What’s new in Totara Learn 10
User Tours
You can now set up user tours within Totara for any page or course. You
can create information bubbles that will appear near targeted areas to
give instructions or information.
Recycle bin
The recycle bin is a new feature, that is enabled by default. It means that
if a user deletes a course or an activity then a backup is taken and made
available via the Recycle bin. The recycle bin keeps backups of deleted
items for a configurable period of time, during which the user can at any
time restore the deleted item from the recycle bin. This is essentially
restoring the backup take when the course/activity was deleted.

Browse list of users
The Browse list of users page is now an embedded report, meaning there
is improved searching and filtering, along with the ability to customise
the columns and export all the information.
New site badge criteria
It is now possible to issues badges from the site level for Program
completion and/or audience membership.
Forum: Pinned posts
It is now possible to pin a post to the top of a forum (if you have editing
rights in the course).

Self-registration with approval
The authentication plugin Self-registration with approval allows users to
register themselves, but it also requires a Site administrator or another
user with the auth/approved:approve capability to approve the
registration request before the user is added to the site.
Course completion editor and checker
The course completion editor allows you to review and edit a learners
course completion, you can also use the completion checker to display a
summary of any problems that have been detected.

Job assignment report source
This is a new report source for Job assignments that means whereas the
user report lists one row per user (no matter how many job assignments
they have) if a user has three jobs you will be able to see them on
separate rows within the Job assignment report. If user does not have
any job assignment then they are not listed in the report at all.
Job assignment HR import source
Job assignments must now be imported via a new job assignment
element and cannot be imported as part of the user element anymore.
This will allow deletion with the option of the source containing all
records or otherwise a deleted field being used, which is similar to the
other importable elements. When you have several elements enabled,
e.g. user, position, and job assignment, the other elements could be
processed in any order, but job assignments will be processed last.

Proficiency achieved field
There is a new Date proficiency achieved column on the Competency
status report. Additionally, when setting the competency status in a
user's Learning Plan, you can set a Proficiency achieved date.
Audiences, courses, and programs
An improvement to make learning available immediately to new users
once they've self-registered. With this change, audience membership as
well as audience-based enrolled learning (i.e. course enrolment and
certification/program assignment) will occur before new users first log
into the platform.
For existing users, audience membership and enrolment will occur when
the relevant cron runs.

360 feedback
The 360 Feedback tool now allows self-evaluation, allowing users to
evaluate themselves in a truly 360 approach.
Self completion: Modules
You can mark completion from within a module itself, which is
particularly useful if a course is set up with the single activity format
(with the exception of Quiz and Lesson Activities).

Current Learning Block handling of single course programs/certifications
The way the Current Learning block handles programs or certifications with
only one course has been improved. So, if a program or certification contains
only a single course then the following will take place. The first time a user
enrolled in that program/certification clicks the link for it in the Current
Learning block it will take them to the relevant program/certification. There
they will be able to click the course and enrol. After this, the next time they
click the link for the program/certification in the Current Learning block
(once they have enrolled in the course) it will take them directly to the
course.

Background
The EU General Data Protection Regulation (GDPR) is the most significant piece of
European privacy legislation in the last twenty years. It replaces the 1995 EU Data
Protection Directive, strengthening the rights that EU individuals have over their
data, and creating a uniform data protection law across Europe.

Compliance enabled through our platform
A software platform on its own doesn't ensure GDPR compliance.
Compliance is a result of:
• robust processes,
• clearly articulated policies and information given to users informing them of their
rights and how you use their data, and
• enabling technology to deal with requests from individuals that arise from their
increased rights under GDPR.

Site policies
The ability to track the version of a site policy and any opt-ins that a user has agreed
to. The ability for a user to visit the site policy pages they have signed up to and
amend their agreements to the policy or opt-ins.
Data access
We are developing the ability for Administrators to export of all data that is linked to
a given user, to allow the Administrator to review the data prior to transmitting the
data to the user.

Data portability
While the data export improvement above will provide all data in a consistent output
that may be useful for porting data, our view is that there are key data items that
somebody is likely to want to "port" to another platform and this needs to be in a
more human readable format.
In Totara Learn this is available through existing capabilities in our application (e.g.
Report Builder, Record of Learning).
This can provide information that would be useful for an individual wanting, for
example, to take their completion data (courses, competencies, certifications) with
them to a new employer.

Data deletion
In order to comply with data retention policies and the right to erasure we are
enhancing your ability to manage "Purge Types". For each "Purge Type"
configuration, you will be able to configure what happens to corresponding data
throughout the system for users who have that "Purge Type" applied to them.
As an example, you could configure these three types:
A type that:
keeps a user's certification completions - perhaps because they represent
compliance course completions, and deletes the forum posts that they made
when collaborating with other learners in courses.

Data deletion
A type that:
anonymises the user profile information - so you cannot identify the the user
anywhere in the system where user details would normally be displayed or
tracked, and deletes the performance management data - appraisals, 360
feedback, goals, and keeps the course completion information - so you could still
track content usage statistics for electronic content and physical training event
fill-rates (seminars).
A type that deletes all the data related to a user.

Data deletion
To adhere to your data retention policy period and the requirement to only keep the
data you need for as long as you need it, you may choose to apply a type when a
person leaves the organisation, the second type after 5 years and the 3rd after 7
years.
You will be able to configure these "purge types" and therefore what they mean for
data in a different areas across the platform.
