Who’s Doing What
Roaming Proctors: Ms. Tejada, Mrs. Elias, Mr. Shippy, Esmerelda, Salma, Patty, Ms. Egbert,
Test Administrators (PACS Teachers) All Test Administrators must review and be familiar
with the Test Administration Directions prior to the day of testing.
• Proctor the tests in the classroom
• Oversee classroom testing compliance & security
• Ensure that all test material is accounted for

Test Administrator Responsibilities
 Participate in training
 Signing and returning to the test
coordinator the AzMERIT/AIMS Test
Security Agreement
 Adhering to test administration security
procedures
 Receiving test materials from the Testing
Coordinator
 Verifying quantities of test materials
received
 Distributing and collecting all test
materials from students on testing days
 Following the test administration
directions exactly as stated
 Requesting guidance from the test coordinator
when unusual circumstances arise or when
uncertain about proper procedures
 Completing all necessary student demographic
information if needed
 Completing the accommodations information on
AzMERIT/Science AIMS answer documents for
students receiving standard accommodations
 Assembling and returning ALL test materials to the
Test Coordinator at the end of each testing day
Security of Test Materials
It is unethical and will be viewed as a violation for any person to:
• Capture images of an part of the test via
any electronic device
• Duplicate in any way any part of the test
• Examine, read, or review the content of
any portion of the test
• Disclose or allow to be disclosed the
content of any portion of the test before,
during, or after test administration
• Discuss any AzMERIT test item before,
during, or after test administration
• Allow students access to any test content
prior to testing
• Allow students to share information during
test administration
• Allow student to use scratch paper during
the ELA Reading test
• Read any pars of the test to students except
as indicated in the Test Administration
Directions or as part of an accommodation
Security of Test Materials Continued
• Influence students’ responses by
making any kind of gestures (for
example, pointing to items, holding up
fingers to signify item numbers, or
answer options) while students are
taking the test
• Instruct students to go back and
reread/redo answers/responses after
they have finished their test since this
instruction may only be given before
the students take the test
• Change or erase students’ responses
• Review students’ responses
• Read or review students’ scratch paper
• Fail to return all test material, including
unused documents
• Participate in, direct, aid, counsel, assist in,
encourage, or fail to report any violations
of these test administration security
procedures.
Security of Test Materials Continued
Test Administrators and Proctors may NOT assist student in
answering questions. Test administrators and Proctors may
NOT translate, reword, or explain any test content. No
test content may never be discussed before, during, or after
test administration.

under lock and key except
during actual test times
3. No student will be allowed to

Prepare Test Rooms
By April 2-7, 2015
Preparing the Room:
Before the day of testing……
1. Good lighting, ventilation, and freedom from distracting noises and
interruptions are important for student performance.
2. Visual aids displayed in the testing room need to be removed or covered
completely.
3. Arrange student seating so that students cannot easily see the test
booklets of others and so that the Test Administrators and Proctors can
walk by each student.
4. Students’ desks should be cleared of backpacks and unnecessary materials
prior to the beginning of the test session.

Precautions for Test Administration
• Do not allow students to use ink, colored pens/pencils, marker, or highlighters
in the scorable test booklets. Doing so may cause scoring discrepancies.
• Do not allow students to use correction fluid on the scorable test booklets.
Doing so may cause scoring discrepancies.
• Do not allow students to make any marks near the timing marks on the edges of
the scorable test booklets. Doing so may cause scoring discrepancies.
• Do not allow student to use extra paper or ink to write their ELA Writing test
responses. Only responses that are written in pencil on the pages designated
“Final Copy” will be scored.
• Do not use “sticky” notes, paperclips, tape, staples, or glue on the scorable test
booklets.
• Do not insert loose papers into the scorable test booklets.
Directions About Marking Answers
Based on feedback from the test coordinators at the training, we asked the vendor
about this. The student directions now include this statement for the Reading
portion of the ELA test:
You will mark your answers in the test booklet by filling in the bubble or bubbles that
match the answer you choose. If you want to change an answer, completely erase
the mark you made before making a new mark. You must use a No. 2 pencil to mark
your answers. You may write in your test booklet, but do not write or mark near the
bubbles where you will fill in your answers

All students should remain in the testing room during
the entire scheduled testing session
Restroom Use
• Only 1 student may leave at a time
• Student materials must be collected before the
student leaves
• Give materials back when the student returns
Students who Leave School
• Students who leave school prior to completing a
content area are ineligible to continue to test for that
content area.
• Inform student he/she may not be permitted to finish
that content area
• Test materials are returned for scoring

• Verify that all responses have been transferred to the answer document
including the writing prompt response

  1. The Test Administration Directions provides specific directions for the administration of the writing, reading, and mathematics test and should be used by the Test Administrator for each content area of AIMS HS. All Test Administrators must review and be familiar with the Test Administration Directions prior to the day of testing.
  2. A list of Test Administrators responsibilities can be located on page 1 of the Test Administration Directions. Test Administrators are required to read and sign a Test Security Agreement and adhere to all security procedures. Test Administrators must review and be familiar with all information in the Test Administration Directions. All directions must be followed and must be read aloud to all students exactly as scripted in the directions. Test Administrators are accountable for all test materials that they receive and are responsible for completing all necessary demographic and accommodations information as required.
  3. It is unethical and will be viewed as a violation for any person to: Examine, read, or review the content of any portion of the test; Disclose or allow to be disclosed the content of any portion of the test; Discuss any AIMS HS test item; Allow students access to test questions or writing prompts prior to testing; Allow students to share information during test administration; Allow students to use scratch paper or extra paper; Read any part of the test to students except as indicated in the Test Administration Directions; Influence, change, or review students’ answers; Review students’ answers, including the writing rough draft and writing final copy; Photocopy, transcribe, or in any way duplicate any part of the AIMS HS test books.
  4. By signing the Test Security Agreement the Test Administrator is agreeing that all test books and answer documents are restricted and they will not attempt to gain access to test materials beyond that which is granted to them by the school/district test coordinator, superintendent or charter representative. All test books and answer documents that are distributed will be kept under lock and key except during actual test times and students will never be allowed to remove test materials from the testing room except under the supervision of school personnel.
  5. Test rooms should be prepared prior to the testing date. Poster-Size versions of the Holistic Six Traits Writing Rubric may remain posted during AIMS Writing testing. All other visual aids displayed in the testing room that could assist students while testing must be removed or covered completely. Arrange student seating so that students cannot easily see the answer documents of others and so that the Test Administrator can walk by each student. Student desks should be cleared of all unnecessary materials prior to the distribution of tests and answer documents. Refer to pages 7 and 11 in the Test Administration Directions.
  6. AIMS District Test Coordinators are responsible for establishing and enforcing test security procedures that comply with the Test Security Agreement. Any breach of test security, loss of materials, failure to account for materials, or any other deviation from acceptable security procedures shall be reported immediately to Mary Pat Wood, AIMS State Test Coordinator. The discipline of staff members who violate test security is the responsibility of the district or charter. This form can be located on the ADE Test Coordinator web page. All Incident Reports must be submitted by the AIMS District Test Coordinator to ADE.
  7. The AIMS HS tests are standardized tests and must be administered exactly as directed in the AIMS HS Test Administration Directions. Test Administrators must review the AIMS HS Test Administration Directions in advance of the testing date. Test Administrators must follow the test administration directions exactly as stated in the AIMS HS Test Administration Directions.
  8. Students must use a standard, wooden, graphite-based No. 2 pencil to mark their answers to multiple-choice questions and to write their final responses to the writing prompt. Only answers marked or written with No. 2 pencil will be scored.
  9. AIMS HS test books and answer documents are secure documents. Test Administrators will receive their test materials from the Test Coordinator at the beginning of each day of testing. Each Test Administrator should receive from the Test Coordinator an inventory of the number of test books and answer documents that they receive. Upon receipt of the test materials, the Test Administrator is responsible for verifying the number of test books and answer documents received. Any discrepancies must be reported immediately to the Test Coordinator. Materials must be returned at the end of testing each day. Count number of test materials returned. Any discrepancies report immediately. While in the possession of the Test Administrator, these materials must be kept in secure, locked storage except during actual test administration times.
  10. Test Administrators who observe students using unacceptable resources, including but not limited to, computers, calculators, cell phones, and portable music players, are to remove the unacceptable resources as soon as possible. The student must be allowed to continue to test. Notify the District Test Coordinator as soon as possible.
  11. During the prompt response portion of the writing tests students may use commercially published paper dictionaries and/or a commercially published paper thesaurus. Neither item is required to be used by students, but several copies of each of these items must be available in the event students choose to use them. Poster-size versions of the Holistic Rubric Based on 6 Traits Official Scoring Guide may remain posted during AIMS Writing test. This is available as download from the ADE Web site. All other visual aids displayed in the testing room that could assist students while testing must be removed or covered completely.
  12. The poster-size version of the AIMS HS Mathematics Reference Sheet may remain posted during AIMS Mathematics testing. This is available as download from the ADE Web site. Students do receive a copy of this Reference Sheet in their AIMS Mathematics test book. If students remove these during the test, Test Administrators must make sure they are returned with the student test book. Students are not allowed to use calculators.
  13. During the administration of AIMS HS, Test Administrators and Proctors should move unconstructively about the room, checking to make sure students are progressing through the test. Students should be allowed to work at their own pace.
  14. During the administration of AIMS, Test Administrators should: Supervise the room at all times during testing, answer student questions that pertain only to clarification of the test administration directions. Test administrators should also verify that students are marking their answers to multiple choice questions or writing their final responses to the writing prompt in the proper locations in their answer documents. Test Administrators should also check for large number of erasures – these may indicate that a student is confused about the directions. Test Administrators may help the student understand the directions, but do not explain concepts, test questions or answer choices, or give any other help that could influence the student’s response.
  15. When a student has finished testing, the Test Administrator should collect the student’s test materials. At the beginning of each day of testing students are instructed to close their test books and answer documents when they finish testing. Place answer documents on top of their test book with the answer bubbles facing down. Students are to raise their hand and test administrator will collect test materials. At this time test administrator is to have students sign the sign-in sheet that the test book and answer document is being returned. Once the test materials have been collected, the student may then read or do classwork silently while waiting for the testing session to end.
  16. Students who need additional time beyond the allotted testing time must be allowed to finish testing. Students may be escorted to another secure testing location. Only those students requiring additional time beyond the allotted time should have lunch or another meal while testing on AIMS HS. For these students, the meal should be brought to the student, and the student should remain in the secure testing environment while eating. For each content area, the entire test must be completed by the end of the school day.
  17. Students who disrupt testing, refuse to participate, receive help from others, or otherwise engage in behavior not consistent with acceptable classroom behavior should be subject to the disciplinary procedures established by the school for such occurrences after completion of testing. Whenever possible have the disruptive or misbehaving student continue to test in a different location so that other students may test undisturbed. Student must be allowed to continue to test. If student is believed to have participated in cheating, contact the District Test Coordinator to complete a Testing Incident Report.
  18. Students should remain in the testing room during the entire scheduled testing session. However, students may be allowed to go to the restroom, if necessary, during testing. Only one student may leave at a time. The student’s test materials must be collected before the student leaves the room and then given back to the student upon returning to the testing room. Students who need to leave school before completing a particular content area of AIMS HS, including those students who leave due to illness, are ineligible to continue to test for the content area. If the student returns on a test date for a different content area, the student is permitted to test on that different content area. The Test Administrator should inform the student that he/she will not be permitted to finish the content area or testing session when the student returns to school, collect the student’s test book and answer document, and dismiss the student from the testing room. The student’s test book and answer document are to be returned to the Test Coordinator. The student’s answer document is to be returned with the scorable test materials.
  19. After testing, as students turn in their test book and answer document, Test Administrators should inspect each test book and answer document.
  20. When the student turns in their test book and answer document the Test Administrator should immediately verify that the student’s name, school, and district is on the front of the test book and answer document. Verify that the student transferred all responses from the test book and the answer document, including the writing prompt response. All responses that are not on a regular answer document will not be scored. Once student has left the testing room they cannot go back and transfer the bubbles or the writing response to the regular answer document.
  21. AIMS test books and answer documents are secure documents. Test Administrators (Teachers) will receive their test materials from the Site Test Coordinator. Each Test Administrator should receive from the Test Coordinator an inventory of the number of test books and answer documents that have been delivered. Upon receipt of the test materials, the Test Administrator should count the number of test books and answer documents received. Any discrepancies must be reported immediately to the Test Coordinator. Test Administrators will collect their test materials at the beginning of each day of testing and return the materials to the Site Test Coordinator at the end of testing for that day.
