2. Well, not every format
The National Archives preserve the
permanent records of the work of the
federal government.
We often have little control over what
comes to the National Archives, and we
manage and preserve a wide variety of
formats.
3. What are examples of some of
the collecting and preservation
challenges?
4. Transfers arrive in whatever file
format the agency can feasibly
provide:
ASCII
EBCDIC
Databases and Database Exports
PDFs
Office productivity software
Images
Video and Audio
SharePoint
Web Archives …
5. Transfers arrive on whatever
media the agency stored the
records on:
CDs
DVDs
Hard drives with a variety of interfaces
Thumb drives
Floppy discs
ZIP disks
9 track tapes
LTO tapes
6. So how are we making this
easier for NARA to manage?
7. What are NARA’s strategies for formats?
• NARA provides Transfer Guidance for media for transfers
• http://www.archives.gov/records-mgmt/initiatives/transfer-records-
to-nara.html
• NARA provides guidance on acceptable formats
• http://www.archives.gov/records-mgmt/bulletins/2014/2014-04.html
• NARA is reviewing and revising policies on digital
preservation of electronic records and surrogates of analog
records.
8. Preservation Infrastructure
•Lab with a variety of equipment to handle vintage media.
•NARA has an Electronic Records Archive (ERA) for the
ingest and management of electronic records.
•Standard software to characterize file formats, but less than
50% are categorically recognized by DROID and JHOVE.
•NARA inventories all incoming files, and is inventorying all
digital content.
• We maintain multiple copies of files on servers and on tape,
in geographically distributed locations.
