- Before we go into Alfresco Workdesk, it’s important to understand the different types of content-centric business problems. Think about which ones you have? What BUSINESS VALUE are you trying to get by looking at content solutions. Here are some examples of Process-centric content challenges – you see these in Finance, government, and really the operations of any corporation. The goal of automating these processes is Process Efficiency, Cost savings, Customer or Employee satisfaction, and compliance to processes (think Pharma or HR). Many of the analysts also call this Transactional Content Management. But some challenges are Collaboration-centric… the goal of applying technology to these processes is to gain Organizational, Team or personal productivity, business agility (make decisions faster, with better information), bring products to market faster, etc. And company compliance – record keeping, contracts, etc. Which challenges does your organization face?
- With the introduction of Alfresco Workdesk, Alfresco now has a purpose-built solution for Process-Centric or Transactional content processes. If you think about what you want your users to do in these types of processes, you want them to work on their queue of documents and access case files that are presented in the right business context (maybe it’s an attorney who needs to approve NDAs, or a Clerk who needs to fill out the Customer Number on Contracts). It’s about efficiency. Then, you will want to audit the actions later to make sure people are following the defined process. Alfresco Workdesk was designed to make it easier to automate and streamline process-centric content challenges. But with Collaboration Centric apps, it’s much more ad-hoc. People use the application for browsing, searching, collaborating – keeping things organized into Project Sites or Team sites – sharing content (that’s why Alfresco has social features and activity feeds), and ultimately retaining and archiving content according to legal rules and risk management. Both of these are truly valuable to the enterprise – it just depends on what you need and where your greatest ROI opportunity is.

- So, what concepts allow Workdesk to be suited to streamlining business processes? It’s these three things. First, on top of just access control and document control (which Alfresco provides), Workdesk adds Business Role management, that allows you to serve-up content and actions to people based on both who they are and what their role is in a business process. Second, Workdesk has Dynamic Folders & Views. Today, if you just log into Alfresco One, Each Document lives in a Folder, in a Site… a single, specific location for each document. With Workdesk, 1 file can show-up in different folders and views based on who you are and what your context is. For example: let’s say you are an HR Director, and you need to make sure that each new-hire employee has A Current Resume, A Tax Form and A signed Confidentiality Agreement in their OFFICIAL FILE. The HR Director’s view in Workdesk is the Employee File, which contains all three files. He can verify that it is complete. The Lawyer’s view, however, might be a Folder of Confidentiality Agreements that contains ALL the confidentiality agreements for the whole company, alphabetized. That way, if the lawyer ever needs quick access, he has 1 folder to go to. There is only 1 copy of the document – but it can show up in multiple views. Finally, Alfresco Workdesk is designed for configuring your business process into it. A standard content-centric interface will take much longer to customize, through coding, to your needs. Workdesk aims to get you going quickly.
- Here is a more visual depiction of where Workdesk sits and what it does. Using the same, robust Alfresco repository that you would use for Content-Centric applications, Workdesk adds the value of Business Roles, Personalization and dynamic views so that the right content is delivered to the right people, when it is needed. You can still use Alfresco One’s standard web and mobile views to access the repository, because it is all built on top of Alfresco.
- All of this functionality is delivered no matter how your users want to integrate it into their personal workflows. If they are comfortable with the browser, Alfresco Workdesk offers the most featureful and customizable views. Or, if your users don’t want to leave their desktop, Alfresco Office Workdesk allows them to work their Document processes right on their Windows desktop and in popular Windows Apps, such as MS Office. They can edit metadata and perform actions right from these apps. Finally, Alfresco Mobile Workdesk brings those views to mobile workers on iPads or iPhones.
