So, what concepts allow Workdesk to be suited to streamlining business processes? It’s these three things.
First, on top of just access control and document control (which Alfresco provides), Workdesk adds Business Role management, that allows you to serve-up content and actions to people based on both who they are and what their role is in a business process. Second, Workdesk has Dynamic Folders & Views. Today, if you just log into Alfresco One, Each Document lives in a Folder, in a Site… a single, specific location for each document. With Workdesk, 1 file can show-up in different folders and views based on who you are and what your context is.
For example: let’s say you are an HR Director, and you need to make sure that each new-hire employee has A Current Resume, A Tax Form and A signed Confidentiality Agreement in their OFFICIAL FILE. The HR Director’s view in Workdesk is the Employee File, which contains all three files. He can verify that it is complete. The Lawyer’s view, however, might be a Folder of Confidentiality Agreements that contains ALL the confidentiality agreements for the whole company, alphabetized. That way, if the lawyer ever needs quick access, he has 1 folder to go to. There is only 1 copy of the document – but it can show up in multiple views.
Finally, Alfresco Workdesk is designed for configuring your business process into it. A standard content-centric interface will take much longer to customize, through coding, to your needs. Workdesk aims to get you going quickly.
