ROLES & RESPONSIBILTIES
Facilities Management:
 Maintain open line of communication with management and team members Guide, motivate, mentor and
create leaders out of team members.
 General Administration of the entire project on site & support smooth operations of support services
 Plan,co-ordinateand control all technical and facilities management activities on behalf of company and
its clients in their respective portfolio.
 Ensure 100% business up time through timely service of all critical equipment
 Work with Technical SME for preventive and predictive maintenance of all equipment to minimize the
break down
 Agree servicelevels for respondingto minor electrical breakdowns,and changes in the offices,and adhere
to the agreed timescale in resolving these issues
 Ensure all contract vendors work as per Sow and weekly/monthly/daily reports from vendor are obtained
and checked
 Coordinate with vendors and ensure Air, food & water quality tests are done on a regular intervals of
facility
 Catering and pantry coordination , Follow-up of Building related vendor payments
 Review of all MIS with the MIS Team prior to client review on monthly basis
 Coordinate with Procurement team for all Opex & Capex requirement for Offices.
 Organizing training programs for Vendor Partners, Fire & safety, HK , M&E staff
 SPOC for ISO 90001 internal Audit
 SPOC for All statutory compliance internal & External Audits
 Professional, efficient and accurate formulation of the expense budgets, management and control of the
expense budgets and expenditure in accordance with company’s Policies and Procedures
 Designed and implemented the operations manuals, Marketing Manual & Center/Franchisee Manuals
with quality procedures & guidelines as per the ISO 9000 standards
 Actively involved in opening of new franchisee & establishing as per company's policies and procedures.
 Managing helpdesk for PAN India operations, review the TAT & SLA for the services with Client
periodically.
Operational Health and Safety:
 Assist in testing fire alarms & coordinating fire practices / evacuations / head count and conducting
external training for staff in safety procedures
 Carry out regular inspections and tests of fire alarms, fire exits, escape routes and doors, workstation
configuration, reviews of procedures to ensure a safe and healthy working environment
 To conduct safety checks on the fire extinguishers & necessitate corrective actions if found defective
Administration Function:
 Printing and manage stationeries
 Housekeeping – carry out checks and ensure good hygiene and cleaning standards in the office premises
 Office cafeteria – Ensure the quality of the food being served in the cafeteria
 Event and mail room management
 Conference and meeting room arrangements
Physical Security:
 Manage outsourced security staff
 Control inward and outward materials
 Ensure security equipment are operational
 Control access
 Monitor CCTV records by building in charge of their location and access reports audit by SME
Team Management
 Measure performance of the team for e.g. performance appraisals, confirmation and ongoing feedback
and training
 Formulate long term plans for the development and motivation of the team
 Nominate sub-ordinates for suitable training programs sponsored by the organization to enhance their
capabilities and skill level.
 Offer cordial work environment and cohesive work relationship to the repartees to facilitate
performance.
