1 Delivery Process
In this chapter, will be a brief explanation about the process of delivery from selection of EP to the
issue of visa.
Notice
Process of Certification of Eligibility is irregular. We can not say, “Certainly, Certification of Eligibility
is issued in two month.’’ It sometimes takes more than 3 month. So, please do not book airplane ticket
or move your resident before visa has issued. Sorry for your inconvenience.
Exchange Acceptance Note (1 week)
Please send EP Acceptance Note to TN-manager by e-mail or fax.

EP Selection (1 week)
TN often requires assignments (e.g. motivation letter) or telephone interview
to EP applicants.
Step 3
Get Certification of Eligibility (2 months)
To get VISA, all EP needs to receive Certification of Eligibility which is
issued by immigration office in Japan. AIESEC in Japan have to submit
various documents to immigration office to receive Certification of Eligibility
according to strict regulation of immigration. Please notice it takes 2 month
averagely to receive Certification of Eligibility since exchanging Acceptance.

Get Visa (10 days)
When TN-manger receives Certification of Eligibility from Immigration
Office, TN Manger will send it to EP-manager or EP. It takes about 4 days by
air mail. When EP Manger or EP receives Certification of Eligibility, go to
Japanese embassy or consulate and exchange it to visa. It depends on the
country, but usually visa will be issued in a week.
Come to Japan
If VISA has issued safely, it’s the time to come to Japan!! Please make sure
to fix the date of arrival with TN-manger.

2 List of necessary documents and information
EP must prepare the following documents to apply for the traineeship visa. Please send all documents
by airmail after exchanging Acceptance Note. AIESEC in Japan has to submit all documents to
Immigration office in order to get Certification of Eligibility which mentioned at Step 3 of Chapter 1.

þ *Curriculum Vitae TN-manager has format of C.V.
þ Copy of Passport
þ Photograph (4cm×3cm)
This photograph must be clear enough without background, must
be taken within 6 months before the application procedure and
cover upper body with uncovered head. Also, please write your
own autograph on the reverse side.
þ *Certification of studentship
It must include the expected date of your graduation.
If the certification isn’t written in English, Japanese or Chinese,
please make one copy translated in those languages.
þ Some supporting documents
To be submitted on the occasion of application.
e.g.) A letter of recommendation from the professor, if possible.

information to fill in the application for Certification of Eligibility.

3 Requirements condition for traineeship
EP must satisfy the following conditions for going on an internship in Japan.
You have to...
Ø Get a “Traineeship Visa” to enter Japan. Any other visa won’t be issued to AIESEC
Traineeship.
Ø Be a student before and after the traineeship. EP must belong to the rightful institution such as
university or college. (Excluding language school or cultural school)
Ø Go back to your country and reenrol the same university or college after the traineeship.
Notice
Ø Minimum duration of internship is 6 weeks and maximum is 6 months.
Ø If you participated in an internship in Japan before, you can’t participate in it again. Because
“Traineeship Visa” can be issued only ONCE unless the circumstances are exceptional.
Ø You cannot do any part time work during your internship program.
Ø If one is studying / is going to study in Japan before or after the traineeship, please notify TN
Manager in advance.
Ø When Acceptance Note is submitted, one cannot reject. If going on a long-term traineeship, make
sure with the University or college if absence from school is permitted or not.
4 Important information
Ø Insurance
During the traineeship, you will be covered by traineeship insurance provided by the
company. Most of the troubles will be covered by the insurance except for dental treatment and
pregnancy.
Ø Accommodation
AIESEC in Japan will help you to find a suitable accommodation for your stay. You will
discuss about the matter during the delivery process, and hopefully find one before your arrival.
Rent for the accommodation will be decided in consultation between you and the company.
Ø Flight Ticket
According to Japanese law, TN must pay for the travel expense when trainee returns to his/her
country. This expense will be paid when the internship begins.
