in litigation.
What do you have to lose?
• Control - By allowing individual law firms to manage the process, corporations are allowing their data to be moved to various locations, which is incredibly difficult to control.
• Security - There is no way of properly vetting the security of the data if the outside law firm is controlling where the company’s data goes.
• Money - Corporations lose out on the ability to consolidate the work with a dedicated, outsourced provider, as well as the negotiation power of volume-based discounts for the work.
By freeing themselves from this traditional model and turning to a managed service model, corporations can engage a third-party provider to create a discovery management program – saving your legal department time, risk and money.

to DMS
Better Backup and
Disaster Recovery
As per Wikipedia, “A document
management system (DMS) is a
system used to receive, track, manage
and store documents and reduce
paper.” Well, the definition is quite
straight-forward. While the truth is, a
DMS is much more than that.
Especially in document-centric
professions such as law and legal
practice, a DMS can streamline the
entire business operations.
3
A standardized legal document management program is one of the most important technologies a law
firm can adopt. It is a tool to specifically help law firms easily organize, access, and work with their
documents in the day-to-day practice of law in a more effective fashion. Additionally, it increases the
security of sensitive and confidential documents.

Thankfully, with technology, it is possible.
A Document Management System or DMS has made it possible.

5. BENEFITS OF USING A DMS:
ACCORDING TO THE AM LAW 2014 LATERAL REPORT, 2,522 LAW
FIRMS IN THE TRI-STATE AREA HAD TO SHIFT BASE DUE TO SPACE
AND STORAGE ISSUES.
A document management system is incredible for organizing data. This data includes- emails, scanned
copies of important documents, contracts, and other important papers. It is equally helpful in letting
you collaborate with you employees, colleagues, and clients based in the same region or across the
world.
It helps to keep a firm organized, makes your document retrieval faster and more comprehensive, and it
increases the security of sensitive and confidential for both firm and client. Regardless of the size of
your firm, a good document management program can produce immediate benefits. It doesn't need to
be expensive or overly complex, but it does need to be embraced by the entire firm.
Document storage is a major issue for law firms as it presents diverse and unique challenges associated
with accessibility, space, and security issues. Law firms need to not only store all their documents, they
also need to arrange it in a proper way for it to be accessible when needed. As DMS store documents in a
digitized format on a cloud-platform, you literally have unlimited storage.

6. IN EARLY 2019, A RESEARCH REPORT SHOWED THAT ABOUT 25%
SMALL AND MEDIUM LAW FIRMS AND AROUND 32% BIG LAW
FIRMS EXPERIENCED DATA BREACH IN THE PAST YEAR.
As the law firms deal with sensitive information, secured document storage is a must. Any lapse in
security would severely impact the trust of the lawyers and the legal teams with their clients. Any
information leak could have a major business impact. However, with careful controls at place, data
management systems make sure there is no unwanted third-party access to documents.

Easier Collaboration &
Retrieval :
Multiple lawyers and associates are involved in handling complex matters. They need to interact on the
obligation that an important contract might have. With collaboration tools. It is easy for the internal
departments to discuss and follow up with multiple stakeholders. A DMS should also be flexible enough
to restrict access to changes made in the document to provide a layer of masking sensitive information.
DMS also lets you save multiple versions of the document. to restore the document back, if necessary.
WITH THE VERSION CONTROL OPTIONS IN A DOCUMENT
MANAGEMENT SYSTEM, EACH CHANGE CAN BE TRACKED, MAKING IT
EASY TO ACCESS
7. IMPORTANT DOCUMENTS ARE PHOTOCOPIED ABOUT 20 TIMES IN
A LAW FIRM. EACH LAW FIRM SPENDS $25,000 ANNUALLY ON
RESOURCES DEDICATED TO SORT, STORE, AND MANAGE PAPER.
Law firms spend thousands if not millions on costs associated with printing, labor, and storage of
documents. Even though initially a document management system may seem expensive. The overall
benefits outweigh the costs. By eliminating the need of making multiple copies, printing every document,
or labor costs associated with filing, searching, and maintaining documents, law firms can save money on
the long run.
Cost-saving Option:

Environment-friendly:
Law firms need to be on the forefront of the battle against climate issues across the world. By setting up a
precedent in using paper effectively and reducing their carbon footprint in doing so, they can garner a lot
of brownie points in the industry.
8. HOW TO MEASURE ROI ON A DMS
A document management system does not have physical costs associated to it. However, it
does have a monthly/annual subscription cost associated to it. This subscription fee is meant
for the software provider to maintain the system without you doing any heavy lifting.
This table will provide you with a general idea:
Expenses associated with a DMS Expenses in absence of a DMS
Software License cost- Monthly/Annual File cabinets- Recurring
Hardware to support DMS software One
time
Printers, Supplies, & Papers- Recurring
Support team costs- Monthly/Annual
Shipping of documents to clients, colleagues,
or departments- Recurring
Storage & Maintenance cost- Recurring
Salary of employees assigned on
documentation- Monthly/Annual
Expense on ensuring security of documents-
Recurring
8
If you count an average cost of everything on both columns, you will find
that the expenses on your right are at least ten times more than that of your
left.
9. GET YOUR JUMP ON WITH A DMS
Based on the factors we discussed above, if you are convinced that you are ready to
introduce a Document Management System into your organization, it’s time to look
for various options in the market.
Remember to consider the cost factor while shortlisting your options. Additionally,
moving to a new technology may seem like a daunting task and it may take some time
to convert your paper archive into digital format. That’s why, ensure your DMS
service provider provides a robust support level to make the transition easier.
