How to present problems :
introducing the issue
• Problems can generate conflict so extra care has to be
taken when presenting difficult issues.
• This module deals with presenting problems in two
phases
• This Unit deals with the first phase introducing the
issue.
• Tips to introduce a problem
• 1) Perspectives :- goals and roles when the
Perspectives differes if result into arising problem
Therefore before presenting a problem of s meeting it
is important their point of view ask their role in solving
the problem
• If you fail to understand what other think regarding
the issue you will invite unnecessary conflict
• 2.) Agenda and process :- you should be clear from
the very first about the agendas of the meeting and
also the process for discussion because this has to
be discussed and agreed before the meeting.
• 3.) Information tasks :- if members of the meeting
will fail to digest the information given by you the
process of your presentation will fail and make sure
that the task that has given by you has been
completed
• 4.) Schedule and venue :- basic logistics basic things
like arrangements of the place and
• Physical environment should be done purely by the
time because if you don't pay attention to this such
things might spoiled your prepared presentation.
• 5.) In formation :- a culture warning , a Presenter
should never underestimate the culture difference
and should prepare his information in the way that
it should not harm any members sentiment
regarding culture.
How to present problems :-
Analysing the challenge
• Let's move from phase 1 to phase 2 and examine
how to present the analysis of a problem there are
many analytical tools used a different stage of
problem solving some are specific techniques for
identifying the actual problem and quantity the
ways to analyse and quantity the success of any
implement solutions.
• How to analyse the challenge
• 1.) Identify the problem
• It is very important to identify what the actual
problem is in order to bring solution regarding any
matter.
• 2.) Analyse data to understand the problem :-
when you get to know the problem regarding any
matter go through the data once as data provided
on in depth understanding of the problem.
• 3.) Investigate causes of the problem :- when you
success fully have find out the problem start
investing the real cause of the problem as by
knowing the cause of the problem you will be able
to understand why the problem has actually ocrurd
• 4.)Propose a solution to solve the problems
• When you have applied any problems solving
process go through it once and ensure that it actually
works.
• 5.) Review data to check if the solution has worked
once the problem has been find out propose
solutions acwrdind to that he ordered to solve the
problem.
• 6.) Introduce process :- which will secure the solution
over the longer term.
• 7.) Review the problem solving process :- to learn
from the experience.
• 8.) Focus on Risk analysis methodology :- familiarity
with risk analysis methodology is also very useful to
structure the analysis of problem
• Facing organisation . Risk analysis is an approach
which analysis threats with a cost assessment of
forecast scenario to present risk analysis use
following steps.
• 1). Identify risks :- Before presenting a problem
identify the risk whether the risk is of individual or
financial technical political or natural.
• 2) Evaluate risks :- once you have identified the risk
" rank the risk and you will get to know of anything
goes out of your assumption then how much
money will it cost to repair the damage.
• Handle risks :- The third step is to Presenter
solutions to manage the risk if possible try to
• Manage the things and prepare the processor
according to it.
• 4.) Review the risk management process :- once
you have prepared risk focused process practices it
once or go through it once test the plan to handle
the risk.
• Attitude to risks a culture wearing :-
How to present the status of
project
• Project reporting depends upon some factors like size of
the project importance of the project organizations many
projects require regular reporting if can be documented
or a single page report.
• Project reporting including certain major phases such as
• 1) schedule :- whether the project is doing well in
relation to the schedule.
• 2.) Finance :- this phases of a project deals with whether
the project is progressing well in relation to budget or not
?.
• 3.) Threats :- This phase deals with the new risk in
the project and if the risk are being managed
• 4.) Issues :- not issues if there is any new issues not
issues arise then it has to be handled perfectly.
Tailoring presentation content to
audience need .
• Project manager often have a wealth of information
in their heads . Their biggest challenge is to narrow
the focus sufficient for an audience your presentation
must offer information which is
• - objective and accurate
• - clear and concise
• - easilly interpreted
• - multi- level :- you can drill down quickly from
summary to detail
• Flexible :- you can quickly show different impact if
any any dates or value chanse tailored for
• Specific stokeholders with specific concerns
• Which format ?
• Using the actual project reporting tool for your
presentation may offer advantage over power point
and words simple choose the format that will allow
you to meet audience need more effectively.
• Project vocabulary - a tip
• Some international manager believe it is useful to
create a glossary of project terms during a project life
cycle account may have different meanings across
national and corporate culture A glossary can help
build understanding and a common culture.
How to present to customer
• Discovering customers need
• It is very essential for a Presenter to know what
the customer actually need if the presenter know
need of the customer then he can deliver right
information to the customer the information they
are looking for "A customer friendly presentor
should apply research based approach which
involves asking questions to know client's needs.

How to present problems : introducing the issue • Problems can generate conflict so extra care has to be taken when presenting difficult issues. • This module deals with presenting problems in two phases • This Unit deals with the first phase introducing the issue. • Tips to introduce a problem • 1) Perspectives :- goals and roles when the Perspectives differes if result into arising problem Therefore before presenting a problem of s meeting it is important their point of view ask their role in solving the problem
  • 3. • If you fail to understand what other think regarding the issue you will invite unnecessary conflict • 2.) Agenda and process :- you should be clear from the very first about the agendas of the meeting and also the process for discussion because this has to be discussed and agreed before the meeting. • 3.) Information tasks :- if members of the meeting will fail to digest the information given by you the process of your presentation will fail and make sure that the task that has given by you has been completed • 4.) Schedule and venue :- basic logistics basic things like arrangements of the place and

How to present the status of project • Project reporting depends upon some factors like size of the project importance of the project organizations many projects require regular reporting if can be documented or a single page report. • Project reporting including certain major phases such as • 1) schedule :- whether the project is doing well in relation to the schedule. • 2.) Finance :- this phases of a project deals with whether the project is progressing well in relation to budget or not ?.
