9. Traditional methods
Traditionally, inspection records are completed by hand on paper, this causes many issues
including:
Retrospective completion of forms, based on memory of what’s been recorded out in the
field, photographs taken separately (if at all) and then collated when back in the office.
• Illegible text
• Uncertainty of
date completed
• Location is not
definite
• Long winded,
hand written
notes
15. Magnor Plant scenario
Tractor and trailer on hire to project X
@ c£1000 per week
Project X no longer requires the tractor
and has considered it off hired
No off hire note can be found
Plant remains on hire and therefore the
project is charged for it’s continued
use…
6 weeks later, the QS notices the
cost…
This is just one example
16. Part of the problem…
All of the paperwork at the Magnor Plant Fitter’s office:
Senior maintenance fitter was spending 60% of his time doing administrative tasks
Admin teams spending a lot of time chasing orders, paperwork, location of plant
Something had to change…
40. Benefits
£1000s saved on plant on / off hired
Administration and inspection time reduced significantly
Instant notification sent to central finance email – costs can be
allocated quicker
More accurate records
Less paper
Records held electronically
Easy reporting
