Job Duties and Responsibilities
(1) Administration Functions.
a) Ensure the proper housekeeping of the office
b) Maintain the Company license and lease documents
c) Safekeeping of Passport/ Personal File.
d) Maintenance and Updating of Personal files and soft data / Reference check and antecedent
check for all new comers.
e) Salary and wage administration for all new comers.
f) Preparing Vacation Schedule for all Employees with Replacement Status.
g) Preparing monthly Salary sheet for all workmen.
h) Managing incoming mails, telephone calls, appointments and correspondence.
i) Maintaining & Updating Data Base of the employees.
j) Maintain vacation and sickness records of employees.
k) Preparing & submitting weekly & monthly manpower report to Management.
l) Arranging transport for the employees and hotel booking.
m) Maintaining a list of required professional, quantity, mob/demob dates.
n) Preparing daily Joining, mobilization, demobilization and inter-site transfer report submitting the
same to Finance department and concern site after assigning employee No. to new arrivals.

o) Administering general office functions, Visa formalities, Mobilization/Demobilization of staff and
workers, transport, maintaining personnel record, general purchase, managing camps for
different sites & ensured smooth mess operations. etc.
(2) Office Management.
a) Responsible for keeping office equipment maintained.
b) Monitoring office credit card purchases, reconciles monthly bills and performs invoice coding.
c) Provide support for teams: staffs travel arrangements and expense tracking, program and
stipend supplies, etc.
d) Responsible for organizational functions and general meeting support.
(3) Attendance & Time Entry.
a) Collection of time cards from Site Coordinator on or before 05th of every month.
b) Check, total and compile OT worksheet for Accounts before 10th of every month for salary
bifurcation purpose.
c) Compiling the job allocation reports for Non-OT staff from various departments and handover
to Accounts for job costing purpose before 10th of every month.
d) Preparing the Time Sheet reports on the basis of projects.
e) Checking the attendance report and informing the HR executive about absence of any
employee from time to time.
