STUDENT ACCOUNT
Each full year student must have an initial deposit of at least $2,000 in their student account upon arrival at the school. This
account will be used to cover expenses like airport pickups (other than announced free pick up/ drop off days), damage
deposit, optional trips, and miscellaneous charges. A refundable damage deposit of $500 will be placed on reserve to cover
accidental damage to the School or Dorm facilities. Student accounts are not allowed to carry a negative balance. Account
updates and invoices will be sent out regularly or upon request. At the end of the student’s tenure, any positive balance will
be refunded after all charges to the account have been received and processed; generally at least a month after the student
has left the school.
Students attending the Summer School Program will not have a student account, and should plan to have a local bank
account for miscellaneous items and personal spending.
ALLOWANCE AND SPENDING MONEY
Students will need some spending money for things like snacks, telephone cards and for shopping. Spending habits will
vary from person to person. Most students spend between CDN $25 and $50 a week without any major purchases. We
encourage students to be responsible for their own spending money and to develop self-discipline with spending. Most
students gain this experience by opening bank accounts and budgeting their money. Our school policy is that students do
not have more than $100 in cash at any time.
STUDENTS 14 YEARS AND OLDER
Fulford Academy staff will assist students in opening a bank account upon arrival (spending limits can be applied).
Fulford staff members are not able to monitor students spending, and they do not have any access to the students’ personal
bank accounts. The student will use this money for the purchase of phone cards, clothing, souvenirs, shampoo and personal
items. Parents will be provided with the banking details to be used for direct deposit to this personal account.
STUDENTS 13 YEARS AND UNDER
During the regular school year from fall through spring, while they learn how to regulate their own spending, we provide an
option for younger students to get allowances from their Fulford Student Account.
If your student is in grade 7 or 8, or is 13 years and younger, and you wish to set up a weekly allowance for them, please
contact our business office: joy.lee@fulfordacademy.com. She will send you the “Allowance and Spending Limit” form to fill
out.
OPTIONAL PURCHASES
Fulford Academy offers a variety of programs and products for students (charged to the student account). Students are not
required to participate in these trips or purchase the following products.
All mandatory and optional purchases are subject to 13% HST (taxes) where applicable.
All third party charges with respect to optional purchases are subject to a 15% administrative handling fee for purchases up
to $200, above which a flat fee of $30 is applied.

DAY TRIPS
In addition to our mandatory Student Life trips, on weekends the Academy offers optional day trips to nearby cities for sports
games, concerts, movies, shopping, outdoor adventures and just fun. The costs of these trips will be charged to the Student
Account. Prices for trips vary but can be found in the Optional Trip Permission Form.
OPTIONAL ACTIVITIES
A number of local activities may be available and students can take advantage of them when possible. These activities
could include music or art lessons, individual or team sports, dance lessons, etc. There will be an extra charge for these
activities.
AIRPORT TRANSPORTATION
The school provides airport transportation at no charge to the students on specific dates only. Please refer to our
Information Package for the school arrival and departure dates. If students travel on any other date, then the school can
organize separate travel arrangements at an additional cost. Please refer to page 2 of this document for the approximate
costs.
TELEPHONE
Each hallway in the Dorm is equipped with a telephone. Local calls are free, and students may place long distance calls by
using telephone cards available for purchase at most local retail outlets. We encourage students with a cellular telephone to
purchase a calling card to ensure that they do not receive unexpected bills for long distance calls that are not included in
their calling package.
TUTORING
Tutoring services are available for students who require additional support beyond that offered by the Academy. Typically,
the Director of Academics is in discussion with the parents to help decide on this course of action. If it is decided that a tutor
is needed, the parents will be responsible for the extra costs.
PAYMENT TERMS
Upon receiving a student’s application form, an application fee of $200 Canadian dollars is due. The application will be
reviewed after receiving the complete application, the $200 application fee and the Skype interview with the applicant has
been done. If the student is accepted into one of our programs, the application is then processed by preparing the official
paperwork including the offer of admissions, the acceptance letter and custodianship declaration. All papers will be issued to
the parent/guardian. The balance of fees is due 60 days before the start of the program.

LATE PAYMENT
Overdue accounts may be subject to late payment charges at a rate of 1% per month. Failure to comply with the agreed
terms of payment may result in withdrawal of admission or the student not being admitted to the school for subsequent
programs. In addition, the school may not permit students to attend classes, write exams or may withhold marks and
exercise other sanctions, as it deems necessary for the collection of overdue accounts. No student will be permitted to re-
enroll until the fees and expenses from the previous session are paid in full.

REFUND POLICY
Fulford Academy provides no reduction or remission of fees for absence, dismissal or withdrawal without cause. On and
after the date that the program begins, the parent, guardian, or payer becomes liable for the payment of the full tuition fee.
The failure of the parent/guardian to provide written notice of cancellation will result in the Academy understanding that the
agreement is still in effect. To bring greater clarity the following terms will be enforced:
1) The parent or guardian, without penalty, may cancel enrolment if the school is advised in writing 60 days or more
prior to the commencement of the program.
2) If enrolment is cancelled in writing by the parent or guardian, less than 60 days prior to the commencement of the
program but before the program starts, the Academy will be entitled to a fee of $2,500 for cancelling enrolment in
the Fall to Spring session and a fee of $1,000 for cancelling enrolment in the Summer program.
3) The school will:
a) issue a credit note to the student account for the full amount of the school fees previously invoiced,
b) issue a new invoice for the cancelled reservation in an amount equal to $2,500 or $1,000,
c) settle the account using any or all funds on deposit,
d) remit to the payer any or all surplus funds, or if required invoice the payer for any shortfall.

4) There is no refund if the parent or guardian cancels enrolment after the start of the program, or if the student is
dismissed from the Academy. In these cases the Academy is entitled to a fee equal to the full fees for the program.
5) Refunds for Visa Delayed Arrivals:
If a program is cancelled prior to its start because of concerns regarding visa processing, fees will be refunded
according to our regular cancellation policy. In these cases the acceptance is withdrawn and visa processing will be
terminated. The prospective student may reapply to the Academy at a later date, but that entails re-starting the visa
approval process as well.
Our delayed arrival policy will take effect following the start of the program, and when Fulford Academy is provided with
documentation showing:
a) evidence of prompt visa application following Fulford Academy’s release of required documents,
b) evidence that the refusal or delay was not caused by incomplete or inadequate submissions to the appropriate
consular office,
c) receipt of a notice of visa refusal or of a notice showing the actual date a visa was granted.
In those cases in which a student arrives late due to a visa refusal or due to visa processing issues, Fulford Academy will
grant a refund equal to 75% of the fees for the period following the start of the program and up to the student’s arrival date.
In the event that a visa is not granted, and the student is not able to attend Fulford Academy or our partner schools, the
refund granted will remain at 75% of the tuition fees for the program, but in no case will the amount withheld exceed $5,000
for a single student enrolment.
If withdrawal is for medical or compassionate issues, after receiving notice and appropriate documentation, refunds will be
made according to the following schedule:

DEFINITIONS
Medical Withdrawal: In the case of a documented medical issue, the student is deemed by a medical doctor by reason of a
diagnosed medical condition to be unable to continue with the Academy’s educational program.
Compassionate Withdrawal: This relates to withdrawal for reason of the death of an immediate family member or another
such traumatic life event. In this case discretion will rest with the Academy.

In the above situations, unused fees are calculated using prorating by week, and the school will:
1. issue a credit note to the student account for the full amount of the school fees previously invoiced
2. issue a new invoice for the withdrawal charge in an amount equal to that prescribed in the table above
3. settle the account using any or all funds on deposit,
4. remit to the payer any or all surplus funds (or if required) invoice the payer for any shortfall

Fulford Academy | Financial Handbook 2016-2017 2 Type of Charge Amount Time Period Student Account – Mandatory This account is used for: airport transportation (outside of the specific travel dates), damage deposit, optional trips, and other miscellaneous charges subject to a service charge of 15% $2,000 Initial Deposit (full year students) Personal Allowance – Optional Students aged 13 and younger have the option to get an allowance from their Fulford Student Account while they learn how to regulate their spending. In this case only, an estimated figure of $600 per term will be required. Prices are in Canadian Dollars and are subject to change without notice.
  • 5. Fulford Academy | Financial Handbook 2016-2017 3 STUDENT ACCOUNT Each full year student must have an initial deposit of at least $2,000 in their student account upon arrival at the school. This account will be used to cover expenses like airport pickups (other than announced free pick up/ drop off days), damage deposit, optional trips, and miscellaneous charges. A refundable damage deposit of $500 will be placed on reserve to cover accidental damage to the School or Dorm facilities. Student accounts are not allowed to carry a negative balance. Account updates and invoices will be sent out regularly or upon request. At the end of the student’s tenure, any positive balance will be refunded after all charges to the account have been received and processed; generally at least a month after the student has left the school. Students attending the Summer School Program will not have a student account, and should plan to have a local bank account for miscellaneous items and personal spending. ALLOWANCE AND SPENDING MONEY Students will need some spending money for things like snacks, telephone cards and for shopping. Spending habits will vary from person to person. Most students spend between CDN $25 and $50 a week without any major purchases. We encourage students to be responsible for their own spending money and to develop self-discipline with spending. Most students gain this experience by opening bank accounts and budgeting their money. Our school policy is that students do not have more than $100 in cash at any time. STUDENTS 14 YEARS AND OLDER Fulford Academy staff will assist students in opening a bank account upon arrival (spending limits can be applied). Fulford staff members are not able to monitor students spending, and they do not have any access to the students’ personal bank accounts. The student will use this money for the purchase of phone cards, clothing, souvenirs, shampoo and personal items. Parents will be provided with the banking details to be used for direct deposit to this personal account. STUDENTS 13 YEARS AND UNDER During the regular school year from fall through spring, while they learn how to regulate their own spending, we provide an option for younger students to get allowances from their Fulford Student Account. If your student is in grade 7 or 8, or is 13 years and younger, and you wish to set up a weekly allowance for them, please contact our business office: joy.lee@fulfordacademy.com. She will send you the “Allowance and Spending Limit” form to fill out. OPTIONAL PURCHASES Fulford Academy offers a variety of programs and products for students (charged to the student account). Students are not required to participate in these trips or purchase the following products. All mandatory and optional purchases are subject to 13% HST (taxes) where applicable. All third party charges with respect to optional purchases are subject to a 15% administrative handling fee for purchases up to $200, above which a flat fee of $30 is applied.

Fulford Academy | Financial Handbook 2016-2017 4 DAY TRIPS In addition to our mandatory Student Life trips, on weekends the Academy offers optional day trips to nearby cities for sports games, concerts, movies, shopping, outdoor adventures and just fun. The costs of these trips will be charged to the Student Account. Prices for trips vary but can be found in the Optional Trip Permission Form. OPTIONAL ACTIVITIES A number of local activities may be available and students can take advantage of them when possible. These activities could include music or art lessons, individual or team sports, dance lessons, etc. There will be an extra charge for these activities. AIRPORT TRANSPORTATION The school provides airport transportation at no charge to the students on specific dates only. Please refer to our Information Package for the school arrival and departure dates. If students travel on any other date, then the school can organize separate travel arrangements at an additional cost. Please refer to page 2 of this document for the approximate costs. TELEPHONE Each hallway in the Dorm is equipped with a telephone. Local calls are free, and students may place long distance calls by using telephone cards available for purchase at most local retail outlets. We encourage students with a cellular telephone to purchase a calling card to ensure that they do not receive unexpected bills for long distance calls that are not included in their calling package. TUTORING Tutoring services are available for students who require additional support beyond that offered by the Academy. Typically, the Director of Academics is in discussion with the parents to help decide on this course of action. If it is decided that a tutor is needed, the parents will be responsible for the extra costs. PAYMENT TERMS Upon receiving a student’s application form, an application fee of $200 Canadian dollars is due. The application will be reviewed after receiving the complete application, the $200 application fee and the Skype interview with the applicant has been done. If the student is accepted into one of our programs, the application is then processed by preparing the official paperwork including the offer of admissions, the acceptance letter and custodianship declaration. All papers will be issued to the parent/guardian. The balance of fees is due 60 days before the start of the program.
  • 7. Fulford Academy | Financial Handbook 2016-2017 5 88 LATE PAYMENT Overdue accounts may be subject to late payment charges at a rate of 1% per month. Failure to comply with the agreed terms of payment may result in withdrawal of admission or the student not being admitted to the school for subsequent programs. In addition, the school may not permit students to attend classes, write exams or may withhold marks and exercise other sanctions, as it deems necessary for the collection of overdue accounts. No student will be permitted to re- enroll until the fees and expenses from the previous session are paid in full. Please contact our business office for more details. REFUND POLICY Fulford Academy provides no reduction or remission of fees for absence, dismissal or withdrawal without cause. On and after the date that the program begins, the parent, guardian, or payer becomes liable for the payment of the full tuition fee. The failure of the parent/guardian to provide written notice of cancellation will result in the Academy understanding that the agreement is still in effect. To bring greater clarity the following terms will be enforced: 1) The parent or guardian, without penalty, may cancel enrolment if the school is advised in writing 60 days or more prior to the commencement of the program. 2) If enrolment is cancelled in writing by the parent or guardian, less than 60 days prior to the commencement of the program but before the program starts, the Academy will be entitled to a fee of $2,500 for cancelling enrolment in the Fall to Spring session and a fee of $1,000 for cancelling enrolment in the Summer program. 3) The school will: a) issue a credit note to the student account for the full amount of the school fees previously invoiced, b) issue a new invoice for the cancelled reservation in an amount equal to $2,500 or $1,000, c) settle the account using any or all funds on deposit, d) remit to the payer any or all surplus funds, or if required invoice the payer for any shortfall.

Fulford Academy | Financial Handbook 2016-2017 6 4) There is no refund if the parent or guardian cancels enrolment after the start of the program, or if the student is dismissed from the Academy. In these cases the Academy is entitled to a fee equal to the full fees for the program. 5) Refunds for Visa Delayed Arrivals: If a program is cancelled prior to its start because of concerns regarding visa processing, fees will be refunded according to our regular cancellation policy. In these cases the acceptance is withdrawn and visa processing will be terminated. The prospective student may reapply to the Academy at a later date, but that entails re-starting the visa approval process as well. Our delayed arrival policy will take effect following the start of the program, and when Fulford Academy is provided with documentation showing: a) evidence of prompt visa application following Fulford Academy’s release of required documents, b) evidence that the refusal or delay was not caused by incomplete or inadequate submissions to the appropriate consular office, c) receipt of a notice of visa refusal or of a notice showing the actual date a visa was granted. In those cases in which a student arrives late due to a visa refusal or due to visa processing issues, Fulford Academy will grant a refund equal to 75% of the fees for the period following the start of the program and up to the student’s arrival date. In the event that a visa is not granted, and the student is not able to attend Fulford Academy or our partner schools, the refund granted will remain at 75% of the tuition fees for the program, but in no case will the amount withheld exceed $5,000 for a single student enrolment. If withdrawal is for medical or compassionate issues, after receiving notice and appropriate documentation, refunds will be made according to the following schedule: Academic Program Timing of Medical or Compassionate Withdrawal Regular Academic Year First Half of Program Second Half of Program Retained Amount: 25% of unused fees 50% of unused fees Summer Program July August Retained Amount: 25% of unused Summer fees 50% of unused Summer fees DEFINITIONS Medical Withdrawal: In the case of a documented medical issue, the student is deemed by a medical doctor by reason of a diagnosed medical condition to be unable to continue with the Academy’s educational program. Compassionate Withdrawal: This relates to withdrawal for reason of the death of an immediate family member or another such traumatic life event. In this case discretion will rest with the Academy.
