This SoP is being developed for GE3S global team to resume office activities amid COVID-19. These are just precautionary measures to carry out day to day activities in safe manner.

Introduction
• The pandemic caused by COVID-19, has affected the health and
safety of people across the world and affected almost all the
countries.
• GE3S is committed to the health and safety of its employees,
their families and other stakeholders, to ensure smooth business
operations. The document has been prepared in view of
resuming office activities.
• This SOP will provide the mandatory OHS guidelines to its
employees, service providers and visitors.
• This document has been prepared based on the Government of
UAE, WHO and other Industry Bodies

Applicability
• This SOP is applicable to all the business operations and offices of GE3S to setting up of
uniform acceptable practices including:
i. Self monitoring
ii. Temperature screening
iii. Social distancing
iv.Sanitization of common touch surfaces/points
v. Maintaining Personal Hygiene
vi.Use of Face masks
vii. Use of hand gloves and PPE’s by cleaning staff.

Steps Before Commuting
1. Employees take ownership of checking and declaring their health status.
2. Ascertain health status by checking temperature - fever, and shortness of breath. If unwell, report
to the Doctor and the Reporting Manager.
If you are Well, then come to office

Commute
1. Ensure Social distancing, respiratory hygiene, cover your face with a
mask and use disposable hand gloves. (Nitrile or Rubber)
2. Do not use air condition or ensure 100% fresh air intake, if sitting with
unknown passengers keep the windows open.
3. Follow alternate seating. In case of car / cab not more than one
passenger sitting diagonally across the driver.
4. To the extent possible, employees should use their vehicles for
commuting to the workplace. Carpools or public transport to be
avoided.

1. Ensure social distancing and cover face with a mask while moving
from lobby to the office location.
2. Do not speak, remove you face mask or touch face in the elevator
and do not overcrowd
3. Maintain a safe distance from each other and ensure the lift is
always at half capacity maintaining 2 meter intermediate distance.

Seating
1. Ensure Social distancing, maintain 2 meter gap between the seats across all the sides, hand hygiene – use disposable hand gloves and
respiratory hygiene.
2. Surfaces (e.g. desks and tables) and objects (e.g. telephones, keyboards) should be wiped with disinfectant regularly.
3. Mask to be worn at all times.
4. Hard copy files to be avoided wherever possible. Soft copy correspondences / approvals to be adopted through mails or other electronic
means.
5. Employees shall work from their seats and avoid going to other’s seats as far as possible.
6. Auto dispensing hand sanitizers should be kept at prominent places around the workplace. Make sure these dispensers are regularly refilled

Meetings
1. Meeting rooms shall not be used.
2. Encourage meetings on Microsoft Teams or other apps.
3. For extreme situations where a meeting cannot be avoided, maintain social distancing and maintain 2
meter gap between the participants.

Cafeteria
1. Ensure Social distancing and respiratory hygiene.
2. No delivery of food from outside permitted. It is recommended that
employees should bring their meals.
3. Bring year own cups / water bottles or use paper cups provided.
4. Do not chat in groups.

Guests/Clients
1. Ensure visitor management through Social distancing and hygiene practices.
2. Always insist all the expected visitors or guest to attend Webex/Team or Skype Meetings
3. No bags / documents to be allowed inside the premises.
4. No e-commerce deliveries permitted at office address.
5. All visitors should wear face and thermal screening of any person entering the premises Shall be done and If the
temperature is more then 37.3 deg C or more, then immediately inform the medical officials.
6. Visitors to provide self-declaration at point of entry.

Restrooms
1. Ensure hygiene in restrooms
2. Ensure safety during restroom break, through social distancing and
hygiene practices.
3. Cleaning done by housekeeping every hour.
4. Alcohol/Chlorine based disinfectant to be used.
5. Touchpoints should be disinfected after every visit.
6. Keep toilet ventilation 24/7 in operation
7. Avoid opening windows in toilets to ensure the right direction of
ventilation
8. Instruct building occupants to flush toilets with closed lid.
9. Wash your hands with soap and water for at least 20 seconds.

Sanitization
1. Secure ventilation of spaces with outdoor air
2. Switch ventilation to the nominal speed at least 2 hours before the
building usage time and switch to lower speed 2 hours after the
building usage time
3. At nights and during weekends, do not switch ventilation off, but
keep systems running at a lower speed
4. Ensure regular airing with windows (even mechanically ventilated
buildings)
5. Switch air handling units with recirculation to 100% outdoor air
6. Personal protective equipment such as N95 face masks, goggles, Gloves, coverall, anti skid
shoes including proper disinfecting equipment like a sprayer, brush, sanitizer, soaps etc. shall be
made available.
7. All areas in the premises including (but not limited to) the following shall be entirely disinfected
with the use of approved disinfectant mediums, prior to office opening and at regular intervals
thereafter.
