• The first step of the event management
process.
• The process by which the manager or
organizer looks towards the event to
discover what various courses of action are
available to arrange it, and which course of
action would be the best.
1. Appointing an Event Committee
2. Appointing an Event Coordinator
3. Making budget proposal
4. Event marketing plan
5. Booking the venues and sports equipment
6. Securing permits
7. Acquiring medical assistance
 The process of gathering people into a group
that will work on something together for an
event.
 Organizing has various steps to do such as –
select dates, choose venue, plan supplies(medals,
whistles), etc.
 Go through all details of your sports event with
venue management, volunteers so that everyone
under stands how tournament will proceed
 The process of directing the operations of the
nature of work of the assigned committee.
 Creating teamwork among athletes,
organizations and clients are something that the
person or committee should be able to do well.
 A very good tool to ensure a sound planning
process of your tournament is to appoint an
event committee
 The members of the committee have to be
trustworthy , skilled , committed and reliable.
 The size of the committee depends on the
size and complexity of an event.
 For events in the community you don’t need a
big number of members.
 To sum it up, the event committee is
responsible for strategic decision about the
event.
 In some cases the event committee is also
responsible for appointing and overseeing
the event coordinator.
 Over all in-charge of the event
 Logistics
 Program committee
 Officiating officials
 Marketing/Sponsorship
 Food
 First-Aid
 An event coordinator does not gets involved with
the design of the event, itself. Instead they are in
charge of managing the individual components
to ensure the event goes smoothly.
 The coordinator assists the planner in making
that reality. He may look and organise the event
tasks.
 Responsible for working all paperwork-
related activities such as certificates,
registration, results of the game, bookings,
permits etc.
 Coordinates with the program committee
especially during awarding ceremony in
distributing certificates, medals, and trophies
to the winners
 The job of program committee is to identify and
secure what is needed such as- participation of
audience, venue, technical support, available
money, etc.
 Responsible in organizing live events such as
opening ceremony and awarding ceremony
 Providing entertainment to all participants
 A official is a person who controls the actual
play of a competition by the application of
the rules and laws.
 Act as referee, umpire, linesmen,
commentator, time keeper, scorer and the
other officials so that the play should be fair
and proper.
 Responsible for looking for potential
participants who will join the event by
sending formal letter of invitation
 Responsible for looking for potential
sponsors who will help in financial matters of
the event
 Food has an international language of its
own, an invaluable tool to meeting event
goals, and it is easily tied into any theme.
 The food committee is responsible to plan,
produce and serve the meal.
 Responsible for preparing food to the
different working committees, audience and
the players.
 Responsible in providing medical health care
assistance to all participants in case of
sports-related injuries and/or emergencies.
 Ensure that they have adequate plans
regarding the provision of medical ambulance
and first-aid service in consultation with the
statutory services.
 Monitoring the continuous and systematic
observation and supervision of certain
objective, plans, processes and events.
 The process of having the power to control
how the event is managed or done.
 Process of anticipating possible expenses for the
event to control the flow of the money.
 It involves predicting the financial outcome of an
event in order to improve event management
practices and ascertain financial viability.
