Identify what you’ve got already
 Group by assessment theme (i.e. e-resources, circ, ref)
 Create a master sheet with user ID & passwords to access
Identify your needs
 Specific questions
 Monthly reports
 CPSLD, CARL stats
Does what you collect cover your needs?
 Outdated? Update!
 Don’t collect data you don’t need just because you can

 What are you planning on doing with the data? Format
matters!
 Documentation
 What documentation is required to understand, collect, and
use the data by someone else?
 How do you calculate x?
 Where does documentation live?

 Storage & Backup
 Where are you going to store data? Is it secure?
 How are you backing it up?
 Are your files easily accessible to those who need them?

 Preservation
 Storage now vs. long term preservation
 Does data, stats, or analysis go into an institutional archive?
 Sharing (External Audiences)
 Are you going to make data open access?
 Remember to write this into ethics board applications, respect contract
language
 Clean data to make it understandable, anonymous
 Provide documentation and/or code books
 Do you have a way of communicating trends, findings, and evidence -
based decisions to external university community?

10. INTERNAL REPORTING
 Sharing stats and analysis is key to establishing a
culture of assessment
 Survey colleagues about their assessment needs
 Monthly reports to all librarians
 Remember front line staff
 Different reporting for different needs
 Don’t email spreadsheets – include context and analysis
