Introduction:- CMS “Company Management System” is an organizational structure, defining responsibilities, process and resources for managing Total Abu Al Bukhoosh (Total ABK) activities as per the group’s expectations and standards in compliance with the national (UAE) rules and regulations. • Why CMS: The main objectives of CMS are to provide Company rules and procedures to employees, and to ensure compliance with the Group’s directives and the national and international relevant regulations. Who Does What in CMS:- • CMS Coordinator: Total ABK has nominated a CMS coordinator whose role is: Lead the CMS working committee, Coordinate Total ABK Department work plans, Ensure adherence to CMS defined templates, Provide management with status and progress, CMS Steering Committee: The steering committee is the highest authority for CMS. It is chaired by the General Manager and it consists of department managers as members. It is responsible for validation and decision making as well as for setting CMS access features. • CMS Manual and Index: The manual is issued and posted in Total ABK Intranet. It is a guide and a quick reference for all CMS related affairs. • CMS Intranet: CMS is accessible through Total ABK Intranet. The site contains a search engine to help the users find the related information. CMS web address: http://abkweb.ae.ad.ep.corp.local/CMS • CMS and Security of Information: CMS is provided with security feature to organize access to various documents. - 3. CMS – CompnayManagement System Structure 3. CMS Structure:- CMS is structured in a user friendly configuration that makes consultation and access simple and easy. It is based on a pyramid shape structure that contains the main three categories of document: Policy Management & Organisation Work Documents • Policy: Contains mandatory requirements to be followed or written derogation obtained from top management. • Management & Organization: These are the documents that detail the CMS requirements, for activities where two or more departments are formally involved. • Work Documents: These are documents specific to one site and could be mandatory or not, however these must comply also with the company policies, rules and existing procedures and manuals. Please refer to CMS manual for more details. It is recommended and helpful to refer to the Groups referential before issuing any CMS document in order to ensure the coherence of the issued document with group’s requirement for the specific topic. - 4. CMS – CompnayManagement System Goldren Rules 4. CMS Golden Rules:- • CMS dissemination: It informs and ensures awareness of the existence of a certain document. It is also a reminder to the users that a particular topic had been dealt with. • CMS Revisions: Is a tool to ensure an existing document is useful, useable and used. Revising is also important to delete obsolete or unused documents. It is recommended that CMS document should be revised at least once a year. • CMS Quality Control: Is important to ensure coherence and compliance of CMS documents.
