15. How can we work smarter?
● Combat the top time wasters.
● Work by design.
● Assess your activities.
● Put “first things first”.
● Be conscience of the IMPORTANT.
20. Time Waster 1:
Emails
● Don’t look at emails for the first 30
minutes of the day. (Do your daily
planning and your top priority task
first, then go to emails).
● Setup automatic filters in gmail to
keep emails organized and easy to
access.

● Create a company policy: Urgent &
Important in the subject line. You can
then have each person create a filter
that grabs messages with that subject
line and automatically files it into the
Urgent & Important label.
● Use labels to identify email priority
levels, A, B, C.
● Pay attention to unimportant messages
and see what you can do to prevent
them. I.e. create a personal email for
subscriptions and shopping.

Online Distractions
● Save it for lunch break. Eat first then
use the rest of the time to surf the
web or look at social media.
● Remember your mission and goals
and have discipline!

Colleagues
23 Minutes and 15 Seconds
Use DO NOT DISTURB Signals:
Light on Desk (Can be Plugged
into the computer at all times!)
Wear Headphones (Even if you
aren’t listening anything.)
Clips with Colored Cards (Clip to
Desktop & can be seen anywhere.)
Flag on Desktop "Do Not Disturb"
(Same concept as the clips above.)

Meetings
● 47% of professionals say their
biggest time waster is having to
attend too many meetings. On
average, 33 minutes a day are spent
just trying to schedule these
meetings!
● Communication is crucial to the
success of the dealership, however,
there are better ways to
communicate.

● Ask yourself...can this be handled with a simple email?
● Create an email group that general communications can be made through. For
example, we have staff@dealersynergy.com
● Have specific “standing only” meetings to keep them short. Put a time limit.
“Bottom line the conversation”.
● Have a bulleted agenda and identify the people that actually need to be in the
meeting. Schedule people only for the parts necessary.
● Be aware who is in the meeting and dismiss those once no longer needed.
● Call meetings for high priority items and schedule those further out that have
deadlines further out. Again, have discipline!
27. To Truly Excel in our Career, We Need to
WORK by DESIGN, rather than by Default.
28. ● Have a plan (Live by design). Begin with the end in mind. Based on mission
and goals.
● Weekly planning (proactive) and Daily Planning (Accountability)
● Work=job description and communicated goals.
● Once we understand our “end in mind”, we need to be able to make sure all
of our activities perpetuate our mission & goals.
● We must Put first things first-PRIORITIZE the highest most valuable tasks
based on mission and goals. If you aren’t spending your time on “PPAs”
(Profit producing activities) and “MMAs” (Mission Moving activities), you
are spending your time in the wrong places!

○ The activity, how often you do it
and how long you do it.

the time matrix!

● You will learn which
activities to eliminate (Q4),
● Which activities to avoid (Q3)
● Which activities you need to
create more time for (Q2)
● Which activities you must
finds ways to limit (Q1)!
