Purpose/Objective:
 Project Planning involves assessing project planning, initiating management approval files
and execute tendering process and their post processes.
 Project Coordination involves assessing vendors to supply project related materials and
assessing quality check officer, handing over the project site and providing all basic needs

Major Responsibilities: Project Planning Subordinate
Assessing project planning:
 Segregating projects between repair/Maintenance projects and New
projects/procurements.
 Further Segregating projects into Annual Maintenance works, Proposed Works
(Involves Civil, Electrical, Mechanical, Shifting of Equipments, Networking etc), High
Cost facilities and Equipments and purchase of Spares/Materials and
Gases/Chemicals.
 Providing scheduling reports about various projects to assess scheduling of other
projects at same sites.
Initiating management approval files and executing tendering process and their
post processes:
 Initiating Budget approval files for Revenue Budget (for Repair/Maintenance
Projects) and Capital Budget (for New Projects/High Cost Equipment purchase and
Facilities) during the beginning of financial year.
 Initiating new project files and obtaining approval from the supreme management.
 Sending RFIs and RFQs for various projects to vendors and Selecting based on the
least quote.
 Coordinating with Finance department and following up the vendors for
negotiation.
 Providing Letter of Intent with legal and commercial terms to the vendor for
starting their works.
 Generating Service PRs and Service POs for respective projects and Creating paper
documents to provide the same for vendor and finance department
Major Responsibilities: Project Coordination
Assessing vendors to supply project related materials:
 Providing E-Sugam document to the vendor to pass in the materials inside the state.
 Preparing MGPs for Materials to pass in/out of the factory.
 Providing Storage Space for the Materials bought in.
 Assessing Senior Officers in Material Quality Checks.
 Generating GRs for inward materials after QC to assess payments on them.
Handing over the project site and providing all basic needs for them to carry out
the project:
 Clearing the project site for the vendors by coordinating with the respective
personnel in-charge.
 Providing Electricity, Water etc., facilities to vendors for carrying out the work.
 Resolving on field issues to assess smooth run of the project.
Assessing payment advice:
 Analysing vendor bills for any deviation from the original approval project such as
use of materials and deviation in time frame.
 Initiating approval for deviation& processing the bills from supreme management
as certified by the Engineer In-Charge.
 Amendment of SAP POs to the actual executed value.
 Advising Payment by generating Service Entry Sheets and other related documents.
 Functional Title: Production & Project Coordination and Logistics Engineer.

Purpose/Objective:
 The Project Coordinator & Logistic Personnel operates as part of Project Management
Team and is responsible for Project Planning & Scheduling, monitoring, coordinating with
field Engineers , Generating reports , Planning movement of Hardware and Material,
Coordinating / follow-up with vendors, finance, HR, Contract engineers.
 The Production Control Engineer is responsible for Scheduling and monitoring smartcard
production, Packing of Inward Materials keeping record of consumables & machinery
spares, Monitoring quality check operators and scheduling and coordinating preventive
maintenance/ Breakdowns.
Major Responsibilities: Project Coordinator & Logistic Personnel
Project Planning & Scheduling, monitoring:
 Assisting Management in assigning targets and scheduling the activities.
 Follow-up with field Engineers in order to achieve the assigned targets.
 Monitoring the progress of the project through Daily/Weekly /Monthly Reports.
 Logistic Personal maintains all required data, conducts related analysis and
provides management actionable information.
Coordinating/Follow up with HR, Finance Department, Contract Engineer (CE):
 Logistic Personnel acts as a Liaison between CEs and Payrolls, HR.
 Maintaining HR & Payroll Related documents and information of all contract
engineers working in the project.
 Coordinate for HR related activities.
 Assist Payroll/Finance with respect to field Database Administrators (DBAs) issues.
Planning Movement of Hardware:
 Hardware includes Biometric Data Capture devices, Bulk Data Storage Servers.
 Coordinate with Stores, Check Availability in stores, Generate Store Request,
Arrange for Packing.
 Material Gate Pass generation, arranging necessary documents.
 Maintaining records relevant to Hardware.
 Follow-up with stores until dispatch and also follow-up until receipt of material at
required site.
 Coordinate for acknowledgements from vendors for the receipt of the material.
 Support Data Base Management team in gathering Data from field.
 Maintaining records related to media using which Data is submitted.
Coordinating/Follow up with Vendors:
 Maintaining Daily Progress, Analysis Reports.
 Gathering inputs from vendors as required by management.
 Conduct Analysis and generate Ad-hoc reports for review meetings.
 Follow-up and coordinate with vendors for Biometric Enrolled Data submission at
regular intervals.
Major Responsibilities: Production Control Engineer
Scheduling and monitoring smartcard production:
 Preparing Production Scheduling Chart by discussing with the Customer (UIDA)
 Monitoring Production Runs and assessing to circumstantial issues.
 Training (On job) ITI Trainees on production and machine operations and usage of
consumables.
 Assigning shifts to ITI trainees.
 Packing, Storing & Dispatching finished products to their respective places by
coordinating with the company logistics department and material carriers
(Couriers).
 Preparing production reports.
Maintenance of Consumables & Machinery Spares Records:
 Packing of Inward Materials & Maintaining inventory records of consumables and
machine spares.
 Recording the usage of consumables in production.
 Assessing purchase of consumables & machine spares on need basis.
Monitoring quality check operators:
 Assessing quality check operators in QC process.
 Training ITI Trainees on using quality check software.
