CONTENTS
INTRODUCTION
A chatbot is an Artificial Intelligence (AI) computer
software that can simulate a conversation using textual
or audio techniques. AI powered bots can take over a
variety of duties since they are considerably more
powerful and can execute numerous tasks at once. The
basis of chatbots is artificial intelligence which analyses
customers ‘ data and blends the response with them.
Chatbots are also known as smartbots, interactive
agents, virtual assistants or artificial conversation
entities.
FACTORS OF MOTIVATION
• Productivity: Chatbots provide the assistance or access to
information quickly and efficiently.
• Entertainment: Chatbots amuse people by giving them
funny tips, they also help killing time when users have
nothing to do.
• Social and relational factors: Chatbots fuel conversations
and enhance social experiences. Chatting with bots also helps
to avoid lonliness, gives a chance to talk without being
judged.
• Curiosity: The novelty of chatbots sparks curiosity. People
want to explore their abilities and to try something new.
OBJECTIVE
We are making a chatbot which takes access of
data of schools, colleges and hospitals. This
chatbot is used when a person wants immediate
data or information for any school or college or
any hospital’s data accordingly. This chatbot could
be used by any parent who wants to know about
their child’s course fees, attendance and also a
person who wants to know about the nearest
hospital for information like specialities available,
doctors, availability of beds, payment structure and
also the details of any admitted relative.

ADVANTAGES
• Reduced Costs: Chatbots eliminate the requirement of
any manpower during online interaction.
• 24*7 Availability: Chatbots once installed, are available
24*7.
• Learning and Updating: AI-based chatbots are capable
of learning from interactions and updating themselves on
their own.
• Multiple Customer Handling: Humans have a limit to
the number of clients they can handle at once. However,
with chatbots, there is no such constraint and they can
handle as many queries as required at once.
DISADVANTAGES
• Complex Interface: Chatbots requires long time for understanding user requirement.
• Inability to Understand: Chatbots cannot respond properly, due to fixed programs if an
unsaved query is introduced to them. This leads to customer dissatisfaction and may result in
the loss.
• Time-Consuming: The idea of using chatbot is to accelerate the response and makes better
customer interaction but it appears more time-taking due to less data available and time
needed for self updating. It appears confused while attending more number of customers at
the same time.
• Zero decision-making: Sometimes they are enabled to make proper decisions. Big
companies like Microsoft etc. are facing the same trouble.
• Poor Memory: Chatbots lacks in memorizing the past conversation which require typing the
same things again. This may annoy customers.
CONCLUSION
Under this project, an attempt is made to build a chatbot to
help people have easy access to data of big institutions like
schools, colleges and hospitals. The classification of text in
chatbot by using pattern matching to build, train, test it,
helps in getting the desired output. It allows spoken or
written phrases to be analyzed by computers to determine
the intent of the user. Architecture and designing process of
the chatbot is studied to understand how they interact with
humans. AI chatbots helps better decision making. The
advantages, disadvantages and various other applications
of a chatbot are mentioned.
FUTURE SCOPE
Next generation chatbots will become
increasingly utilitarian. They will be more
specialized into the particular fields they will be
working at. They will be proliferate, managing
them will be more overwhelming than managing
apps. They will significantly reducethe need of
manpower as well as the response time for
queries. Large number of sectors will rely on
chatbots for smooth customer intraction as well as
strong customer care services.

  • 3. INTRODUCTION A chatbot is an Artificial Intelligence (AI) computer software that can simulate a conversation using textual or audio techniques. AI powered bots can take over a variety of duties since they are considerably more powerful and can execute numerous tasks at once. The basis of chatbots is artificial intelligence which analyses customers ‘ data and blends the response with them. Chatbots are also known as smartbots, interactive agents, virtual assistants or artificial conversation entities.

FACTORS OF MOTIVATION • Productivity: Chatbots provide the assistance or access to information quickly and efficiently. • Entertainment: Chatbots amuse people by giving them funny tips, they also help killing time when users have nothing to do. • Social and relational factors: Chatbots fuel conversations and enhance social experiences. Chatting with bots also helps to avoid lonliness, gives a chance to talk without being judged. • Curiosity: The novelty of chatbots sparks curiosity. People want to explore their abilities and to try something new.
  • 5. OBJECTIVE We are making a chatbot which takes access of data of schools, colleges and hospitals. This chatbot is used when a person wants immediate data or information for any school or college or any hospital’s data accordingly. This chatbot could be used by any parent who wants to know about their child’s course fees, attendance and also a person who wants to know about the nearest hospital for information like specialities available, doctors, availability of beds, payment structure and also the details of any admitted relative.

ADVANTAGES • Reduced Costs: Chatbots eliminate the requirement of any manpower during online interaction. • 24*7 Availability: Chatbots once installed, are available 24*7. • Learning and Updating: AI-based chatbots are capable of learning from interactions and updating themselves on their own. • Multiple Customer Handling: Humans have a limit to the number of clients they can handle at once. However, with chatbots, there is no such constraint and they can handle as many queries as required at once.

DISADVANTAGES • Complex Interface: Chatbots requires long time for understanding user requirement. • Inability to Understand: Chatbots cannot respond properly, due to fixed programs if an unsaved query is introduced to them. This leads to customer dissatisfaction and may result in the loss. • Time-Consuming: The idea of using chatbot is to accelerate the response and makes better customer interaction but it appears more time-taking due to less data available and time needed for self updating. It appears confused while attending more number of customers at the same time. • Zero decision-making: Sometimes they are enabled to make proper decisions. Big companies like Microsoft etc. are facing the same trouble. • Poor Memory: Chatbots lacks in memorizing the past conversation which require typing the same things again. This may annoy customers.
  • 12. CONCLUSION Under this project, an attempt is made to build a chatbot to help people have easy access to data of big institutions like schools, colleges and hospitals. The classification of text in chatbot by using pattern matching to build, train, test it, helps in getting the desired output. It allows spoken or written phrases to be analyzed by computers to determine the intent of the user. Architecture and designing process of the chatbot is studied to understand how they interact with humans. AI chatbots helps better decision making. The advantages, disadvantages and various other applications of a chatbot are mentioned.
  • 13. FUTURE SCOPE Next generation chatbots will become increasingly utilitarian. They will be more specialized into the particular fields they will be working at. They will be proliferate, managing them will be more overwhelming than managing apps. They will significantly reducethe need of manpower as well as the response time for queries. Large number of sectors will rely on chatbots for smooth customer intraction as well as strong customer care services.
