Guide for Beginners

How to Form a Cover Letter
Fill up your contact information – Begin your cover letter by filling in your contact details. Make sure you
mention your full name, contact number, permanent address and your mail address. If you own a professional
website or LinkedIn account, don’t forget to add the links to this segment. However, if you are registering for a
job outside your city, either omit your permanent address or mention that you are willing to shift places.
Send the recipient with title and name– Before starting your beginning paragraph, write a nice welcome
message that directly welcomes the recipient by their formal title and last name. If don’t know their name, you
shall start with “Dear Manager.” You are advised to avoid using general welcoming tones, like “To whom it
may concern” as it doesn’t sound right.
Begin with a short introduction – Your first paragraph should seize the reader’s curiosity and tell them why
you are writing the letter—mention which position you are applying to stay away from any uncertainty. The
exact place where you found out the job notice and why you thought you would be applicable for the job part.
Using expressive words, you should mention that your skills and experience completely equal the amount
sought in the job description. Ensure to keep your introduction paragraph to the maxim of three sentences.

may add “Sincerely yours” and end stating your full name.

How to format a cover letter
1. Your cover letter should be well-structured, precise, and just accurate.
2. You are advised to make use of a very easy to read font shape, and you are not supposed to get carried
away with exaggerations. Do not include any photographs, Comic Sans, and of course, no word art is required.
3. Apart from making sure the cover letter is written using concise paragraphs – it should also have the proper

the cover letter
You are starting the letter – What’s the reason for you to get in touch?
The beginning paragraph should be brief and precise, demonstrating why you’re getting in touch with the
company. It’s also practical to comprise of the location where you found the advertisement. Suppose someone
referred you, m example, maybe in a newspaper. You are entitled to state your name in this particular segment.

Next/Second paragraph – Why do you think you are acceptable for the job role?
Shortly explain your professional and academic qualifications related to the role you are applying to and make

and I think the knowledge and skills I built up during this time make me the most suitable candidate for the
particular duty.
Next/Third paragraph – What can you offer to the organisation?
This is your chance to highlight what you can provide to the company. Mark off your career objectives
(making it totally to the point to the spot you’re registering for) and emphasise relevant issues mentioned in
your CV – involving examples to prove your skills.
For example, I am in a current role as Junior Executive Officer at a Software Company Y Ltd. There, I have
been in charge for rising incoming client enquiries for our B2B product lines by 189% in under seven months,
which assisted the business to grow its revenue by 30% yearly.
Last/Fourth paragraph – Repeat
This is where you repeat your attentiveness in the job role and why you think you would be suitable for the
position. It’s also the right timing to specify that you would love to meet the company’s employer for an
interview or meeting.
For example:
I think I can bring out the best in me to succeed in your organisation and help HR Company LTD live upon
their name and fame as one of the UK’s fastest-growing software industries. With my past experiences and
expertise, I believe I can start actively contributing to the business as soon as possible.

Ending the letter-
End your cover letter with ‘Yours sincerely or sincerely yours’ (if you know the name of the company
manager, or ‘Yours faithfully (if you don’t remember the name), followed by your name.
