Evaluation: Management
of Project
Vibe Reports
Millie West
Time Management
Time management is a crucial part of any media project; it regards all of the pre production,
production and post production stages of a media timeline. Effective time management can
make for a precise, well thought out, productive project.
In my opinion, Vibe Reports managed our time effectively, to create a an effective, positive
working environment that was stress free. We were able to complete our documentary
(including pre production stages as well as filming and editing) prior to our allocated
completion deadline and air date specified in our brief. We left a thoughtful amount of time
before our due date in the likely event that we may need to make changes to our project.
As we suspected, we did indeed need to make changes to our production. Although it only
took us approximately 2 days to improve our documentary, as we had allocated ourselves
extra time as a precaution in the event that we would need to complete a second draft, we
were not rushed for time.
However, I do also believe that it is possible that we could have been even more efficient
with our time management. For example, in terms of communicating more. If we had
communicated as a group more, then there is a possibility that we would have been even
more efficient with our time, as communication is key.
Time Management
As you can see to the right, we completed a
production schedule. This production schedule
includes the dates that we both began and ended a
task set, as well as who completed it. (Whether
that be during pre production, production or post
production.)
In addition, you can see the ‘Minutes of Meeting’
document that we created. In this document, we
recorded the weekly or twice weekly meetings
that we had. In the meeting we would speak about
tasks that we had completed, and what we had
done in order to do this, as well as plan out what
we wanted to achieve in the next week or coming
few days. This aided our time management as we
were able to plan out and visually see what we
wanted to achieve and when we wanted to achieve
this by.
Team Management
We divided tasks between the group in order to complete a common goal, our social
action project.
In order to create an effective and professional documentary, we were all allocated lead
roles of some kind. We took into account people's skills and agreed on the most
appropriate roles for each person. Lauren was allocated the role of director, this means
that she had a large say in who was allocated what role, within reason of everyone's
skills. I was allocated the role of the assistant director, meaning that I also had a major
role to play in terms of leading the team and ensuring we worked well together to create
a professional production; in my opinion, we did so. Ben Karrass was assigned the role to
be in charge of all of the legal aspects regarding the short film including talent and
location release forms. Ben Goldstone was made to take charge of any continuity issues,
spotting, exploring and sorting out any hurdles that could cause inconsistency in our
project. Finally Nikon Ahamed took the lead on the storyboard, ensuring all aspects of
our documentary were in the correct order – following the original script that Lauren
and I had created.
Teamwork
In terms of communication, as a group, I feel as though we communicated well, however, I do
believe that we could have done so significantly better. As we first got into our group, we
primarily communicated in school, during lessons, and outside of school via a whatsapp group
chat. As time went on, there would be lesson communication in class and more over whatsapp
which made it difficult for members to fully express themselves, their views and their opinions.
Members of the group could get frustrated by this causing again a lack of face-to-face
communication. Aside from this, I do believe that we only had very minor issues with
communication and in general, the standard was high.
How did we get on? Personally I believe that Vibe Productions got on well. When deciding on
most, if not all of the major and minor decisions that were relevant to our production, I found
that we uneraterly agreed. Not only did we just get on well, we enjoyed working together as a
group, and creating our production was an enjoyable experience. All in all, there were very little,
if any arguments, disagreements or squabbles which resulted in a lack of tension in the group,
making it a harmonious and enjoyable place to work.
Teamwork
On the subject of teamwork, there is an incident that occurred whilst creating our documentary. After filming
one Friday afternoon, we all allocated ourselves a piece of equipment to look after and care for over the
weekend, and to return to school on Monday. Ben Karrass took charge of the boom microphone, but later
realised that he had left it on the bus, on his way home. Consequently, on the Monday morning, Lauren, Ben and I
phoned the bus depot, where all forgotten items get left for lost and found. We traveled to Leyton where we
retrieved the microphone, although it meant that we wasted important lesson time, where we could’ve been
doing written work.
In my opinion, I feel at some points of the production, not everyone in Vibe pulled their weight. I found myself
taking on extra jobs and doing extra work than allocated, meaning that some participants did significantly less
than allocated. I found this unfair as without the extra work having to have been done and the extra hours being
spent doing it, I don't have the greatest confidence that it would've been done by others.
In addition, during the editing states of our production, I found myself and Lauren doing the majority of it. On
some occasions, members of the group failed to come into school, meaning that they missed out on important
decisions and some of the crucial parts of editing our production. Even when these members were present, I
don't feel as though they didn’t make as much contribution as others. Finally, on some occasions it was hard to
find time to film due to busy revision schedules (as it was nearing the time for us to do our mocks) and personal
social life arrangements. Yet we were more than able to work around this, by filming locally during school time
as well as filming on weekends and during the evenings.
Independent Working
Throughout the course of this project, I had a number of jobs to complete. These primarily included
being Vibe Productions assistant manager. This meant that I had to make some of the important and
crucial decisions regarding our social action project. It was a privilege to have been allocated this role
and so I grasped the opportunity with both hands and an open mind.
My roles during pre production included being part of the initial meeting that took place. This is because
it was important starting block for our production to begin. Following this, together with my group, I
completed the Treatment, Pitch Script, Pitch Slideshow and Budget. The Site Plan, Official documentary
Script and Minutes of Meeting, were also tasks that I tended to take a lead role on, of which all I enjoyed
profusely.
During the production stages, I acted as one of the talents and played the role of both the host and
interviewer. I really enjoyed being part of the documentary, in addition I felt like a big part of it once it
was complete. My skill and passion for the arts aided my contribution to the documentary. Finally, at
some points in the documentary, I indeed took on the role of camerawoman. I did this as it meant that
that i could not only further my skills, but take off some o the pressure from those who did it regularly.
During post production I took on a large proportion of the editing. I believe this was because each time I
have used the MAC’s and Final Cut Pro, i have furthered my skills and knowledge of the application, and
so my peers trusted my actions. I believe my skill for being aware of small features as well as my keen
Independent Working
I believe that I was allocated the jobs i was for a number of reasons. Firstly, there were a number of
tasks that we completed as group as we felt that it was the most efficient way of completing it. The
treatment, Pitch Script and Slideshow were all very literary documents and I pride myself on my English
ability. I did the most part of the editorial role of the pitch script as I have the ability to word sentences
in a sophisticated manor, and for this specific task, I believe this skill was crucial to have. Creating the
budget was an enjoyable task as we set ourselves a budget of £100 and we were able to stick to it. I
would consider myself good with numbers and with the help of my colleagues, we completed the task in
good time and fashion. (Whilst being able to stick to our budget) My artistic skills came into play during
the creation of the site plan. I have a key eye for detail and so I as well as others took of the task of
creating a realistic digital versions of the locations that we intended to use.
Again I had the chance to put my literary skills to the test and had a lead position in creating the script
for our documentary. I loved the ability to include detail and information into the script and allocate
roles for each person to play. As a visual thinker, I was able to plan out a sequence of events to include in
our social action project and it was very fulfilling to see the script that Lauren and I had created, turn
into a reality. Due to my keen eye for detail, I was able to be specific in my writing, which made the
documentary realistic and easy for our talent to understand when reading. I was present and had
chances to write up our minutes of meeting; due to my skills of creativity, motivation and organisation,
we were able to plan out what we wanted to complete by the next week or meeting. These planning
skills aided our ability to complete the project prior to its due date.
Independent Working
I believed that I organised myself well. To do so, I ensured that I kept up to date with all work
that needed to be completed. I did the work as detailed and to the best of my ability as I could,
which aided my organisation as my work seemed to be clear. In addition, as a group, we would
confirm filming dates, times and locations, prior to filming. This made me confident in knowing
where I needed to be and when. Being prepared for such filming days also aided my confidence
as I went ready for the either written work or filming day, that we had ahead of ourselves.
Before we began filming, I downloaded google drive on my phone. This meant that i could check
any pre production documents to help me organise myself quickly and easily. I was able to
access the production schedule to see what I was supposed to be doing and where I needed to
be. In addition the easy accessibility meant that I could also edit any documents that needed to
be adapted.
To improve, I believe that I could’ve tried to communicate more during times of stress. I believe
that my input could’ve been useful in stressful times, at it could’ve helped the situation. This is
definitely something that I will work on for future productions.

Before we began filming, I downloaded google drive on my phone. This meant that i could check any pre production documents to help me organise myself quickly and easily. I was able to access the production schedule to see what I was supposed to be doing and where I needed to be. In addition the easy accessibility meant that I could also edit any documents that needed to be adapted. To improve, I believe that I could’ve tried to communicate more during times of stress. I believe that my input could’ve been useful in stressful times, at it could’ve helped the situation. This is definitely something that I will work on for future productions.
