4. CAREER HISTORY
Name of Organisation: QNB
Position: Officer Policies & Procedures
▪ I have beenworking at QNB since 2012 anduntil now.
Responsibilities:
Responsible to design, develop, review and amend procedures
and they must be clear, concise, correct, easy to use, and easy to
reference.
Ensure the Documentationhas a long life, is accessible, and
provides the required information to the users to gives the qualities
of the process.
Developing Documentationby the following:
Define Documentation purpose and scope
Define subject matter
Define audience/end user
Assignteam members
Identifyaffected business Processes
Ensure the accurate documentation of existing processes and
workflows.
Process re-engineering activities (collect& analyse operational
data, issues and root causes;identify process improvements and
operational improvements,cost-savings and processefficiencies).
Determine if standards exist within the company (for example,
Taxonomy, Content Management System, Templates).
Define the tools of the standards to be used (for
example, Authoring, Content Management)
Define the types of information required for a specifictype of
document:Policy, Process,or Procedure.
5. Define basic writing guidelines.
Define types of flowcharts used for specific Content and
Documentation.
Ensures consistencyin terms between the Policies,Procedures,
Forms, and Processmapping which will lead to greater
understanding by the user and allows the users to easily discuss a
document - without performing a translation.
Controls Versionare vital to ensure that users and authors have
the properversion of a document.
Set up and use Templates to give the Documentationconsistency
in look and feel. Templates guide the authors as to the type of
information to include in the document. In addition, the template
provides consistencyfor the users. A consistentlook, feel, and
type of information contained in a document will guide the users in
their use.
Investigate and study of Content that will be included in a Process,
Policy, and Procedure. Examples of research follow:
Determine Documentation structure
Determine system functions
Interview users
Study regulations
Prepare preliminary process flows
6. Develop Content which involves more than just writing the Policies,
Processes, and Procedures. The Content framework is
established by prioritizing, organizing, and categorizing the
Content. At this point the research has produced enough
knowledge whereby Documentation developmentcan begin.
There is a repeating cycle between research and development.
Examples of developmenttasks are as follows:
Compile research information
Classify and prioritize Content
Write Policy and Procedure Content
Identifycontrols
Review and approve
Verify and test the Processand Proceduresensures that what is
published is correctand, therefore, can be used. The verification
and testing Processshould be “hands on” - actually performing the
actions as written and not simply reading the document. Only
through verification can errors or missing information be corrected.
Being responsible to collectall updates and reviews, introducing
them on the system
Conduct the testing’s during the softlaunch period (3 months).
Manage the proceduresapprovals, versioning and publishing on
the intranet
Conducting training whenever found necessary which an integral
part of developing Policies and Proceduresis. Regardless of the

8. PERSONAL PHILOSOPHY
There is no single correct way to manage, thoughthere are many strategies
set forthto do so. Best management practice oftendepends onthe individual
manager consistently implementing aset of skills sothat others will work in
harmony.
One of the best things that an excellent manager can implement, is a focus
on achieving goals by setting clear objectives. Workers respondwell when
they know the objectives andwhat their personal work will meanin terms of
reaching the specifiedgoals. Managers dowell tostreamline work processes
so that workers can complete goals withinreasonable time frames.
Some topstrategies for managing require that asystematic set of questions
be appliedtoeach business circumstance. These include, but are not limited
to, asking yourself whether or not you have plans for raising company
revenue, reducing company costs, andmaintaining company quality. These
are the basic three key points that eachpersonin charge of these resources
must ask, and thenproceedtoimplement concrete methods for achieving
each point.
The organizational designof any company will dictate the number and
functions of the members of the management team. Each manager will have
duties that are specific tothat particular position, but the manager must
utilize aset of strategies andideals that work best toachieve company goals.
Some will work top down, designating work and overseeing results. Others
will work horizontally, toencourage teamwork, camaraderie, andcreativity
for workers.
