1. Using Skype for Business to Set Up the SmartRoom for Meetings
Quick Guide
To Reserve the Room Only (no conference/Skype call):
Open Outlook to Create a Meeting as usual.
Invite Attendees.
o Click Rooms (far right on the “Location” line), then double click “Meeting
Room-Plan Room”, then click OK.
o Invite anyone else you would like to attend the meeting.
o Add a Subject.
o Send Outlook Invitation.
Your meeting will now appear on the SmartBoard and SmartRoom console.
To Reserve the Room for a Skype call or to use the SmartBoard Features:
Open Outlook to Create a
Meeting as usual.
Click “Skype Meeting.”
Click Rooms, then double click
“Meeting Room-Plan Room”,
then click OK.
Complete the rest of the
invitation as usual and send.
Notes:
If the SmartRoom is available at
that time, you will receive an
email confirming your reservation
that states “Your request was
accepted.”
If the SmartRoom has already
been reserved for the time you
requested, you will receive an
email stating, “Your request was
declined because there are
conflicts.” It will then tell you
who reserved the meeting and for
what date and time.
2. To Determine SmartRoom Availability Before Sending an Invite:
Once you have started to set up a meeting in Outlook, add the Room.
A “Room Finder” box will open to the right (see picture at bottom of previous
page).
Under “Choose an available room,” click on “Meeting Room-Plan Room.”
Under “Suggested times” it will tell you if there are “No available rooms” or “1
available room.” Currently the only room available is the SmartRoom (Meeting
Room-Plan Room), so if it says No available rooms, the SmartRoom is already
reserved for that time.
Opening Your Meeting and Adding Content Ahead of Time
(from your computer)
In your original Skype meeting invitation through
Outlook, click on “Join Skype Meeting.”
For now, “Don’t join audio.”
Now your meeting is “open.”
Click on the Presentation Options button at the
bottom of the window (looks like a desktop monitor). It will bring up options. If
you want to add a PowerPoint, double click on that icon and it will prompt you to
browse. Upload as usual.
In the Presentation Options window, you
can also:
o Share your Desktop
o Share a Program that is Open on your
Computer
o Open an Interactive Whiteboard
o Take a Poll
o Conduct a Q & A
Notes:
Once you have uploaded content into your
Skype presentation, it stays there. You can always
go back through that meeting and retrieve it.
PowerPoint content cannot be edited once
loaded into a Skype meeting. You can write on it
using the tools, but cannot edit the PPT itself.
After your meeting, participants can go back in to the meeting and download the
content, including with annotations, by going in to the Presentation Options window,
“Manage Presentable Content,” and then clicking the “More” dropdown menu.
