Purpose
This examination will evaluate your ability to write an interoffice memorandum and an e-mail.
Preparation
Review the following sections in this study unit: “Interoffice
memorandums,” “Negative letters,” and “E-mails.” Your e-mail
should follow the format shown in Figure 15, with content
appropriate to the assignment—that is, a negative letter
written to solve a problem.
Background
Phoenix Advertising, with its main headquarters in Charlotte,
North Carolina, serves clients that include banks, insurance
companies, and retail chains.
You’re the vice president of human resources management at
Phoenix. You report directly to Gregory S. Forest, the company
president. Mr. Forest advises you that in the last month, four
clients have complained about the advertising work produced
by the Roanoke, Virginia branch of the agency. He reminds
you that the clients served from the Roanoke branch are vital
to the overall success of Phoenix Advertising.
Mr. Forest also explains the little he has been able to learn
about the situation at the branch: In the last three months,
two of the top management people—an art director and an
account executive—have left the agency. Three of the graphic
designers and four of the copywriters are threatening to quit
because they feel their creative efforts are being rejected
or revised without consultation. They want to be part of a
collaborative team, not to simply produce work that the art
directors and account executives can alter arbitrarily.
In an attempt to increase revenues, the branch is accepting
new clients without evaluating the effects of the new accounts
on the current project workload. As a result, without notice or
compensation for the additional hours, all salaried employees are required to work long hours several days each week.
Employee morale and productivity are declining day by day.

What the Problem Is and Why It Needs to Be Investigated
During working hours, there have been issues where an e-mail is sent by higher with valuable information that needed a response immediately. In my case, as a property chief for my work section, my job consists of a combination of computer work and inventory. The days I have to take accountability of the property, I am not on my computer. Therefore, any e-mails sent during the time are not being read. In technology advance workspaces, SMS and video calls are introduced as a form of instantaneous forms of communication. Texting is considered casual, is informal communication due to abbreviations and wording we rarely use in a professional setting. The biggest concern of introducing texting or video calls loss of ethical and professionalism aboard the workplace.

Proposals may be informal or formal, solicited or unsolicited. Solicited proposals are invited, that is, the awarding organization calls for proposals from interested individuals/parties, usually via an RFP. The awarding organization lays down the requirements that the proposal should contain. In many cases, a standard format is provided for the parties to submit their proposals. Unsolicited proposals are a little more detailed because they must establish more background information. In this assignment, you'll have a choice to write an unsolicited or solicited proposal.

Assume that you’ve worked for the last five years as an administrative assistant for the Human Resources Department of Broadworth General Hospital. The Director of Human Resources, Miriam Hopkins, has charged you with organizing a two-hour training seminar to be attended by the hospital’s 20 office supervisors. The seminar should cover sexual harassment and unlawful discrimination in the workplace.
For the last 20 years, the hospital has contracted all training through the nationally acclaimed Wydade Consulting Services. Jeremy Dittmer, employee relations specialist, is manager of the local branch of Wydade. He requires a three-month advance notice regarding any training Broadworth needs so he can supply an appropriate trainer and any materials that may be required. This is the first time you’ve dealt directly with Mr. Dittmer.

Background
Phoenix Advertising, with its main headquarters in Charlotte,
North Carolina, serves clients that include banks, insurance
companies, and retail chains.
You’re the vice president of human resources management at
Phoenix. You report directly to Gregory S. Forest, the company
president. Mr. Forest advises you that in the last month, four
clients have complained about the advertising work produced
by the Roanoke, Virginia branch of the agency. He reminds
you that the clients served from the Roanoke branch are vital
to the overall success of Phoenix Advertising.
Mr. Forest also explains the little he has been able to learn
about the situation at the branch: In the last three months,
two of the top management people—an art director and an
account executive—have left the agency. Three of the graphic
designers and four of the copywriters are threatening to quit
because they feel their creative efforts are being rejected
or revised without consultation. They want to be part of a
collaborative team, not to simply produce work that the art
directors and account executives can alter arbitrarily.
In an attempt to increase revenues, the branch is accepting
new clients without evaluating the effects of the new accounts
on the current project workload. As a result, without notice or
compensation for the additional hours, all salaried employees are required to work long hours several days each week.

In my case, as a property chief for my work section, my job consists of a combination of computer work and inventory. The days I have to take accountability of the property, I am not on my computer. Therefore, any e-mails sent during the time are not being read. In technology advance workspaces, SMS and video calls are introduced as a form of instantaneous forms of communication. Texting is considered casual, is informal communication due to abbreviations and wording we rarely use in a professional setting. Effective communication throughout a workplace is an essential ingredient to align people’s efforts towards achieving goals. Yet it seems that ‘communication problems’ are continually mentioned as one of the main difficulties for most organisations.
Your boss, the CEO of ABC Company, has asked you to investigate the issues associated with each of the following four workplace communication strategies:
1. Social media to improve internal and external communication.
2. Communicating to customers.
3. Connecting with employees.
4. Crisis communication developing strategies to protect the reputation of the organisation in a crisis.
Working in groups of four, each student will write on one of the workplace communication strategies.
Please follow these guidelines to complete the assessment:
1. This assessment comprises two parts: a. group-assigned written report b. three-minute individual oral presentation.
2. You will be assigned to a group of four students. Internal students will be given their group in the tutorial; external students will be notified via email.
3. The purpose of this assessment is for you to engage in web-based research. Each student in your group needs to select ONE of the four workplace communication strategies.
4. Start your web-based research with a search of popular business publications, even trade journals, professional journals and current affairs journals, for any information about workplace communication strategies. Finally, use academic research to support your findings in relation to your selected theme.
5. Each student needs to find 8-10 secondary sources for his/her section. Please note you are expected to use a minimum of four (4) refereed academic journals. You will be shown how to tell if a journal is peer reviewed/refereed. Do not include more than 10 references per student.
6. Document using SCU Harvard format.
7. You are encouraged to write a first draft of this report at least one week prior to the due date to ensure adequate time for revision. Please be aware that the writing quality and appropriate referencing will be marked as well as the content.

Please follow these guidelines to complete the assessment:
1. This assessment comprises two parts: a. group-assigned written report b. three-minute individual oral presentation.
2. You will be assigned to a group of four students. Internal students will be given their group in the tutorial; external students will be notified via email.
3. The purpose of this assessment is for you to engage in web-based research. Each student in your group needs to select ONE of the four workplace communication strategies.
4. Start your web-based research with a search of popular business publications, even trade journals, professional journals and current affairs journals, for any information about workplace communication strategies. Finally, use academic research to support your findings in relation to your selected theme.
5. Each student needs to find 8-10 secondary sources for his/her section. Please note you are expected to use a minimum of four (4) refereed academic journals. You will be shown how to tell if a journal is peer reviewed/refereed. Do not include more than 10 references per student.
6. Document using SCU Harvard format.
7. You are encouraged to write a first draft of this report at least one week prior to the due date to ensure adequate time for revision. Please be aware that the writing quality and appropriate referencing will be marked as well as the content.
8. Submit the report Turnitin via the Blackboard site no later than the due date: Friday 2nd February 2018, 9.00am (QLD time). Please note: only one student submits on behalf of their group.
9. In addition to the report each student will be required to give a three minute oral presentation on their respective report section.

Embracing GenAI - A Strategic Imperative
Artificial Intelligence (AI) technologies such as Generative AI, Image Generators and Large Language Models have had a dramatic impact on teaching, learning and assessment over the past 18 months. The most immediate threat AI posed was to Academic Integrity with Higher Education Institutes (HEIs) focusing their efforts on combating the use of GenAI in assessment. Guidelines were developed for staff and students, policies put in place too. Innovative educators have forged paths in the use of Generative AI for teaching, learning and assessments leading to pockets of transformation springing up across HEIs, often with little or no top-down guidance, support or direction.
This Gasta posits a strategic approach to integrating AI into HEIs to prepare staff, students and the curriculum for an evolving world and workplace. We will highlight the advantages of working with these technologies beyond the realm of teaching, learning and assessment by considering prompt engineering skills, industry impact, curriculum changes, and the need for staff upskilling. In contrast, not engaging strategically with Generative AI poses risks, including falling behind peers, missed opportunities and failing to ensure our graduates remain employable. The rapid evolution of AI technologies necessitates a proactive and strategic approach if we are to remain relevant.

Assignment Details Assignment Description You and your colleagues, who teach business communication at Oscoda County Community College, are interested in setting up a business writer’s hotline—a telephone and e-mail service that will provide answers to grammar, mechanics, and format questions for people who call in or write. You see it as a way of providing a much-needed service to local businesspeople as well as a way of providing positive public relations for your institution. Each faculty member is willing to donate time to answer the phones and e-mails, but you will need funds for telephone lines, answering machines, reference books, advertising, and more. You decide to apply for a grant from the H. M. Luce Foundation to fund the project for 1 year. After that, if the hotline is successful, you will either reapply for funds or ask Oscoda County Community College administration to fund the continuing costs. For requests less than $3,000, the foundation requests a simple narrative report explaining and justifying the request. Part 1 (1–2 pages): In your paper, answer the following information-gathering questions: What is the background of the problem? What will be the outcome of the project? Describe the audience for this report and the implications for structuring your report. Describe how the hotline will work. What are the advantages of this project? What will the project cost? What are the qualifications of those involved? Part 2 (2–4 pages):
- 2. Now, you will need to take the information that has been collected from the information gathering and write a proposal to H. M. Luce Foundation for the costs of the proposed hotline. Please submit your assignment. The following grading criteria will apply to this assignment: 225–250 Student fully understood assignment, answered all portions, and met minimum length requirements. Grammar, spelling, and format are correct. 200–249 Student demonstrated partial completion of the knowledge of the issues of working in teams and writing reports.
