Build Your Toolkit
A key Best Practice in Oracle Support Accreditation is
building and maintaining a personalized toolkit of key
resources. This is an easy way to keep track of content of
interest (and locate it again when needed).
Start by making knowledge documents a Favorite by clicking
the gold star.
1. From My Oracle Support, click on the Favorites folder in
the top navigation (Gold Star) and select Manage
Favorites.
2. Click ā€˜New Folderā€™ to create a personalized folder or
create a series of product-specific folders for topics like
troubleshooting and patching.
3. Click the arrow to the left of My Folders to expand it
and see your new folder.
4. Locate your newly marked documents and move them
to your folder.

services and products to find that content quickly as
part of your extended toolkit.

ā€¢ The objective of this module is to locate the Get Proactive page, which is the
source of the proactive tools being discussed in the following modules; and,
how to improve your search experience by locating answers using
Information centers; and, finally, how to stay informed about EBS via Advisor
Webcasts and Social Media channels.
ā€¢ Best Practice: Get to know the Get Proactive portfolio content for your
product. You may have noticed in the Getting Started region on the home
page ā€“ this goes directly to the Get Proactive portfolio, Doc 1388190.1.
ā€¢ This is also repeated in the Knowledge tab in the Knowledge Links region as
shown here.
ā€¢ Best Practice: Use the favorites folder feature to create a toolkit for yourself
so you can quickly return to content you use most often. Here is my toolkit.
Notice how I have many of the E-Business resources included so I can quickly
navigate directly to what I am looking for. If your folder is too big, you can
subdivide and create folders for an activity.
ā€¢ Next, I would like to review Information Centers. Most users are interested in
a specific EBS product. Did you know you can locate your product on the
Knowledge tab and then enter in your search terms?
ā€¢ Information Center: Oracle Payables Accounting R12, Doc 1476284.2.
ā€¢ Letā€™s drill down into the information center for Payables. From the Level 1
My Oracle Support accreditation, you will remember that Information
Centers are dynamically created with relevant content each time they are
displayed. The links are those the Oracle E-Business Suite Support team
believes to be the most valuable to you.
ā€¢ You can post ā€œhow-toā€ questions in the E-Business Suite Community. You can
get valuable information from both customers and Oracle. We will cover this
more fully later in this series.
ā€¢ There are times you may need to log a Service Request, and based on your
product and problem type, you may see a guided resolution that gets
triggered as part of the SR process. The guided resolution makes use of the
product and problem type, and based on this, provides high-quality, targeted
recommended solutions.
ā€¢ In the Staying Informed section, you can see that some products have
switched to blogs as a faster way to inform you of changes. An Oracle best
practice is to follow the blog via the product Community to enable you to
receive a notification when the blog is updated. If you enjoy social media,
you can also follow E-Business Suite via Twitter, Facebook, or blogs as shown
here on the left-hand side of the EBS Get Proactive home page.
ā€¢ One final way of staying informed about changes is to set up Hot Topics to
notify you via email when Documents you marked as favorites are updated.

The Details
ā€¢ All of the scripts are available to be run locally,
or set up via concurrent process. You can run
the Scripts in real-time on your production
environment (and also schedule them to run as
a concurrent request).
ā€¢ The output is an analysis of known issues
affecting the systems and it's displayed in a rich
HTML format.
ā€¢ The output provides the instructions on how to
prevent (or resolve) the issue identified.
ā€¢ The scripts help you simplify your ability to
prevent issues.
ā€¢ The tools have been co-located on one page for
ease of access.
Finding Analyzer Scripts

ā€¢ Have you heard your customers or end users
complaining about workflow notification errors,
things getting stuck, how to fix issues, or
recommendations for a maintenance process?
ā€¢ The Workflow Analyzer was developed as an
easy and simple mechanism to address these
types of needs.
ā€¢ Letā€™s say that you are a workflow database
administrator and need to respond to sysadmin
workflow error notifications, and you have end
users complaining about stuck processes or
those that arenā€™t getting completed.
ā€¢ The EBS Workflow Analyzer can help.
ā€¢ From the Knowledge Links, select Get Proactive
and then EBS Suite.
ā€¢ Then, access the Analyzer link which displays all
the analyzers, and locate the Workflow Analyzer
from EBS Core Analyzers.
ā€¢ One of the core things in the report is the areas
in red which typically identify a problem and a
solution.
ā€¢ A best practice is to review and address items in
red first.
ā€¢ Locate the red icon in the report section and
click on it to reveal the details.
ā€¢ Provide feedback on Workflow Analyzer in the
Community. Are you ready to join the
conversation?

ā€¢ This module focuses on several very useful tools for Period Close.
ā€¢ A best practice is to make these documents ā€œFavoritesā€ for your EBS
resource toolkit to find them again quickly. Before examining the resources, I
want to highlight some core concepts.
ā€¢ Period Close refers to the process of accounting for all transactions at the
end of each period so that all supporting information is transferred to the
General Ledger, or GL. A sub-ledger is an EBS application that posts, or
transfers accounting records to the GL. Payables and Receivables are
examples of sub-ledgers. Sub-ledgers cannot be closed if the required
transactions in that period are not processed.
ā€¢ Letā€™s start with ā€œEBS Period Close Process Analyzer,ā€ Doc 2468739.1.
ā€¢ Iā€™ll search for the title in the global search of My Oracle Support to locate it.
This resource assists with a successful period close for financial areas within
the E-Business Suite.
ā€¢ The analyzer is a self-service health-check script that identifies issues with
the period close and provides solutions and recommended to be performed
for the specific instance it was run on. Run the analyzer at any time before
you attempt to close a period in GL to evaluate whether there are pending
items in the sub-ledgers that will prevent the closing of the period in GL.
ā€¢ Be sure to download the latest version from this document and run the
analyzer any time before you attempt to close your period in the GL. The
analyzer will evaluate whether you have pending items in your sub-ledgers
that will prevent you from closing the period.
ā€¢ As you can see from this example output, I can review errors, warnings,
passed checks, and general information updates organized in a simple, easy-
to-read, icon-based framework.
ā€¢ You can also check out the ā€œEBS Analyzer Bundle Menu Tool,ā€ Doc 1939637.1
from the Resources section. This ā€œPerlā€ menu system enables you to easily
execute, update, and install analyzers as concurrent programs, and assign
them to request groups.
ā€¢ Letā€™s move on to the final resource, ā€œPeriod Close Advisor: E-Business Suite
(EBS),ā€ Doc 335.1. You can locate it from the Oracle E-Business Suite Get
Proactive page as shown here, or by typing ā€œPeriod Close Advisorā€ in the
global search of My Oracle Support.
ā€¢ This resource guides you through the process of accounting for all
transactions at the end of each period. As a best practice, use it as you
reconcile (daily or weekly) to assist in closing out the sub-ledgers prior to
reconciliation, and use it before and during the period close.

Each tab will show the details and a checklist of steps to complete
before you can close the GL.
Be sure to review the analyzer documents listed within each tab
under ā€œProcess Transactions,ā€ and run the individual product
analyzer if you have transactions stuck or errors from the Period
Close Process Analyzer.
Hereā€™s an example of ā€œProcess Transactionsā€ in the Step by Step
Guide on the left.
The key best practice here is to carefully review the information
provided on each tab as you move through the sequence.
The EBS product support team has organized relevant content to
guide you through each of the steps toward closing the GL.

ā€¢ The objective of this video is to provide you a
refresh on using the E-Business Suite
Communities to ask questions, find solutions,
manage your community inbox, and request
product enhancements.
ā€¢ First, a quick recap on how to locate the EBS
Specific Community Spaces.
ā€¢ Most users will use the Banner navigation. Click
the EBS link on the Banner and then scroll down
the page to view all the communities available.
ā€¢ Best Practice: Think carefully about following
Spaces. If you follow the EBS Suite Space, you
could be getting notified EVERY time there is
any activity in any of the 50+ subspaces.
ā€¢ Managing your inbox: Be selective. Click Activity
(News) and create a New Stream; call this EBS
and associate just the spaces you are really
interested in. Turn on Email. Now, for just the
spaces you are interested in, you will get an
email to your personal inbox.
ā€¢ Letā€™s follow Sally as she explores the
Procurement Space. Clicking a category, for
example Webcast, filters the discussions in the
Procurement Space where the content has the
associated category of Webcast.
ā€¢ Best Practice: Make use of Categories when
asking questions or posting discussions to allow
other users to filter the discussions on these
key terms.
ā€¢ Did you know that in the e-Business Suite, we
have an entire community devoted to Patching
that is manned by Oracle Patching experts? You
can quickly find solutions to your patching
issues through the entire patching process.
Here are some great reasons why you would
want to do this. Before patching: investigate if
anyone has applied the patch, seek proactive
suggestions from your trusted network; During
Patching: find out about readme problems, see
if other users have experienced patch failure
issues; After Patching: get solutions to post-
install issues like invalid objects.

ā€¢ Letā€™s follow Sally as she investigates if another
user has seen her patching issue. To start, Sally
types her search term ā€˜9654468ā€™ in the global
search window to see if other users are talking
about this patch. Sally scrolls through the replies
and drills down on one sheā€™s interested in. She
knows that she can ask questions here or add her
input, if she has any. When you can, share your
expertise and knowledge by posting answers to
other usersā€™ questions.
ā€¢ Letā€™s look at the way users can search. Sally can
type her search in the ASK IT search where it says
Type your question. Just type in Patch 9654468
and similar questions and related documents are
automatically displayed as you enter your
question. The result set gives Sally several options:
1) she can select to review one of the likely
threads from the resulting list, 2) she can click on
Search all results in E-Business Patching, or if she
doesnā€™t find a related thread, she can 3) click ASK
IT to create a brand new thread. Best Practice:
Add the Patch Number, Bug Number or Document
Number when posting a question about a
particular Patch or document.

ā€¢ Sally has an idea about the EBS product she is using, and she is wondering
how she can tell Oracle about it.
ā€¢ In My Oracle Support, she searches on E-Business Suite Product
Enhancements and Doc 1584210.1 is returned.
ā€¢ Sally would like to see if her idea for a new feature that will allow users to
attach Contract details to Purchase Orders has been created.
ā€¢ First, she clicks the Content tab and then filters the results by clicking the
Ideas icon.
ā€¢ In Sallyā€™s case, she found the enhancement already entered as an Idea; but
remember if you need to request a brand new idea, first navigate to the
right subspace (and if this option is available in the Actions tab), click the
Create an Idea option.

ā€¢ This module highlights two key patching
resources, the EBS Patch Wizard Utility and the
Patching and Maintenance Advisor: EBS.
ā€¢ We will look at patching from two important
perspectives: 1) how to understand what
patches you currently have on your system and
what patches are recommended, and 2) how to
more easily manage your patching strategy and
deployment through a series of detailed phases.
The recommended resources work together to
help you and your team more effectively plan
for and execute patching. I recommend you
make both resources Favorites and add them to
your growing EBS toolkit.
ā€¢ Let's start with the EBS ā€œPatch Wizard Utility,ā€
Doc 976188.1. If your role includes direct use of
the Patch Wizard, please take the time to fully
review this document.
ā€¢ The Patch Wizard utility comes installed as part
of the EBS Product Suite and can be accessed
via Oracle Applications Manager, or OAM.
ā€¢ This utility compares the patches you have
applied against a list of all recommended EBS
patches. Recommended patches can include
high-priority patches, or patches that update
EBS products to a new code level such as
Release Update Packs, or RUPs, Product Family
RUPs, and pre-upgrade patches.
ā€¢ The interface allows you to set your Patch
Wizard execution preferences, analyze and
compare patches currently applied in your
instance to the patches included in the
Recommended Patch List, perform an impact
analysis, and easily download the patches you
decide to apply.
ā€¢ Recommendation: the Patch Wizard can be run
for any EBS patch, or group of patches, as well
as recommended, and new code level patches.
Run the Patch Wizard before applying a new
patch.
ā€¢ The impact analysis will show how many files
are introduced or will be overwritten, along
with before and after file versions.

ā€¢ Our second resource is the ā€œPatching &
Maintenance Advisor: E-Business Suite,ā€ Doc
313.1. This one-stop shop assists with your
patching and maintenance strategy. The advisor
framework is organized into four phases:
Evaluate, Plan, Test, and Implement.
ā€¢ The ā€œEvaluateā€ phase helps you understand why
a patching strategy is necessary and covers key
points like proactive patching and reactive
patching. The ā€œPlanā€ phase focuses on the
discovery, analysis, testing, and implementation
of patches for EBS and covers patch plans. The
ā€œTestā€ phase is all about practicing the
implementation of the patching plan that you
created. The key point is to verify the patch
install was successful. And finally, the
ā€œImplementā€ phase helps you drive the
successful implementation of the patch plan
you created during the ā€œTestā€ phase.
ā€¢ This tool helps you systematically build and
work through a plan with detailed instructions
and guidance.

enables users to complete an impact analysis prior to applying them.

ā€¢ The Certifications tab in My Oracle Support
provides access to product certification
information.
ā€¢ First, a quick review: A certification is a
combination of Oracle and third-party products,
operating systems, or hardware that Oracle has
tested and should work together.
ā€¢ On the right, is the Certification Search region.
Certified is NOT the same as supported.
ā€¢ Each product has its own support policy and
timeframe, completely separate to certification.
ā€¢ Previously, Sally had been patching and
maintaining her system.
ā€¢ Now she is thinking of upgrading to E-Business
Suite 12.2.4, and she needs to know if this will
impact her Oracle Database 12.1.0.2.0
installation.
ā€¢ Sally enters EBS, as this has been defined as a
shortcut or alias for Oracle E-Business Suite;
then, she selects Release 12.2.4, enters
Database, 12.1.0.2.0 version in the drop down.
ā€¢ Then, click Search and Search results are
returned.
ā€¢ On the left are different categories such as
Operating Systems, Databases and Middleware.
Since she is interested in Database, she will
open the Database category and look for Oracle
Database and the release of 12.1.0.2.0 is in the
list.
ā€¢ Next, she sees a list of Operating Systems. She is
interested in Linux x86-64 SLES 11, which we
can clearly see is Certified.
ā€¢ She can select Linux x86-64 SLES 11 and view
the certification detail. There are required
patches that will be needed to install to be sure
her products work together.

ā€¢ Best Practice: Validate the support information
for your certified products. When upgrading,
look for certifications where the support is valid
for a number of years.
ā€¢ Under Compatibility, she immediately notices
that 32-bit is NOT compatible, but 64 bit would
be.
ā€¢ Notice how she can choose Linux x86-64 from
the Platform dropdown, then check the box
next to the Product for easy download.
ā€¢ These required patches will need to be applied
in order for the certification to be valid.
ā€¢ Using this example, you can easily see what
combinations of products are certified.
06.0 | Certifications Tab Certification ā€“ A combination of Oracle and third-party products, operating
systems, or hardware that Oracle has tested and should work together.

ā€¢ Now letā€™s do a different type of search.
ā€¢ What if Sally wanted to look at the releases of Oracle Database and compare
the releases across a range of platforms?
ā€¢ This can be done using the checkbox on the top left to Compare Releases
and Platforms. We sometimes refer to this as the Matrix search. Sally can
check the box and then enter her product.
ā€¢ Notice how the products she has used recently are listed at the top of the
list when she clicks in the Product selection box.
ā€¢ Sally could type RDBMS, which is an alias for Oracle Database.
ā€¢ This makes it easy to select the products commonly used. Next, she selects
some releases she is interested in. Platform is also Multi Select. She is on
Linux x86-64 but she is also interested in Oracle Solaris.
ā€¢ Sally can save any search by clicking on the save link. This allows her to give
it a name and easily re-run the SAME search in the future.
ā€¢ Sallyā€™s saved searches are available from the Saved tab. And the last 20
searches she performed are available from the Recent tab.
ā€¢ Best Practice: Access the knowledge base and search on your product name
and Certification; this enables you to find examples for some of the legacy
content which may not be available in the Certifications tab.
ā€¢ Best Practice: Access the Community Certification Space. Many EBS product
areas have a subspace for certification questions. If you still have questions
on certification data or cannot find the certification data that you need, log a
technical service request for the appropriate product group.

planning upgrades of your EBS products and related components. Quickly
analyze your supported combinations and use this data for an upgrade plan.

ā€¢ An Upgrade Advisor is a powerful, easy-to-use
tool that helps you have your best experience
with upgrades.
ā€¢ Thatā€™s it. Nothing complicated ā€“ just a great tool
with great content.
ā€¢ The EBS product support teams captured best
practices for many specific upgrade paths and
embedded them within the upgrade lifecycle.
ā€¢ Advisors are a key proactive capability and
follow a lifecycle model with a phased
approach.
ā€¢ Upgrades are a key step and require careful
planning to ensure success.
ā€¢ Best Practice: Donā€™t try and upgrade on your
own. We have great resources like advisors to
help you every step of the way.
ā€¢ Example: Upgrade Advisor: E-Business Suite
(EBS) Upgrade from 12.0/12.1 to 12.2.x,
Doc 1593640.1.
ā€¢ How do you find an Upgrade Advisor? Itā€™s easy.
1) Log into My Oracle Support, search for ā€˜EBS
upgrade advisorā€™ to locate advisors for available
upgrade paths. Make your advisor a favorite for
your toolkit to easily find it again. You can also
find upgrade advisor options from the EBS Get
Proactive page.
Letā€™s recap the phases:
ā€¢ Evaluate ā€“ assess benefits of an upgrade and
evaluate new version of EBS. Outcomes include
documented go/no-go decisions, full
understanding of business impact and
documented risk assessment.
ā€¢ Plan ā€“ prepare for the upgrade by ensuring you
have all the necessary resources and steps.
ā€¢ Configure and Test ā€“ first step of actually
performing the upgrade process and testing.
ā€¢ Implement ā€“ ready to implement the upgrade.
ā€¢ Accept ā€“ accept your upgrade into production.

ā€¢ Throughout each phase, you get step-by-step
guides, online training, additional resource
suggestions and a community of experts.
Advisors follow this general framework, so itā€™s
easy to use them for any target upgrade path.

07.0 | Upgrade Advisor Example Upgrade Advisor ā€“ Step-by-step instructions to 1) understand
requirements for upgrade; 2) build and practice upgrade plan;
3) move upgrade from strategy to sign-off.
The EBS Upgrade Advisor recommends that you
do a minimum of three (3) or more test iterations
of the upgrade process in a test environment
before moving to production. For best upgrade
results, plan for more than the minimum, with a
more robust target of six test iterations to fully
test the upgrade process and document any
issues to be resolved.

ā€¢ Our E-Business Suite customer used consultants
in the past to help upgrade but found that he
was not always on time with the go live, and the
budget was more than expected with the
consulting teams.
ā€¢ He made the decision to use an E-Business
Suite Upgrade Advisor to complete an upgrade
with his internal resourced team.
ā€¢ In the Evaluate section, he addressed key
concerns such as customizations, leveraged the
Oracle resources and tools and created realistic
plans with realistic expectations.
ā€¢ He included practice in the plan, ran multiple
test runs to ensure a smooth production
upgrade, included sanity checkpoints and
backup intervals, and was aware of any red flags
or deviations.
ā€¢ He tapped into the EBS Data Model Comparison
Report and EBS Seed Data Comparison Report
specifically.
ā€¢ He also used the Upgrade Community and
reviewed EBS Blogs.
ā€¢ This change in approach produced great results
in this scenario.

ā€¢ Once you click the Exam link from this module, you will be directed to
ilearning in OU to complete and submit your exam. The screen should open
with a status of Enroll, and you can immediately get started. The exam is
compiled for you by pulling random questions from our exam bank. The
questions will be either multiple choice or true/false. Carefully review each
question and possible answers.
ā€¢ Once you submit the exam, your score will appear on the screen as Mastery
Score. You need 80% or higher to satisfy the requirement to become Oracle
E-Business Suite Support Accredited. If you pass, you can print your
completion certificate from the home page of this accreditation
ā€¢ If you need to re-take, the exam is available once per 24-hour-period.
Rewards

If your folder is too big, you can subdivide and create folders for an activity. ā€¢ Next, I would like to review Information Centers. Most users are interested in a specific EBS product. Did you know you can locate your product on the Knowledge tab and then enter in your search terms? ā€¢ Information Center: Oracle Payables Accounting R12, Doc 1476284.2. ā€¢ Letā€™s drill down into the information center for Payables. From the Level 1 My Oracle Support accreditation, you will remember that Information Centers are dynamically created with relevant content each time they are displayed. The links are those the Oracle E-Business Suite Support team believes to be the most valuable to you. ā€¢ You can post ā€œhow-toā€ questions in the E-Business Suite Community. You can get valuable information from both customers and Oracle. We will cover this more fully later in this series. ā€¢ There are times you may need to log a Service Request, and based on your product and problem type, you may see a guided resolution that gets triggered as part of the SR process. The guided resolution makes use of the product and problem type, and based on this, provides high-quality, targeted recommended solutions. ā€¢ In the Staying Informed section, you can see that some products have switched to blogs as a faster way to inform you of changes. An Oracle best practice is to follow the blog via the product Community to enable you to receive a notification when the blog is updated. You can run the Scripts in real-time on your production environment (and also schedule them to run as a concurrent request). ā€¢ The output is an analysis of known issues affecting the systems and it's displayed in a rich HTML format. ā€¢ The output provides the instructions on how to prevent (or resolve) the issue identified. ā€¢ The scripts help you simplify your ability to prevent issues. ā€¢ The tools have been co-located on one page for ease of access. Finding Analyzer Scripts ā€¢ In My Oracle Support, enter search terms such as E-Business Suite Analyzer and the results are displayed. ā€¢ You can select the Product Support Analyzer Index, Doc 1545562.1. ā€¢ The index is also available by accessing the EBS Get Proactive link, as shown in the video. The report includes content of interest like aged records and workflow errors. ā€¢ The Execution Summary on the home page of the output groups all messages by type ā€“ Errors, Warning, Passed Checks and Informational. 11 02.1 | Workflow Analyzer ā€¢ Have you heard your customers or end users complaining about workflow notification errors, things getting stuck, how to fix issues, or recommendations for a maintenance process? ā€¢ The Workflow Analyzer was developed as an easy and simple mechanism to address these types of needs. ā€¢ Letā€™s say that you are a workflow database administrator and need to respond to sysadmin workflow error notifications, and you have end users complaining about stuck processes or those that arenā€™t getting completed. ā€¢ The EBS Workflow Analyzer can help. ā€¢ From the Knowledge Links, select Get Proactive and then EBS Suite. ā€¢ Then, access the Analyzer link which displays all the analyzers, and locate the Workflow Analyzer from EBS Core Analyzers. ā€¢ One of the core things in the report is the areas in red which typically identify a problem and a solution. ā€¢ A best practice is to review and address items in red first. ā€¢ Locate the red icon in the report section and click on it to reveal the details. ā€¢ Provide feedback on Workflow Analyzer in the Community. Are you ready to join the conversation? Best Practices ā€“ Include the Workflow Analyzer script as part of your regular workflow management plan to proactively monitor and address any issues. All rights reserved. | ā€¢ This module focuses on several very useful tools for Period Close. ā€¢ A best practice is to make these documents ā€œFavoritesā€ for your EBS resource toolkit to find them again quickly. Before examining the resources, I want to highlight some core concepts. ā€¢ Period Close refers to the process of accounting for all transactions at the end of each period so that all supporting information is transferred to the General Ledger, or GL. A sub-ledger is an EBS application that posts, or transfers accounting records to the GL. Payables and Receivables are examples of sub-ledgers. Sub-ledgers cannot be closed if the required transactions in that period are not processed. ā€¢ Letā€™s start with ā€œEBS Period Close Process Analyzer,ā€ Doc 2468739.1. ā€¢ Iā€™ll search for the title in the global search of My Oracle Support to locate it. This resource assists with a successful period close for financial areas within the E-Business Suite. ā€¢ The analyzer is a self-service health-check script that identifies issues with the period close and provides solutions and recommended to be performed for the specific instance it was run on. Run the analyzer at any time before you attempt to close a period in GL to evaluate whether there are pending items in the sub-ledgers that will prevent the closing of the period in GL. ā€¢ Be sure to download the latest version from this document and run the analyzer any time before you attempt to close your period in the GL. The analyzer will evaluate whether you have pending items in your sub-ledgers that will prevent you from closing the period. ā€¢ As you can see from this example output, I can review errors, warnings, passed checks, and general information updates organized in a simple, easy- to-read, icon-based framework. ā€¢ You can also check out the ā€œEBS Analyzer Bundle Menu Tool,ā€ Doc 1939637.1 from the Resources section. This ā€œPerlā€ menu system enables you to easily execute, update, and install analyzers as concurrent programs, and assign them to request groups. ā€¢ Letā€™s move on to the final resource, ā€œPeriod Close Advisor: E-Business Suite (EBS),ā€ Doc 335.1. You can locate it from the Oracle E-Business Suite Get Proactive page as shown here, or by typing ā€œPeriod Close Advisorā€ in the global search of My Oracle Support. ā€¢ This resource guides you through the process of accounting for all transactions at the end of each period. As a best practice, use it as you reconcile (daily or weekly) to assist in closing out the sub-ledgers prior to reconciliation, and use it before and during the period close. 13 03.0 | Period Close

The key best practice here is to carefully review the information provided on each tab as you move through the sequence. All rights reserved. | ā€¢ The objective of this video is to provide you a refresh on using the E-Business Suite Communities to ask questions, find solutions, manage your community inbox, and request product enhancements. ā€¢ First, a quick recap on how to locate the EBS Specific Community Spaces. ā€¢ Most users will use the Banner navigation. Click the EBS link on the Banner and then scroll down the page to view all the communities available. ā€¢ Best Practice: Think carefully about following Spaces. If you follow the EBS Suite Space, you could be getting notified EVERY time there is any activity in any of the 50+ subspaces. ā€¢ Managing your inbox: Be selective. Click Activity (News) and create a New Stream; call this EBS and associate just the spaces you are really interested in. Turn on Email. Now, for just the spaces you are interested in, you will get an email to your personal inbox. ā€¢ Letā€™s follow Sally as she explores the Procurement Space. Clicking a category, for example Webcast, filters the discussions in the Procurement Space where the content has the associated category of Webcast. ā€¢ Best Practice: Make use of Categories when asking questions or posting discussions to allow other users to filter the discussions on these key terms. ā€¢ Did you know that in the e-Business Suite, we have an entire community devoted to Patching that is manned by Oracle Patching experts? You can quickly find solutions to your patching issues through the entire patching process. Here are some great reasons why you would want to do this. Before patching: investigate if anyone has applied the patch, seek proactive suggestions from your trusted network; During Patching: find out about readme problems, see if other users have experienced patch failure issues; After Patching: get solutions to post- install issues like invalid objects. 16 ā€¢ Letā€™s follow Sally as she investigates if another user has seen her patching issue. To start, Sally types her search term ā€˜9654468ā€™ in the global search window to see if other users are talking about this patch. Sally scrolls through the replies and drills down on one sheā€™s interested in. She knows that she can ask questions here or add her input, if she has any. When you can, share your expertise and knowledge by posting answers to other usersā€™ questions. ā€¢ Letā€™s look at the way users can search. Sally can type her search in the ASK IT search where it says Type your question. Just type in Patch 9654468 and similar questions and related documents are automatically displayed as you enter your question. The result set gives Sally several options: 1) she can select to review one of the likely threads from the resulting list, 2) she can click on Search all results in E-Business Patching, or if she doesnā€™t find a related thread, she can 3) click ASK IT to create a brand new thread. Best Practice: Add the Patch Number, Bug Number or Document Number when posting a question about a particular Patch or document. 04.0 | My Oracle Support Community

All rights reserved. | ā€¢ This module highlights two key patching resources, the EBS Patch Wizard Utility and the Patching and Maintenance Advisor: EBS. ā€¢ We will look at patching from two important perspectives: 1) how to understand what patches you currently have on your system and what patches are recommended, and 2) how to more easily manage your patching strategy and deployment through a series of detailed phases. The recommended resources work together to help you and your team more effectively plan for and execute patching. I recommend you make both resources Favorites and add them to your growing EBS toolkit. ā€¢ Let's start with the EBS ā€œPatch Wizard Utility,ā€ Doc 976188.1. If your role includes direct use of the Patch Wizard, please take the time to fully review this document. ā€¢ The Patch Wizard utility comes installed as part of the EBS Product Suite and can be accessed via Oracle Applications Manager, or OAM. ā€¢ This utility compares the patches you have applied against a list of all recommended EBS patches. Recommended patches can include high-priority patches, or patches that update EBS products to a new code level such as Release Update Packs, or RUPs, Product Family RUPs, and pre-upgrade patches. ā€¢ The interface allows you to set your Patch Wizard execution preferences, analyze and compare patches currently applied in your instance to the patches included in the Recommended Patch List, perform an impact analysis, and easily download the patches you decide to apply. ā€¢ Recommendation: the Patch Wizard can be run for any EBS patch, or group of patches, as well as recommended, and new code level patches. Run the Patch Wizard before applying a new patch. ā€¢ The impact analysis will show how many files are introduced or will be overwritten, along with before and after file versions. 19 ā€¢ Our second resource is the ā€œPatching & Maintenance Advisor: E-Business Suite,ā€ Doc 313.1. This one-stop shop assists with your patching and maintenance strategy. The advisor framework is organized into four phases: Evaluate, Plan, Test, and Implement. ā€¢ The ā€œEvaluateā€ phase helps you understand why a patching strategy is necessary and covers key points like proactive patching and reactive patching. The ā€œPlanā€ phase focuses on the discovery, analysis, testing, and implementation of patches for EBS and covers patch plans. The ā€œTestā€ phase is all about practicing the implementation of the patching plan that you created. The key point is to verify the patch install was successful. And finally, the ā€œImplementā€ phase helps you drive the successful implementation of the patch plan you created during the ā€œTestā€ phase. ā€¢ This tool helps you systematically build and work through a plan with detailed instructions and guidance. 05.0 | Patching Resources Does it apply patches? ā€“ The Patch Wizard will NOT apply patches, but enables users to complete an impact analysis prior to applying them.

All rights reserved. | ā€¢ The Certifications tab in My Oracle Support provides access to product certification information. ā€¢ First, a quick review: A certification is a combination of Oracle and third-party products, operating systems, or hardware that Oracle has tested and should work together. ā€¢ On the right, is the Certification Search region. Certified is NOT the same as supported. ā€¢ Each product has its own support policy and timeframe, completely separate to certification. ā€¢ Previously, Sally had been patching and maintaining her system. ā€¢ Now she is thinking of upgrading to E-Business Suite 12.2.4, and she needs to know if this will impact her Oracle Database 12.1.0.2.0 installation. ā€¢ Sally enters EBS, as this has been defined as a shortcut or alias for Oracle E-Business Suite; then, she selects Release 12.2.4, enters Database, 12.1.0.2.0 version in the drop down. ā€¢ Then, click Search and Search results are returned. ā€¢ On the left are different categories such as Operating Systems, Databases and Middleware. Since she is interested in Database, she will open the Database category and look for Oracle Database and the release of 12.1.0.2.0 is in the list. ā€¢ Next, she sees a list of Operating Systems. She is interested in Linux x86-64 SLES 11, which we can clearly see is Certified. ā€¢ She can select Linux x86-64 SLES 11 and view the certification detail. There are required patches that will be needed to install to be sure her products work together. 21 ā€¢ Best Practice: Validate the support information for your certified products. When upgrading, look for certifications where the support is valid for a number of years. ā€¢ Under Compatibility, she immediately notices that 32-bit is NOT compatible, but 64 bit would be. ā€¢ Notice how she can choose Linux x86-64 from the Platform dropdown, then check the box next to the Product for easy download. ā€¢ These required patches will need to be applied in order for the certification to be valid. ā€¢ Using this example, you can easily see what combinations of products are certified. 06.0 | Certifications Tab Certification ā€“ A combination of Oracle and third-party products, operating systems, or hardware that Oracle has tested and should work together.

All rights reserved. | ā€¢ Now letā€™s do a different type of search. ā€¢ What if Sally wanted to look at the releases of Oracle Database and compare the releases across a range of platforms? ā€¢ This can be done using the checkbox on the top left to Compare Releases and Platforms. We sometimes refer to this as the Matrix search. Sally can check the box and then enter her product. ā€¢ Notice how the products she has used recently are listed at the top of the list when she clicks in the Product selection box. ā€¢ Sally could type RDBMS, which is an alias for Oracle Database. ā€¢ This makes it easy to select the products commonly used. Next, she selects some releases she is interested in. Platform is also Multi Select. She is on Linux x86-64 but she is also interested in Oracle Solaris. ā€¢ Sally can save any search by clicking on the save link. This allows her to give it a name and easily re-run the SAME search in the future. ā€¢ Sallyā€™s saved searches are available from the Saved tab. And the last 20 searches she performed are available from the Recent tab. ā€¢ Best Practice: Access the knowledge base and search on your product name and Certification; this enables you to find examples for some of the legacy content which may not be available in the Certifications tab. ā€¢ Best Practice: Access the Community Certification Space. Many EBS product areas have a subspace for certification questions. Nothing complicated ā€“ just a great tool with great content. ā€¢ The EBS product support teams captured best practices for many specific upgrade paths and embedded them within the upgrade lifecycle. ā€¢ Advisors are a key proactive capability and follow a lifecycle model with a phased approach. ā€¢ Upgrades are a key step and require careful planning to ensure success. ā€¢ Best Practice: Donā€™t try and upgrade on your own. We have great resources like advisors to help you every step of the way. ā€¢ Example: Upgrade Advisor: E-Business Suite (EBS) Upgrade from 12.0/12.1 to 12.2.x, Doc 1593640.1. ā€¢ How do you find an Upgrade Advisor? Itā€™s easy. 1) Log into My Oracle Support, search for ā€˜EBS upgrade advisorā€™ to locate advisors for available upgrade paths. Make your advisor a favorite for your toolkit to easily find it again. You can also find upgrade advisor options from the EBS Get Proactive page. Letā€™s recap the phases: ā€¢ Evaluate ā€“ assess benefits of an upgrade and evaluate new version of EBS. Outcomes include documented go/no-go decisions, full understanding of business impact and documented risk assessment. ā€¢ Plan ā€“ prepare for the upgrade by ensuring you have all the necessary resources and steps. ā€¢ Configure and Test ā€“ first step of actually performing the upgrade process and testing. ā€¢ Implement ā€“ ready to implement the upgrade. ā€¢ Accept ā€“ accept your upgrade into production. 24 ā€¢ Throughout each phase, you get step-by-step guides, online training, additional resource suggestions and a community of experts. Advisors follow this general framework, so itā€™s easy to use them for any target upgrade path. ā€¢ Best Practice: Use your Upgrade Advisor to drive and deliver your plan and updates to your team. We always recommend having a detailed upgrade plan that you update as you move through the process. Capture new information, lessons learned, unique challenges, and any specific goals of your organization. 07.0 | Upgrade Advisor Example Upgrade Advisor ā€“ Step-by-step instructions to 1) understand requirements for upgrade; 2) build and practice upgrade plan; 3) move upgrade from strategy to sign-off. The EBS Upgrade Advisor recommends that you do a minimum of three (3) or more test iterations of the upgrade process in a test environment before moving to production. For best upgrade results, plan for more than the minimum, with a more robust target of six test iterations to fully test the upgrade process and document any issues to be resolved.

All rights reserved. | ā€¢ Our E-Business Suite customer used consultants in the past to help upgrade but found that he was not always on time with the go live, and the budget was more than expected with the consulting teams. ā€¢ He made the decision to use an E-Business Suite Upgrade Advisor to complete an upgrade with his internal resourced team. ā€¢ In the Evaluate section, he addressed key concerns such as customizations, leveraged the Oracle resources and tools and created realistic plans with realistic expectations. ā€¢ He included practice in the plan, ran multiple test runs to ensure a smooth production upgrade, included sanity checkpoints and backup intervals, and was aware of any red flags or deviations. ā€¢ He tapped into the EBS Data Model Comparison Report and EBS Seed Data Comparison Report specifically. ā€¢ He also used the Upgrade Community and reviewed EBS Blogs. ā€¢ This change in approach produced great results in this scenario. ā€¢ By using the tools and best practices provided by Oracle, he did not have to hire a Consulting firm to complete the upgrade. ā€¢ He was able to do it with his internal team, saving thousands of dollars for the organization.
