2. Statement of the problem
PFB’s Electrical / Electronic Installation Shop does its task manually as record
keeping method. This manual system has the following problems. First of all,
Unable to keep Records of materials at stock, also Searching and getting
specific item (materials) requires long time and boring. More over
couldn’t get a clearance immediately because the store uses manual
checking systems. Again, getting necessary report about the items is
and takes long time. Unable to trace record of customers who owns bill
also unable to identify debtors due to the manual based. It is for these
reasons the team is proposing to build an enhanced computerized system to
speed up and minimize time to create invoice, quotations and keep high
consistency of the employee works.

6. Project Objectives
General Objective
The aim of the project is to develop and implement a Sales Record Management
System for PFB’s Electrical / Electronic Installation shop at Tongo - Upper East
Region, Ghana.
Specific Objectives
1. Allow users to create invoice and quotations.
2. Register employees, register suppliers, register debtors and add items into stock.
3. Manage users and privileges to protect system security.
4. Keep track of items movement, employee access, sales and provide reports for
effective decision making.

The system will be developed using the waterfall model. This methodology follows a linear sequential
approach, where the development process is divided into discrete phases such as Planning, Analysis,
design, development, testing, and deployment as depicted below.
