Microsoft Office
1.1 Introduction:
Microsoft Office is an office suite of applications, servers, and services developed
by Microsoft. It was first announced by Bill Gates on 1 August 1988, at COMDEX in Las Vegas.
The first version of Office contained
 Microsoft Word,
 Microsoft Excel, and
 Microsoft PowerPoint.
Latest version include
 Microsoft Access
 Microsoft Excel
 Microsoft projector
 Microsoft One note
 Microsoft outlook
 Microsoft publisher
 Microsoft word
 Microsoft power point
 Microsoft one drive
1.2 Definition of Microsoft Office
 Microsoft Office is an integrated suite of applications software for Windows and
Macintosh computers. Office includes word processing, spreadsheet,presentation graphics and email
communication programs each program serve for different purpose.
 Microsoft office is developed by Microsoft collaboration. Each program serve as different purpose
and is compatible with other programs included in the package. The suit of program is compatible
with both windows and Macintosh operating system. Microsoft Office is the most common form of
software used in the western world.
1.2.1 Importance of Microsoft Office
 Microsoft Office can be used in any work environment, it’s user friendly and not as
complicated as some may think.
 Microsoft Office is affordable, very easy to use, and comes with online support.
 Microsoft Office is the world’s best and famous work program for studying, personal use,
and office work.
 It reduced the time consumption. It has brought the creativity in the employees work.
 With the help of Microsoft office you can store files in your Dropbox directly from the web or
on your mobile.
 With Microsoft office mobile apps, you can now edit, access and save directly to your
Dropbox out.

In this assignment I am going discussed two office products that is
MS word and MS power point.
Microsoft word
2.1 Introduction:
Microsoft word (simply referred to as word) is a word processing application program especially
designed for performing various task such as typing, editing, and printing.
On September 29, 1983 the first version of Microsoft word came into market. Its original name is
multi-tool-word. Several other version followed, include word 95,97, 2000,XP,2003 and
2007,2010 and latest is Office 365.
2.2 Definition of Microsoft Word:
Microsoft Word or MS-WORD (often called Word) is a graphical word processing program that
users can type with. It is made by the computer company Microsoft. Microsoft Word is the word
processing component of the Microsoft Office Suite. It is used primarily to enter, edit, format,
save, retrieve and print documents on paper or saved as PDF files.
Why we use MS word for educational purpose?
1. The new study, from RTI International‘s Center for Evaluation & Study of Educational Equity,
shows evidence that learners’ use of Microsoft Learning Tools improves reading
comprehension by 10%
2. Empower educators to unlock creativity, promote teamwork, provide a simple and safe
experience.
3. An affordable and accessible learning platform.
2.3 Uses of Microsoft Word for learning purpose:
1. Saves time
Microsoft Word helps teachers use preparation time more efficiently by letting them modify
materials instead of creating new ones. Writers can also make corrections to Microsoft word
documents more quickly than they could on a typewriter or by hand.
2. Enhances document appearance
Materials created with Microsoft word look more polished and professional than handwritten or
typed materials do. It is not surprising that students seem to like the improved appearance that
Microsoft word gives to their work (Harris, 1985). This is especially possible with the many
templates that are part of the Microsoft word.
3. Allows sharing of documents

Microsoft Word allows materials to be shared easily among writers. Teachers can exchange
lesson plans, worksheets, or other materials on disk and modify them to fit their needs. Students
can also share ideas and products among themselves.
4. Allows collaboration of documents
Especially since the release of Google Docs, teachers and students can now create, edit, and
share documents synchronously.
5. Availability
One of the advantages of using Microsoft Word is that it is available practically everywhere.
Word comes standard on many PCs. You can typically find it on your work computer, computers
at school and your home PC. This makes it easy to save documents on a flash drive, take them
with you and work on them somewhere else. If you need to do some work, you can usually find
a computer with Word on it.
6. With Integration Office Programs
Another benefit of using Microsoft Word is that it easily integrates with other Microsoft Office
programs. For example, if you have a spreadsheet that you created on Microsoft Excel, you can
easily paste it into a Word document. You can work with programs such as PowerPoint as well.
This makes it possible to complete a wide array of computing tasks without having to spend
time converting documents or files so that they are usable on other programs.
7. Instant Help
While you are creating a document, Word also helps you make sure that it is the best it can be.
When you misspell a word, Microsoft Word will immediately underline it. You can then click on
the word and get suggested spellings. If you type a sentence that has poor grammar, Word will
underline the sentence for you. This allows you to change the document while you are still
working on it.
8. Document Flexibility
Word lets you create simple word-processing documents like letters and reports and make
them as basic as you can add color, use clip art, write in a variety of fonts and sizes, and use
tables, borders and bullet formatting. Word also offers templates to help you create.
2.4 Use of Microsoft Word for teaching purpose:
Microsoft word application can be used and utilized by teachers and students to faster the
process of receiving and giving information. And to achieve this purposes around the world
school and colleges. Microsoft Word is an important application that can improve and maximize
practical education practices in schools and college.
1. Lesson Planning

Through Microsoft word teachers can plan their lessons to teach the students. These lesson
plan can be weekly, monthly or semester wise or annually depending upon the curriculum used
in that class.
2. Reflective Diary
By using Microsoft word, teachers can make a reflective diary of the classroom
daily proceedings. It can cover students’ performance either curricular or extra-curricular,
attendance compilations, quizzes dates and other work.
3. Certificates
Microsoft word is helpful in making all kind of certificates.
4. Tests
One of the most important task Microsoft word can do for you is to write test and print it out.
In the same way, Microsoft word can also be used to compile results in collaboration with
Microsoft Excel.
5. Students Worksheets
By assigning different work to students will be handy but by the help of Microsoft
Word you can keep a record of worksheet of each student’s profile.
6. Diagrams and Charts
All kind of diagrams and charts including different tools to form custom data for your own
like can be made by Microsoft word.
7. Articles for the Newspaper
Any activity in the class or school can be shared to public by newspapers and these articles
can be written by using Microsoft Word.
Conclusion:
We can say that Microsoft Word is very helpful word processing software which can easily
be used as a learning medium for student. Students of one hand utilize MS word for the
assignments preparation while teachers can use it for report writings, paper setting and
result compilation.
Microsoft Power Point
3.1 Introduction
Microsoft PowerPoint, virtual presentation software developed by Robert Gaskins and Dennis
Austin for the American computer software company Forethought, Inc. The program, initially
named Presenter, was released for the Apple Macintosh in 1987. In July of that year, the
Microsoft Corporation, in its first significant software acquisition, purchased the rights to
PowerPoint for $14 million.
3.2 Definition of PowerPoint:

According to business dictionary:
Microsoft Office product that provides users with an interface to design multimedia slides to be
displayed on a projection system or personal computer. The software incorporates images,
sounds, videos, text, and charts to create an interactive presentation.
According to Techopedia:
Microsoft PowerPoint is a powerful presentation software .The program uses slides to convey
information rich in multimedia. The term slide refers to the old slide projector, which this
software effectively replaces.
Creating a successful presentation
There are diverse teaching and learning contexts in which PowerPoint can be used for
presentations but the key general requirements are summarized below.
1-Plan your presentation structure carefully and according to the general rules of presentations.
The key to a successful presentation/lecture is to have a clear structure and generally not more
than five key topic areas
2-Know the level at which the presentation is aimed and develop the content for this level.
3-Do not present too much textual material on each slide and avoid simply reading out what is
on the slide: provide mainly structural headings and subheadings around which the bulk of the
verbal presentation takes place so that students still require to be active and take notes of
detail, etc
4-Make sure that you speak at a normal pace and do not allow the use of PowerPoint to deliver
material too quickly: this is one of the most commonly encountered problems when converting
to using PowerPoint.
5-Utilise the visual and other media opportunities offered to enhance your presentation
whenever possible but be careful to avoid excessive use of color effects, animation effects,
transition effects, sound effects, etc.
Effective use of PowerPoint:
Slide presentation software such as PowerPoint has become an ingrained part of many
instructional settings, particularly in large classes and in courses more organized toward
information exchange than skill development. PowerPoint can be a highly effective tool to aid
learning, but if not used carefully, may instead disengage students and actually hinder learning.
Potential Benefits of PowerPoint:
 Increasing visual impact
 Improving audience focus
 Providing annotations and highlights
 Analyzing and synthesizing complexities
 Enriching curriculum with interdisciplinarity.
 Increasing spontaneity and interactivity

3.3 Use of PowerPoint in Classroom:
Today technology plays an important role in pedagogy. When teachers use it in their
classrooms, in fact, they want to attract the students' attention, so that they can enhance
effective ways of learning
 A PowerPoint can be used to summarized a lecture.
 Main points can be emphasized
 Key questions and issues can be displayed.
 Enhanced presentation by using graphics, animation, sound and interactivity.
 Presentations can be used to make lessons more organized and flexible.
 Modify lesson Plan and use them over and over again.
 Captures student attention.
3.3.1 Teacher use of PowerPoint:
 Appropriate use of PowerPoint can enhance the teaching and learning experience for both
staff and students
 PowerPoint allows teacher to be creative with activities such as
 Flash Cards
 Field trip slide show
 Group slide show
 Science presentation
 Student Portfolios
 It also allows teachers to Present information or instruction to the entire class.
 Create tutorials, reviews, or quizzes for individual students
 It provides encouragement and support to staff by facilitating the structuring of a
presentation in a professional manner.

3.3.2 Students of PowerPoint:
 To create assignment and presentation, enable them to display their work in professional
manner.
 The portability of the files, especially on compact disks (CDs) with their large capacity,
allows presentations to be given wherever the technology is available or distributed where
appropriate. Presentations can also be set up to run automatically if required e.g. as
demonstrations/instructions within a laboratory.

 Extra information can be „hidden‟ within files for answering predicted questions or for
providing feedback to students using the file in a distance-learning context. The use of
speakers notes as an automated feedback system was described by Mottley (2003) who
also describes other ways to use PowerPoint for development of self-study materials
 Editing of each PowerPoint file is very easy with minimal associated reprinting costs.
 The electronic file format allows distribution and modification such as editing the text, etc
before printing it out. Most Virtual Learning Environments (VLEs) are now capable of
including PowerPoint presentations if required.
 Autobiographical Stories – Students can create short autobiographical stories about
themselves. Scanned photos can be inserted or interest. Once the slides are complete, you
can put them together in a presentation to show an audience.
 Interactive Book Reports - Have students create a PowerPoint presentation about books
they read.
 Poetry Readings - Students can create slides exhibiting their personal poetry along with a
voice recording.
 Any report that you would like them to create and be interactive (state, book, project for
Science or Social Studies)
3.4 Risk factors associated with using the PowerPoint:
There are of course, several risk factors associated with using the technology that make some
reluctant to commit to its use, the main ones being:
• Equipment failure: refusal of any component of the system to work as expected. Bulb failure
in the projector is rare but possible. The solution here is to have alternative activities, etc
prepared.
• File corruption caused by magnetic or physical damage so that the presentation will not run.
Best countered by having alternative media files available. CDs are a fairly robust medium,
unaffected by magnetic fields, etc.
• Incompatible media: arriving and finding your files are incompatible with the system
available. Best solution is to be aware of the systems you plan to use or carry your own laptop.
• Lack of appropriate training in both the programme and the technology.

  • 2. 2 Microsoft Office 1.1 Introduction: Microsoft Office is an office suite of applications, servers, and services developed by Microsoft. It was first announced by Bill Gates on 1 August 1988, at COMDEX in Las Vegas. The first version of Office contained  Microsoft Word,  Microsoft Excel, and  Microsoft PowerPoint. Latest version include  Microsoft Access  Microsoft Excel  Microsoft projector  Microsoft One note  Microsoft outlook  Microsoft publisher  Microsoft word  Microsoft power point  Microsoft one drive 1.2 Definition of Microsoft Office  Microsoft Office is an integrated suite of applications software for Windows and Macintosh computers. Office includes word processing, spreadsheet,presentation graphics and email communication programs each program serve for different purpose.  Microsoft office is developed by Microsoft collaboration. Each program serve as different purpose and is compatible with other programs included in the package. The suit of program is compatible with both windows and Macintosh operating system. Microsoft Office is the most common form of software used in the western world. 1.2.1 Importance of Microsoft Office  Microsoft Office can be used in any work environment, it’s user friendly and not as complicated as some may think.  Microsoft Office is affordable, very easy to use, and comes with online support.  Microsoft Office is the world’s best and famous work program for studying, personal use, and office work.  It reduced the time consumption. It has brought the creativity in the employees work.  With the help of Microsoft office you can store files in your Dropbox directly from the web or on your mobile.  With Microsoft office mobile apps, you can now edit, access and save directly to your Dropbox out.

Microsoft word 2.1 Introduction: Microsoft word (simply referred to as word) is a word processing application program especially designed for performing various task such as typing, editing, and printing. On September 29, 1983 the first version of Microsoft word came into market. Its original name is multi-tool-word. Several other version followed, include word 95,97, 2000,XP,2003 and 2007,2010 and latest is Office 365. 2.2 Definition of Microsoft Word: Microsoft Word or MS-WORD (often called Word) is a graphical word processing program that users can type with. It is made by the computer company Microsoft. Microsoft Word is the word processing component of the Microsoft Office Suite. It is used primarily to enter, edit, format, save, retrieve and print documents on paper or saved as PDF files. Why we use MS word for educational purpose? 1. The new study, from RTI International‘s Center for Evaluation & Study of Educational Equity, shows evidence that learners’ use of Microsoft Learning Tools improves reading comprehension by 10% 2. Empower educators to unlock creativity, promote teamwork, provide a simple and safe experience. 3. An affordable and accessible learning platform. 2.3 Uses of Microsoft Word for learning purpose: 1. Saves time Microsoft Word helps teachers use preparation time more efficiently by letting them modify materials instead of creating new ones. Writers can also make corrections to Microsoft word documents more quickly than they could on a typewriter or by hand. 2. Enhances document appearance Materials created with Microsoft word look more polished and professional than handwritten or typed materials do. It is not surprising that students seem to like the improved appearance that Microsoft word gives to their work (Harris, 1985). This is especially possible with the many templates that are part of the Microsoft word. 3. Allows sharing of documents

Students can also share ideas and products among themselves. 4. Allows collaboration of documents Especially since the release of Google Docs, teachers and students can now create, edit, and share documents synchronously. 5. Availability One of the advantages of using Microsoft Word is that it is available practically everywhere. Word comes standard on many PCs. You can typically find it on your work computer, computers at school and your home PC. This makes it easy to save documents on a flash drive, take them with you and work on them somewhere else. If you need to do some work, you can usually find a computer with Word on it. 6. With Integration Office Programs Another benefit of using Microsoft Word is that it easily integrates with other Microsoft Office programs. For example, if you have a spreadsheet that you created on Microsoft Excel, you can easily paste it into a Word document. You can work with programs such as PowerPoint as well. This makes it possible to complete a wide array of computing tasks without having to spend time converting documents or files so that they are usable on other programs. 7. Instant Help While you are creating a document, Word also helps you make sure that it is the best it can be. When you misspell a word, Microsoft Word will immediately underline it. You can then click on the word and get suggested spellings. If you type a sentence that has poor grammar, Word will underline the sentence for you. This allows you to change the document while you are still working on it. 8. Document Flexibility Word lets you create simple word-processing documents like letters and reports and make them as basic as you can add color, use clip art, write in a variety of fonts and sizes, and use tables, borders and bullet formatting. Word also offers templates to help you create. 2.4 Use of Microsoft Word for teaching purpose: Microsoft word application can be used and utilized by teachers and students to faster the process of receiving and giving information. And to achieve this purposes around the world school and colleges. Microsoft Word is an important application that can improve and maximize practical education practices in schools and college. 1. Microsoft Power Point 3.1 Introduction Microsoft PowerPoint, virtual presentation software developed by Robert Gaskins and Dennis Austin for the American computer software company Forethought, Inc. The program, initially named Presenter, was released for the Apple Macintosh in 1987. The software incorporates images, sounds, videos, text, and charts to create an interactive presentation. According to Techopedia: Microsoft PowerPoint is a powerful presentation software .The program uses slides to convey information rich in multimedia. The term slide refers to the old slide projector, which this software effectively replaces. Creating a successful presentation There are diverse teaching and learning contexts in which PowerPoint can be used for presentations but the key general requirements are summarized below. 1-Plan your presentation structure carefully and according to the general rules of presentations. The key to a successful presentation/lecture is to have a clear structure and generally not more than five key topic areas 2-Know the level at which the presentation is aimed and develop the content for this level. 3-Do not present too much textual material on each slide and avoid simply reading out what is on the slide: provide mainly structural headings and subheadings around which the bulk of the verbal presentation takes place so that students still require to be active and take notes of detail, etc 4-Make sure that you speak at a normal pace and do not allow the use of PowerPoint to deliver material too quickly: this is one of the most commonly encountered problems when converting to using PowerPoint. 5-Utilise the visual and other media opportunities offered to enhance your presentation whenever possible but be careful to avoid excessive use of color effects, animation effects, transition effects, sound effects, etc. Effective use of PowerPoint: Slide presentation software such as PowerPoint has become an ingrained part of many instructional settings, particularly in large classes and in courses more organized toward information exchange than skill development. PowerPoint can be a highly effective tool to aid learning, but if not used carefully, may instead disengage students and actually hinder learning. When teachers use it in their classrooms, in fact, they want to attract the students' attention, so that they can enhance effective ways of learning  A PowerPoint can be used to summarized a lecture.  Main points can be emphasized  Key questions and issues can be displayed.  Enhanced presentation by using graphics, animation, sound and interactivity.  Presentations can be used to make lessons more organized and flexible.  Modify lesson Plan and use them over and over again.  Captures student attention. 3.3.1 Teacher use of PowerPoint:  Appropriate use of PowerPoint can enhance the teaching and learning experience for both staff and students  PowerPoint allows teacher to be creative with activities such as  Flash Cards  Field trip slide show  Group slide show  Science presentation  Student Portfolios  It also allows teachers to Present information or instruction to the entire class.  Create tutorials, reviews, or quizzes for individual students  It provides encouragement and support to staff by facilitating the structuring of a presentation in a professional manner.  Robert Gagne‟s Events of Instructional models used as an example. Enhancing Retention and Transfer. 3.3.2 Students of PowerPoint:  To create assignment and presentation, enable them to display their work in professional manner.  The portability of the files, especially on compact disks (CDs) with their large capacity, allows presentations to be given wherever the technology is available or distributed where appropriate. Presentations can also be set up to run automatically if required e.g. as demonstrations/instructions within a laboratory.
  • 8. 8  Extra information can be „hidden‟ within files for answering predicted questions or for providing feedback to students using the file in a distance-learning context. The use of speakers notes as an automated feedback system was described by Mottley (2003) who also describes other ways to use PowerPoint for development of self-study materials  Editing of each PowerPoint file is very easy with minimal associated reprinting costs.  The electronic file format allows distribution and modification such as editing the text, etc before printing it out. Most Virtual Learning Environments (VLEs) are now capable of including PowerPoint presentations if required.  Autobiographical Stories – Students can create short autobiographical stories about themselves. Scanned photos can be inserted or interest. Once the slides are complete, you can put them together in a presentation to show an audience.  Interactive Book Reports - Have students create a PowerPoint presentation about books they read.  Poetry Readings - Students can create slides exhibiting their personal poetry along with a voice recording.  Any report that you would like them to create and be interactive (state, book, project for Science or Social Studies) 3.4 Risk factors associated with using the PowerPoint: There are of course, several risk factors associated with using the technology that make some reluctant to commit to its use, the main ones being: • Equipment failure: refusal of any component of the system to work as expected. Bulb failure in the projector is rare but possible. The solution here is to have alternative activities, etc prepared. • File corruption caused by magnetic or physical damage so that the presentation will not run. Best countered by having alternative media files available. CDs are a fairly robust medium, unaffected by magnetic fields, etc. • Incompatible media: arriving and finding your files are incompatible with the system available. Best solution is to be aware of the systems you plan to use or carry your own laptop. • Lack of appropriate training in both the programme and the technology.
