Introduction
The present document provides information on how to use the Scentroid TOMS system.
We have tried to make Scentroid TOMS easy to use. The system is highly flexible and scalable, and that
implies that it requires a lot of configuration to function correctly. To keep it easy for the user, all complex
choices and dependencies are hidden for the user. The setup is done by Scentroid staff and if you require
changes you should send us an e-mail.
This document describes all the available functions. Your particular installation and user account may not
necessarily have access to all functions. If you need functions that you currently do not have, please send

Prerequisites
Scentroid TOMS may be accessed by various types of computers, phones and tablets. However, all
development and testing takes place in a windows environment, using Google Chrome as the browser.
Other system should work, but may not necessarily get full support. The minimum requirements are:
● A modern, up to date web browser like Chrome, Explorer, Firefox, Opera, Safari

Data input to the system
Scentroid TOMS can handle input data and measurement from many different sources. Feedback from
neighbors is recorded through a web interface.
Weather data is obtained from online sources in addition to local weather station.
Process data and measurements can be incorporated and read in most industry standard formats such as
4-20mA, 0-10V, digital, pulse, and frequency among others.
Weather data
Scentroid TOMS can handle data and information from many different sources. In a minimal setup, the
system will obtain weather data from the Local Weather Station and the nearest meteorological station.
It is generally recommended to use a local weather tower. If such is installed the local data will get priority
over data from online sources. Online sources will act as fallback data if the local tower is unavailable at
times.
Process data and chemical measurements
Scentroid TOMS can read process data and chemical measurements and interpret these as variations in
the emissions. Such measurements will greatly enhance the performance of the model.
Data buffering and transfer
Measured data are collected by GSM based transmitters. These transmitters are managed, updated and
configured remotely. Each transmitter will buffer data and transmit at selected intervals. As
communication is based on GSM, and to prevent any failure, the transmitters are equipped with a large
memory, battery backup and will store data and report at the next opportunity. Data is never lost!
Scentroid TOMS is designed to work even if some of the data is delayed. However, when a complaint is
being closed, it is recommended to always wait for the data to be in sync, otherwise you risk that the
dispersion plot changes after the complaint has been closed.
The status for the data synchronization and transfer link is indicated with icons:
No data link available, or data out of sync. Current status may not be correct.

Data link is available. Some data may be slightly out of sync, but the data for the current status is
reliable enough.
Data link is available and the data is in perfect sync. This icon is preferred when a complaint is to
be closed.
Using the system
You are likely to reach the summary page after logging in, although it depends on your user level. The
menu will reflect your user level, and some items may be hidden.

Complaint management
New complaints are normally entered directly by the neighbors. A link specific link for the neighbors to
use is provided in your project documentation. Complaints may also be entered by selecting the
corresponding menu. A new window will open, providing the same user interface as the neighbors use.
Map
Choosing map from the complaints menu will bring up a map showing all the recorded complaints. The
icons are places where the smell was noticed. The color of the icon represent the status of the complaint:
Green: Complain is not justified.
Yellow: Complaint is not yet investigated and closed
Red: Complaint is justified.
It is possible to filter the type of complaints to show, and also the time period.
Clicking any of the icons will bring up some more details, as well as a link to a detailed complaint report.

Manage complaints
A list of all complaints is available from the manage complaints option. The list has an appearance
similar to an e-mail inbox, where open cases are shown in bold. Clicking a title will open the answer
form. The list is searchable.
Opening a complaint will show all the details and provide possibilities to answer, close or delete the
case. The choices and behavior depend on your user level. If you are an administrator, there is a
possibility to delete complaints. There is no UNDO on delete!
If you have authority to approve and close cases, saving the answer will close the case, and it will be
listed as red or yellow depending on your choice. If you only have authority to make a draft answer, the
case will be listed as open (yellow) even after you save the answer.
If your installation includes onsite measurements you should make sure that all data are in sync,
indicated by a blue link icon , before answering a complaint.

The report is updated dynamically, and for the time period provided by the user.

Register a new complaint
The interface for registering a new complaint is the same for internal users as well as the public. To
register a complaint you will need to record the location where the odour was detected as well as the
time. The first step is to click the map to place a marker. This ensures that the complaint registration
cannot proceed without a location.
The location can also be looked up by searching for the address, and the map includes google street
view.
The next stage is to select the time when the odour was noticed, and finally submit the complaint.

Forecast
The forecast function provides an overview of the most recent weather forecast, and identifies the risk
for causing odour complaints. A green icon means low risk, and a red icon means high risk.
Depending on the site layout, location and emission level, there may not be any safe weather types.
The forecast page uses the same type of data table as is used in other parts of Scentroid TOMS. In the
top left corner you can choose how many record to show. The top right corner features a search box,
and the top right has browse buttons. Clicking any of the column headings will order the data ascending
or descending.
Log book
The log book is intended for recording incidents and observations that may be relevant or explain
complaints. In addition, the log book can be used to publish information. The log book is searchable
through the familiar dynamic table interface.
The bottom window on the log book page shows stored records. The right window is for editing and
storing new messages.

Publishing a message
By default, all new messages are private, indicated by a red lock. If your user level is sufficient, you may
click the lock to make the item public, indicated by a green globe.
Public messages may be shown on a company external web or Facebook page if desired, and they will
show up when users try to register complaints.
Odour panel surveys
The odour panel surveys differ from normal Scentroid TOMS operation in that replies are mandatory from
the neighbors even if there is no odour or they are not at home. A panel survey is typically split into
different campaigns each with a duration of a couple of weeks.

Setting up a survey is easy, and requires two steps:
1. A list of neighbors that have agreed to participate
2. A start and stop date for the campaign
You may add or remove neighbors, simply by clicking the map, and providing a name and e-mail. The
name is private and not used externally. The right window provides an interface to write a message which
will be sent by e-mail to neighbors, as well the start and finish date for the survey.
Clicking play or stop will store the information
If the survey is in play mode, it start automatically when the start date arrives. If it is in stop mode it will
be idle until play is registered.
A survey will end automatically after the final date has been passed.
Neighbors will be asked to fill in a simple form, indicating status for each hour of the day. Happy face =
no odour
Sad face = odour detected
Suitcase = Not at home.

Clicking the icons on the table top will mark all hours with that respective status. The form is submitted
with the OK button.

The data from the finished surveys will be shown in a table. The summary is listed for the selected time
period, possibly spanning over several surveys, of for an individual survey by clicking the respective
survey icon below the table.
The odour observations are automatically classified as justified or not justified based on the dispersion
modelling.
Settings and additional functions
Measurement data
If your installation contains onsite sensors, you get access to the measurements from the settings menu.
The myDatanet choice will open a new window where data may be viewed and downloaded.
Map settings
The default zoom and legend may be defined in the map settings dialog.
Olfactometry or manual data entry
Olfactometry or emission data may be entered manually for each source. The emission data is entered
as a flux, unit / second, where unit may me mg/m3
, OUE/m3
or others depending on the model setup.
