Person Gallery & Portraits - An Overview
 Primary functions of the Person Gallery include:-
 Person search.
 Workers self-service.
 Line manager self-service.
 A portrait is a collection of an employee’s personal and
employment information.
 The type & quantity of information in the portrait depends on
the security access granted to the person viewing the
portrait.

Person Search
 An equivalent to a corporate directory, where the users can
search for any worker in an enterprise.
 From an HR specialist & line manager perspective, a detailed
access is usually available to the records of subordinates or
other people whom the user is responsible.
 User can navigate to :-
 Specific person’s portrait.
 View a graphical org. chart for a person
 Initiate actions such as change personal information, initiate
transfer for an employee etc.
 Keywords that can be used to search :-
 Attributes of a person (first name, last name etc), employment
information, profile records.
** Note Before
a)Search is controlled by the public person security profile.
b)The available actions depend of the security privileges set for the user.

Person Search
 Keywords are automatically copied from the originating records into the PER_KEYWORDS table.
 If there is any change in any key word attribute (like addition of a new skill or new job title etc) the application raises an
event to that effect. In response to this event, services run a process to make the necessary updates in the
PER_KEYWORDS table.
 Most processes are managed automatically to handle required updates. However, under some cases running the
update person search keywords process manually also ensures that necessary changes are copied to the
PER_KEYWORDS table.
**Note Before :-
a) Most changes to the above mentioned table happen automatically, however users would need to run the update person search process regularly as
this does not apply to future dated changes.
b) The likely volume and frequency of the changes required as per the business scenario, will determine how often you need to run the update person search process.
c) When the update person search process is run, the whole PER_KEYWORDS table is refreshed. Hence the best practice would be to run the service at times of low
activity to avoid performance issues.

Person Search
 The application searches for keyword values in the following
attributes within a person’s records.
Department, Job name & code, Position name & code, Person
name, Primary email, Primary phone, Work location ,Competencies,
Language skills, Licenses & certifications, Educational records,
awards & honors, affiliations, area’s of interest & expertise.
 User’s access to a person’s information such as
competencies, language skills etc is restricted to the person’s
line manager.
 Keyword indexing:-
 All the keywords are copied from the persons records during search
and organized in the PER_KEYWORDS table for faster retrieval.
 Most changes occur as the data is copied to ensure that there is no
difference between the source & the indexed values.
**Note Before
a) Restricted information is not searched and is never included in the
search results when the searcher is not a line manager.
b) Depending on when the last update person search keyword process
was run, some very recent changes to the person records may not
appear in the search results.

Scheduling Process & Settings
 The process is based on a job, which determines what
options are available and what the process can do.
 Users can search the “schedule person” keyword under the
all tasks tab to go to the specific task.
 The same process can be used with different parameters
and other settings as required outcomes.
 Other settings include options such as schedule, output &
notifications.
 Schedule :-
 As soon as possible
The default option selected.
 Using a schedule:
 Enables the user to specify exact dates & times for the
process to run.
 User can also set the process to run at specified interval
within a date range.
 A saved schedule can also be selected if required.

 Output :-
 Allows user to define one or more output options.
 User can specify the name, layout and format of each
document.
 As an optional setting, user can also choose the delivery
destination for the output document. E.g. To send the output
document via email to a user.
 Notifications :-
 User can select when to receive an email when the process ends.
 The option to choose the respective recipients to be notified also
can be chosen.

Running The Update Person Search Process
 Users can use the “run person” keyword under setup &
maintenance work area.
(Path : Navigator  Tools  Setup & Maintenance  All tasks)
 Upon submission, the application would provide a
process confirmation id which can be used to track the
submitted task. This process can be monitored under the
scheduled process work area.
(Path : Navigator  Tools  Scheduled Processes )
** Note Before
a)Users can also schedule and run the processes from the schedule
process work area.
b)Most predefined processes are accessible from their own work area or
from the setup & maintenance work area.
c) Users can schedule generic processes can also be accessed from the
schedule work area. This applies for those processes which are not
accessible from their own respective work areas.

Search Relevance Configurations
 This option allows the user to control & define the
relationship between the searcher and the search results.
 The strength of the relationship for the person performing
the gallery search and each person whose assignment
appears in the search, can determine the order of the
result.
e.g. The stronger the relationship of the assigned task, the closer to
the top the related assignment appears.
 Weighting profile options can help the user to change the
weight age applied to the relevant factors.
e.g. In the screenshot given alongside, the location proximity weight
option specifies that it has more weight age as the other options.
The default value is 0.5.
** Note Before
a) To increase the relevance of a factor relative to the others, you simply increase
the weight age and to decrease its relevance you reduce the weight age applied.

Search Relevance Configurations
 Other profile configuration options include :-
Selection History Timeout :-
This option records the number of times a searcher selects a person’s assignment details from a search result during a specified period.
The default option set here is 7 days. This means that all the search results for the period of 7 days will be stored automatically in the application.
Maximum hierarchy Proximity :-
This option helps define and co-relate the searcher’s primary assignment with that of the manager’s hierarchy. The strength of the relationship depends on
their proximity to each other in the hierarchy. The calculation will include a maximum boundary of 4 by default.
Relationship Priority Factor :-
This option allows the searcher to define a specific rating for each search result, which is associated with a default multiplying factor. The default multiplying
factor applied here is 2. If you increase the value then, the application would increase the significance of the searcher’s result as compared to the other
factors defined by the user.

Organization Charts
 From the person search, the user can navigate to a
person’s organization chart.
 The organization chart displays the selected person’s
manager and peers in a tree chart format initially.
 User’s can choose the matrix chart to display other
manager types in addition to the line manager option
(which is chosen by default)

Line Manager Self Service
 The organizational chart presents the line manager with a
hierarchical view of people in their respective
organizations.
 When respective line managers view the portraits, they
see more detailed information that that is available in the
public version of a worker’s portrait.
 Actions available also change when the line manager
views the portraits.

Worker Self Service
 The my portrait tab in the person gallery,
contains the most detailed information about a
worker.
 It also acts as a launch point for the workers self
service activities.
 Maintaining activity details, contact info,
participating and keeping track of social
connections etc are some of the self service
activities which can be accessed.

Portrait Cards
 There are 16 portrait cards on which the users can perform various actions, they are as under :-
1. Activities & Interests : View & manage personal areas of interest, spaces, web page bookmarks & control the
message board.
2. Availability : View & manage your calendar, paid time off, accrual & absence information.
3. Benefits : View benefit options such as life and wellness options.
4. Career Planning : View & manage career preferences, review career interests based on best fit analysis, review
careers which the user has expressed interest or the suggested career options etc. Respective managers can view
and update the talent ratings for direct reports.
5. Compensation : View salary slips & compa-ratio details.
6. Connections : Invite others to connect with you, so as to build a network, share feedback, bookmarks and other
information.
7. Contact Information : View & update information on how to contact you, work location etc.
8. Current & Completed Tasks : View & act on workforce tasks.

Portrait Cards
 There are 16 portrait cards on which the users can perform various actions, they are as under :-
9. Development & Growth : Compare your competencies with the required competencies of a job, view & add
performance and developmental goals.
10. Employment : View employment details such as assignment status, HR manager’s information, duration of
employment etc.
11. Experience & Qualifications : View & update skills, qualifications, view performance ratings for the last 3 years,
set goal completion rate & maintain personal work requirements.
12. Kudos : View & manage feedback received or given
13. Network Activities : Track & trace activities for users within your work region.
14. Payroll : View pay information, manage payment methods to handle payments to a particular bank account.
15. Personal & Employment : Maintain personal & official document information.
16. User Account Details : View current assigned roles & requests made.
** Note Before
a) All portrait cards may not be visible to all users. Hiding portrait cards or actions is handled by creating custom duties & roles. This point will be covered in detail in the

Simplified User Interface - Overview
 The simplified user interface is available in addition
to the Fusion Desktop UI, which operates on many
devices such as tablets, iPads etc.
 This UI has reduced featured & is focused on
providing with the most common tasks used.
 The data & data model present are the same as in
Fusion, but the overall presentation is changed.

 Using the directory page the user can :-
 View organization charts, which is based on the line
manager’s hierarchy defined in the person’s
assignment.
 Search & select people, view their public portraits etc.
 View your portrait either by selecting yourself un the
organization chart or search for and select yourself
using the search results.

a) The advance search button navigates to the Fusion Person Search advanced search page. The search is based on the same PER_KEYWORDS table that is used in the
person gallery search within the Fusion Desktop UI.

Managing Gallery Portraits Tasks
 Configuring the public portrait : -
Users can specify which portrait user can see and some types of portrait information by
the users. One can also specify whether the users can change the settings in their
respective portraits using this work area.
 Managing the portrait card display : -
This task is provided as a debugging tool for Oracle development, to identify and resolve
issues with respect to portrait cards. Instead implementers can use the public portrait
settings and restrict users from seeing certain portrait information by default.
For e.g. You can allow the portrait users to see the social network portrait card, but only
the person’s manager to view the skills & qualifications.
** Note Before
a) Implementers please take note that access to the manage portrait card display task should be
restrictive. This task should be accessed only at the direction of Oracle Development only.
b) Hiding cards or actions using the portrait is done by creating custom roles & duties, which will be
discussed in detail in the Define security for HCM lesson.
c) Implementers should note not to allow users to control portrait settings. Access to such activities
should be given to the workers line manager.

Managing Gallery Portraits Tasks
 Managing Administrative Messages : -
Users can use this work area to manage custom gallery
messages to alert portrait users of events & tasks to be
completed.
These custom messages appear in the portraits for the
people affected by the specified event. These messages can
also be used as notifications to inform if a specific workers
availability gets affected by any means.
The messages are controlled using from/to dates & specific
times. Hence they appear only for the specified duration
alone. For e.g. The sales team has relocated to another
building two weeks ago. You want to notify the other affected
participants about this for a specific duration.
When such messages are created, the target department &
target location become mandatory. These messages
disappear from the user portraits upon expiration.
If this message is intended to affect the entire hierarchy, then
the target organization hierarchy option become mandatory.

Managing Gallery Portraits Tasks
 Setting Up Calendar Events: -
Calendar events such as public holidays etc where business as usual
patterns of a workforce are likely to be disrupted.
When you select a calendar event category such as a public holiday,
a message for each calendar event in that category appears in the
portraits for the specified duration.
How relevant portraits are depends on whether or not implementers
use the work schedules.
For e.g. St. Stephens day is a public holiday for Germany, but not
France or India. If you select the public-holiday event as a category,
this message would appear on St. Stephens day in the portraits of
workers in the German locations.
This message will not appear for :-
1. Workers in the German location whose primary schedule or
scheduled assignments does not include this calendar event as an
exception.
2. For workers in non affected locations such as India or France.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor7 Person Search  An equivalent to a corporate directory, where the users can search for any worker in an enterprise.  From an HR specialist & line manager perspective, a detailed access is usually available to the records of subordinates or other people whom the user is responsible.  User can navigate to :-  Specific person’s portrait.  View a graphical org. chart for a person  Initiate actions such as change personal information, initiate transfer for an employee etc.  Keywords that can be used to search :-  Attributes of a person (first name, last name etc), employment information, profile records. ** Note Before a)Search is controlled by the public person security profile. b)The available actions depend of the security privileges set for the user.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor8 Person Search  Keywords are automatically copied from the originating records into the PER_KEYWORDS table.  If there is any change in any key word attribute (like addition of a new skill or new job title etc) the application raises an event to that effect. In response to this event, services run a process to make the necessary updates in the PER_KEYWORDS table.  Most processes are managed automatically to handle required updates. However, under some cases running the update person search keywords process manually also ensures that necessary changes are copied to the PER_KEYWORDS table. **Note Before :- a) Most changes to the above mentioned table happen automatically, however users would need to run the update person search process regularly as this does not apply to future dated changes. b) The likely volume and frequency of the changes required as per the business scenario, will determine how often you need to run the update person search process. c) When the update person search process is run, the whole PER_KEYWORDS table is refreshed. Hence the best practice would be to run the service at times of low activity to avoid performance issues.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor9 Person Search  The application searches for keyword values in the following attributes within a person’s records. Department, Job name & code, Position name & code, Person name, Primary email, Primary phone, Work location ,Competencies, Language skills, Licenses & certifications, Educational records, awards & honors, affiliations, area’s of interest & expertise.  User’s access to a person’s information such as competencies, language skills etc is restricted to the person’s line manager.  Keyword indexing:-  All the keywords are copied from the persons records during search and organized in the PER_KEYWORDS table for faster retrieval.  Most changes occur as the data is copied to ensure that there is no difference between the source & the indexed values. **Note Before a) Restricted information is not searched and is never included in the search results when the searcher is not a line manager. b) Depending on when the last update person search keyword process was run, some very recent changes to the person records may not appear in the search results.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor11 Scheduling Process & Settings  The process is based on a job, which determines what options are available and what the process can do.  Users can search the “schedule person” keyword under the all tasks tab to go to the specific task.  The same process can be used with different parameters and other settings as required outcomes.  Other settings include options such as schedule, output & notifications.  Schedule :-  As soon as possible The default option selected.  Using a schedule:  Enables the user to specify exact dates & times for the process to run.  User can also set the process to run at specified interval within a date range.  A saved schedule can also be selected if required.

(Path : Navigator  Tools  Setup & Maintenance  All tasks)  Upon submission, the application would provide a process confirmation id which can be used to track the submitted task. This process can be monitored under the scheduled process work area. (Path : Navigator  Tools  Scheduled Processes ) ** Note Before a)Users can also schedule and run the processes from the schedule process work area. b)Most predefined processes are accessible from their own work area or from the setup & maintenance work area. c) Users can schedule generic processes can also be accessed from the schedule work area. This applies for those processes which are not accessible from their own respective work areas.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor16 Search Relevance Configurations  This option allows the user to control & define the relationship between the searcher and the search results.  The strength of the relationship for the person performing the gallery search and each person whose assignment appears in the search, can determine the order of the result. e.g. The stronger the relationship of the assigned task, the closer to the top the related assignment appears.  Weighting profile options can help the user to change the weight age applied to the relevant factors. e.g. In the screenshot given alongside, the location proximity weight option specifies that it has more weight age as the other options. The default value is 0.5. ** Note Before a) To increase the relevance of a factor relative to the others, you simply increase the weight age and to decrease its relevance you reduce the weight age applied.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor17 Search Relevance Configurations  Other profile configuration options include :- Selection History Timeout :- This option records the number of times a searcher selects a person’s assignment details from a search result during a specified period. The default option set here is 7 days. This means that all the search results for the period of 7 days will be stored automatically in the application. Maximum hierarchy Proximity :- This option helps define and co-relate the searcher’s primary assignment with that of the manager’s hierarchy. The strength of the relationship depends on their proximity to each other in the hierarchy. The calculation will include a maximum boundary of 4 by default. Relationship Priority Factor :- This option allows the searcher to define a specific rating for each search result, which is associated with a default multiplying factor. The default multiplying factor applied here is 2. If you increase the value then, the application would increase the significance of the searcher’s result as compared to the other factors defined by the user.

Select a different layout for the organizational chart for e.g. tree or circle. Increase, decrease the number of levels of display. Flip the card to see other views such as employment, info, contact information etc.

Activities & Interests : View & manage personal areas of interest, spaces, web page bookmarks & control the message board. 2. Availability : View & manage your calendar, paid time off, accrual & absence information. 3. Benefits : View benefit options such as life and wellness options. 4. Career Planning : View & manage career preferences, review career interests based on best fit analysis, review careers which the user has expressed interest or the suggested career options etc. Respective managers can view and update the talent ratings for direct reports. 5. Compensation : View salary slips & compa-ratio details. 6. Connections : Invite others to connect with you, so as to build a network, share feedback, bookmarks and other information. 7. Contact Information : View & update information on how to contact you, work location etc. 8. Current & Completed Tasks : View & act on workforce tasks.

Employment : View employment details such as assignment status, HR manager’s information, duration of employment etc. 11. Experience & Qualifications : View & update skills, qualifications, view performance ratings for the last 3 years, set goal completion rate & maintain personal work requirements. 12. Kudos : View & manage feedback received or given 13. Network Activities : Track & trace activities for users within your work region. 14. Payroll : View pay information, manage payment methods to handle payments to a particular bank account. 15. Personal & Employment : Maintain personal & official document information. 16. User Account Details : View current assigned roles & requests made. ** Note Before a) All portrait cards may not be visible to all users. One can also specify whether the users can change the settings in their respective portraits using this work area.  Managing the portrait card display : - This task is provided as a debugging tool for Oracle development, to identify and resolve issues with respect to portrait cards. Instead implementers can use the public portrait settings and restrict users from seeing certain portrait information by default. For e.g. You can allow the portrait users to see the social network portrait card, but only the person’s manager to view the skills & qualifications. ** Note Before a) Implementers please take note that access to the manage portrait card display task should be restrictive. This task should be accessed only at the direction of Oracle Development only. b) Hiding cards or actions using the portrait is done by creating custom roles & duties, which will be discussed in detail in the Define security for HCM lesson. c) Implementers should note not to allow users to control portrait settings. Access to such activities should be given to the workers line manager.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor37 Managing Gallery Portraits Tasks  Managing Administrative Messages : - Users can use this work area to manage custom gallery messages to alert portrait users of events & tasks to be completed. These custom messages appear in the portraits for the people affected by the specified event. These messages can also be used as notifications to inform if a specific workers availability gets affected by any means. The messages are controlled using from/to dates & specific times. Hence they appear only for the specified duration alone. For e.g. The sales team has relocated to another building two weeks ago. You want to notify the other affected participants about this for a specific duration. When such messages are created, the target department & target location become mandatory. These messages disappear from the user portraits upon expiration. If this message is intended to affect the entire hierarchy, then the target organization hierarchy option become mandatory.

Proprietary and Confidential – Distributed to Authorized Customers Subject to Safe Harbor38 Managing Gallery Portraits Tasks  Setting Up Calendar Events: - Calendar events such as public holidays etc where business as usual patterns of a workforce are likely to be disrupted. When you select a calendar event category such as a public holiday, a message for each calendar event in that category appears in the portraits for the specified duration. How relevant portraits are depends on whether or not implementers use the work schedules. For e.g. St. Stephens day is a public holiday for Germany, but not France or India. If you select the public-holiday event as a category, this message would appear on St. Stephens day in the portraits of workers in the German locations. This message will not appear for :- 1. Workers in the German location whose primary schedule or scheduled assignments does not include this calendar event as an exception. 2. For workers in non affected locations such as India or France.
