Managing remote employees is not an easy task, specially in crises time when the whole family is home. More responsibility lies on the
people managers shoulders to make sure work deliverables are achieved according to plan.
Factors to consider to facilitate remote work
Tasks & Responsibilities Design
To allow an office-based job to become home
based, some adjustments need to be done as:
• Tasks: Transform the tasks into clear
deliverables with clear outputs, and
deadlines
• Response: Define SLAs (Service Level
Agreement) for the response times on:
(emails, calls, employees related requests…)
• Workflow: if the workflow of processes and
approvals which involve the employee is not
automated then use soft copy forms and
circulate them through emails to manage
work during emergency time
• Legal documents: Documents which needs
hard copy signature can be done though
online legal software when possible (ex.
docushare)
Planning and scheduling is core for successful
remote work experience:
• Tasks: Prepare a weekly schedule for the
deliverables expected from the and
communicate it to him fore the start of the
targeted week (employee also can do this
step)
• Time: Agree with the employee how he/she
will manage the time during the day:
• On Call time
• Offline time
• Meetings: Schedule the meetings and
sessions with the remote team before hand
and minizine ad hock calls as possible
Communication with the employees in home-
based arrangements should be continuous to
keep them engaged with the organization and
on track in their delivery:
• Use video and audio calls when
communicating with remote teams not only
emails and texts
• Bring teams together using web conference
to maintain the team bonds
• Don’t limit the meetings time on work and
add personal element to them
• Schedule feedback sessions on weekly or
biweekly bases and work with the
employee on improving the remote work

Hardware
In order to make remote work possible technology enablers should be available for the jobs that require computer-based work or
connection with other people within or outside the organization.
Laptop, or Desktop: If the Organization can’t provide laptop for all
staff which can work remotely, employees to use their personal
laptops or desktops during the crises time
Connectivity
High speed internet connection to enable the use of the core
systems and collaboration platforms
Intranet (VPN)
If the Organization has its internal intranet and systems, its
important to give VPN access to employees to be able to access
the company systems remotely (ex. ERP, HR System, Sales Point…)
Applications
Platforms to enable effective connection with other team
members or customers, (Video, Audio, Screen share…. Platforms)
Collaboration
The platforms and systems each job needs to perform their tasks
fully (ex. Design , statistical, presentation, analysis, project
management…)
If the Organization can’t provide laptop for all staff
working remotely, employees to use their personal
laptops or desktops during the crises time
Organizations’ to cover the monthly internet bill during
the remote work period
To be done immediately to be prepared for unplanned
