PROPOSED SCOPE OF SERVICES
To meet the entire lifecycle requirements of a spa project we offer the comprehensive
services below. Subject to the client’s specific requirements, we can offer a tailored
package for any project.
1. Consultancy
 Spa Design & Realisation
 Gym/Fitness Centre Design & Realisation
 Interior Design (if the client does not have his own designers), otherwise we will
work closely with the Client’s Interior Designers & Architects providing specialised
design input & guidelines
 Pre-opening & Implementation Services
2. Management & Operation of the Spa under one of various alternative business
arrangements, or a tailored arrangement as agreed with the clients in line with
the desired objectives.
DETAILED SERVICES
Initial Approach
The initial task will involve a kick-off meeting with the client to formulate our brief and set
objectives and a timeline.
We will visit the hotel to understand the nature of the hotel and its business:
 Location
 Market (business or leisure, average accommodation rates etc.)
 Guest profile (nationalities, average stay, terms of stay, occupation)
 Local infrastructure & competition
 Source of business
Design & Realisation (Phase 1)
Designed for success
Designing a beautiful spa that is unique in style and character and is perfectly balanced
with your specific location is a multi-disciplinary task. We draw on our team’s in-depth
knowledge combined with extensive experience to deliver a spa concept and size that is
appropriate for your hotel and market, with optimised space arrangement and functionality
in order to achieve maximum comfort and a perfect spa journey.
A dual purpose
With every design we ensure a positive outcome for both sides: the spa and the visitor. On
the one hand, guests can look forward to a naturally aesthetic environment, where every
area comes to life and radiates soothing energy thanks to the perfect choice and balance of
material textures, colours, surfaces, sound, lighting and scents. The overall result is a
luxurious and sophisticated oasis of tranquility that promotes wellness in all its dimensions.
On the other hand, we present financially and commercially viable solutions by fine-tuning
the design to eliminate waste, delays and unnecessary cost. Beauty and positive energy

Our Design & Realisation phase covers the following services:

 Interior design brief that will include room data sheets for each area/room providing

 Technical assistance/consultancy in space planning, development of schematic
design, interior design concept, materials and other interior design elements
 Final detailed design documents review and sign off
 FF&E and OS&E consultancy and procurement assistance
 Construction supervision site visits and assistance in developing alternative solutions
to design conflicts
 Consultancy in the preparation of snagging list and sign-off of project delivery.
Full-service interior design
ExclusivelySpa™ is well equipped to undertake the complete interior design process, from
developing and proposing a design concept with detailed specifications, to producing
technical drawings and plans for execution. Upon approval of the concept plans, we will
proceed to the design development phase with the following deliverables:
 Drawings: Professional space planning, floor plans and elevations, custom cabinet
design and detailed drawings, technical drawings
 Mood board presentation and, if required, 3D illustrations & renderings
 Interior construction: Supervision and administration
 Furniture: Fitted furniture and door design, furniture selection assistance and
presentation of options with costing and bespoke furniture design
 Sanitary fittings
 Finishes: Floors, wall cladding, partitions and ceiling finish specifications, colour
scheme selection and co-ordination, selection and specification of materials and
finishes
 Lighting: Design and fixtures
 Soft furnishings: Specifications and samples for curtains, wall panelling and curtain
partitions
 Decorative items and artefacts
 Signage: Drawings and specifications.
Alternatively, we can work closely with the client’s designated team of interior designers,
architects, engineers and project manager to ensure that the agreed spa concept is fully
realised and implemented.
Pre-opening Services (Phase 2)
Start off on the right foot
Our business and operational pre-opening services are crucial to the commercial success
of every spa and the delivery of an outstanding customer experience. Effective planning
eliminates waste, optimises the use of resources, achieves timely opening, facilitates
smooth transition of soft opening to full operation and leaves nothing to chance.
ExclusivelySpa’s pre-opening plan provides a strong foundation for the successful
operation of an exclusive spa, from treatment and menu creation, to products and training,
alongside standard operating procedures, recruitment and management systems.
Key factors
The main factors that determine the success of the pre-opening phase include:
 A dedicated, well-trained, enthusiastic team with a detailed understanding of the spa
products and operation
 Processes and procedures that are well tested to deliver results and smooth operation
 Investment in soft tools, which are as important as investment in hardware.

To achieve the above, we allow 3 months for the pre-opening phase which involves the
following deliverables:
 Pre-opening schedule (time line, path and activities)
 Pre-opening budget
 First year Operational budget
 Staff consultancy (staff numbers, positions, qualifications, job descriptions, and
salaries)
 Staff recruitment
 Marketing & PR plan and media pack
 Design of marketing collateral (spa brochure design and other marketing collateral)
 Integration plan with the hotel operation (marketing, promotion, housekeeping,
maintenance, F&B for wellness programmes)
 Signature treatment design, day packages and wellness programmes
 Final services selection, costing and price structure, treatment menu creation and
customer journey design
 Product recommendation
 Uniform selection
 Linen selection
 Standard operational procedures, rules & regulations manual, all operational forms &
documents
 System consultancy & implementation: spa management software, accounting
system, inventory control, time & attendance
 Set-up of management reports, KPI’s and staff performance monitoring, reward &
appraisal systems and client satisfaction survey
 Technology selection: telephone, audio-visual installations, computer hardware, other
control systems
 On-site pre-opening training (3 weeks)
 On-site and remote final stage project management & coordination (6 weeks),
Including
o On-site spa set-up (treatment rooms, reception, relaxation area and back-of-house)
o On-site implementation of all systems & procedures
 Retail visual merchandising (last week prior to opening and first week of operation)
 On-site soft opening support (1 week).
Management & Operation (Phase 3)
Sustaining the momentum
Quite often, even after an impressive opening of a magical spa, sustaining the initial
momentum is the main challenge. Having an expert spa management team is of paramount
importance, in order to ensure commercial success, profitability and return on your
investment based on consistently high standards, an outstanding spa experience and a
systematic business approach. This is where ExclusivelySpa’s operational management
expertise comes into play and makes all the difference.
Our marketing strategies are tailored to a hotel environment and have proven successful
time and again. Client testimonials confirm that our spas achieve high profitability and give
guests an added reason to return to the hotel and recommend it to their friends.
Our level of services extends from ad-hoc spa operational support to full management
of day-to-day operation of the spa as Management Consultants or as Operators by
undertaking the operation of the spa under ExclusivelySpa with a Revenue Split
arrangement.
Either way, we will aim for consistently high standards of customer experience, in order for
your spa to qualify as strong contester for international spa awards. Our involvement leads
to strong revenue generation and growth, and high profitability.
Tailored Business Agreements
Depending on your needs and strategic goals, ExclusivelySpa offers different forms of
cooperation, which can be tailored to suit your purposes. If you operate under certain
guidelines and standards we will adapt our operational model to meet these standards or
we will adapt the ExclusivelySpa standards to the requirements of your hotel & spa.
The following options are available:
1. Joint Venture
The terms of a JV agreement provide for the following:
 ExclusivelySpa is responsible for the day-to-day operation and management of the
Spa
 Marketing activities are a split responsibility, with ExclusivelySpa providing guidance,
consultancy and execution, and the Hotel facilitating and assisting in the
implementation of the marketing plan
 Revenue is split between ExclusivelySpa and the Hotel on an agreed basis
 Spa Manager and staff are employed (and paid) by ExclusivelySpa;
 Operational costs & expenses (with the exception of energy, water, repairs &
maintenance, cleaning and in some cases laundry) are the responsibility of
ExclusivelySpa
 FF&E, OS&E, linen and uniforms are subject to agreement.
2. Management of Operations as Management Consultants
The terms of a Management Agreement provide for the following:
 Negotiable management fee, as agreed by the two parties
 ExclusivelySpa is responsible for the day-to-day operation and management of the
Spa on behalf of the Hotel
 Spa Manager is employed (and paid) by ExclusivelySpa; All other costs and expenses
are the responsibility of the Hotel
 All revenue is for the account of the Hotel
 FF&E, OS&E, linen and uniforms are provided by the Hotel.
3. Management Advisory Services
The terms of a Management Advisory Services Agreement provide for the following:
 Negotiable management fee formula
 Spa Manager and staff are employed by the Hotel
 The Hotel is responsible for the day-to-day operations and ExclusivelySpa provides
guidance and support.
4. Spa Operational Support
Subject to a tailored agreement, ExclusivelySpa can provide on an ad-hoc basis the
following:
 Spa operational audits and reviews
 Action plans for the development and/or improvement of the spa performance and
standards
 Assistance with budgeting and forward planning
 Mystery guest program
 On-going HR support for staff & management recruitment;
 Training.
5. Wellness Retreat Organisation
We will assist in the creation of designated fitness areas that work as an integral part of the
spa services to offer a complete wellness concept inclusive of additional services such as
personal training, fitness assessments, nutritional consultation and outdoor sports activities.
We will then create wellness packages which are tailored made to each hotel depending on
the facilities, the relevant services, the seasonality, the location etc. These wellness
packages can be offered to tour operators, specialized wellness travel companies or to
individual guests. Examples of wellness packages that we can organize are:
 Weight loss programme
 Relax & Wellness Retreat
 Yoga Retreat
 Sport & Wellness programme
 Detox Retreat
 Family Activities programme
 Fitness Energiser programme
Our Management & Operation services
Depending on the option selected, ExclusivelySpa can offer the following services at
different levels of involvement:
 Recruiting, directing and monitoring of the Spa Manager
 Revenue management
 Business planning
 On-going review of operating procedures and policies
 Quality control of operations and services to maintain high standards
 On-going monitoring of guest satisfaction
 On-going menu and treatment development to respond to customer expectations and
industry trends
 Defining financial goals and creating operational budgets with regular reviews
 Budget control and cash management
 Daily, weekly and monthly management reports
 Monthly meetings with the Hotel to review financial performance
 Action plans and forward planning as required for the development and/or
improvement of the spa
 Marketing & PR planning and implementation
 Management team reviews, on-going management training, skills building and

Joint Venture The terms of a JV agreement provide for the following:  ExclusivelySpa is responsible for the day-to-day operation and management of the Spa  Marketing activities are a split responsibility, with ExclusivelySpa providing guidance, consultancy and execution, and the Hotel facilitating and assisting in the implementation of the marketing plan  Revenue is split between ExclusivelySpa and the Hotel on an agreed basis  Spa Manager and staff are employed (and paid) by ExclusivelySpa;  Operational costs & expenses (with the exception of energy, water, repairs & maintenance, cleaning and in some cases laundry) are the responsibility of ExclusivelySpa  FF&E, OS&E, linen and uniforms are subject to agreement. 2. Management of Operations as Management Consultants The terms of a Management Agreement provide for the following:  Negotiable management fee, as agreed by the two parties  ExclusivelySpa is responsible for the day-to-day operation and management of the Spa on behalf of the Hotel  Spa Manager is employed (and paid) by ExclusivelySpa; All other costs and expenses are the responsibility of the Hotel  All revenue is for the account of the Hotel  FF&E, OS&E, linen and uniforms are provided by the Hotel. 3. Management Advisory Services The terms of a Management Advisory Services Agreement provide for the following:  Negotiable management fee formula  Spa Manager and staff are employed by the Hotel  The Hotel is responsible for the day-to-day operations and ExclusivelySpa provides guidance and support.

Spa Operational Support Subject to a tailored agreement, ExclusivelySpa can provide on an ad-hoc basis the following:  Spa operational audits and reviews  Action plans for the development and/or improvement of the spa performance and standards  Assistance with budgeting and forward planning  Mystery guest program  On-going HR support for staff & management recruitment;  Training. 5. Wellness Retreat Organisation We will assist in the creation of designated fitness areas that work as an integral part of the spa services to offer a complete wellness concept inclusive of additional services such as personal training, fitness assessments, nutritional consultation and outdoor sports activities. We will then create wellness packages which are tailored made to each hotel depending on the facilities, the relevant services, the seasonality, the location etc. These wellness packages can be offered to tour operators, specialized wellness travel companies or to individual guests.
