Introducing the Organization
Social Marketing Company (SMC), one of the first initiators of Social Welfare and awareness
programs in Bangladesh holds the top most position as a “Not-for-Profit” organization. Since the
beginning SMC is dedicated to provide opportunities for better family health for the people of
our country by addressing issues of social priorities and awareness.
Social marketing simply stated is the application of commercial marketing tools and concepts to
influence behaviors that benefit individuals and communities. While the goal of commercial
marketing is primarily profit maximization, social marketing aims to change behavior for social
good.
SMC is a significant partner of the Government of Bangladesh in the national Health and Family
Planning Program working closely with both the Directorate General of Family Planning (DGFP)
and the Directorate General of Health Services (DGHS). Through marketing of products at
affordable prices and wide scale distribution, SMC now is a major player representing 30% of the
Contraceptive Prevalence Rate and 60% of ORS use nationally. The company now boasts to be an
indispensable partner in the national family planning and health programs.
Brief History of SMC
Social Marketing Company (SMC) is one of the largest and most successful private sector social
marketing organizations in family planning and child health globally. It started as the Family
Planning Social Marketing Project in 1974 under a tripartite agreement between the Government
of Bangladesh, Population Services International (PSI) - a US-based NGO, and USAID. In 1990,
SMC became a nonprofit Private Limited Company under the Companies’ Act of 1913.
SMC – Introducing the Departments
Social Marketing Company has departmentalized the operations for ease into few separate
sections and divisions. The functional divisions are –

 Internal Control & Compliance Division
 Finance, MIS & IT Division
 Procurement Division

Effective from January 2015, SMC corp. has recently introduced a new body of the entity namely
Social Marketing Company Enterprise Lt. (SMC-EL) to make the organization self-sustainable in
terms of profit making, productivity and the long-run.

Understanding the New Sustainable Model
Social Marketing Company has been working selflessly for the rural development and awareness
programs in Bangladesh with the help of few organizations like US-AID, UK-AID, GOB etc. SMC
was and still is a “not-for-profit” organization. But due to the current scenario and conditions of
the country along with the new regulatory formulations of the different legal advisories, SMC
looks forward to self-dependency instead of counting on the donations only. Keeping this vision
in mind, SMC created its new self-sustainable “for-profit” subsidiary – SMC Enterprise Ltd.
SMC-EL looks forward to make itself self-dependent by commodity sourcing through
manufacturing, imports, local procurements warehousing etc. and trading through sales and
marketing of self-financed profitable products to the consumers. The profit then goes to the SMC
Corp. and along with the donors’ help and supports Social Marketing Company keeps growing in
the long run.
Mission and Vision Statements of SMC
“To improve the quality of lives of vulnerable and less privileged population primarily in
public health through sustainable social marketing efforts in collaboration with national
and international governments and donors. SMC aims to become a more results oriented
organization with a more efficient management structure, more open communication
channels at all levels, sounder financial management and planning capabilities, and a
satisfying work environment for all its staff capabilities, and a satisfying work environment

programs globally using a model of cross subsidy generating resource from business
operations to support programs designed to enhance social good” – Vision

Introducing the MIS & IT Division
The organization started its operations incorporating the MIS & IT department in 1986 with few
IBM 6150 desktop computers having very few employees who were expert in the field. The
management and record keeping systems were paper-based, but the intervention of technology
kept it one step ahead to success. The system used Sales MIS and Payroll systems run by “dBase
3+” as Database management tool. The accounts department then was incorporated with the
Basic Language software as a management tool.
The first upgrade in the MIS & IT department came forward during the early stages of 1988. The
components were upgraded to Unix Platform having multi-user System. The database
management tool used for the record keeping was “File Pro 16+” and the hardware components
were NCR 36/600 mini computers having storage of 140 MB. Later on another internal 140 MB
HDD was added along with 325 MB external storage drive. The data backup media was Tape
Drives and 5.25” Floppy Disk Drive. This system was functional effectively till the year 2000 AD.
During 1998, the decentralization of Distribution Sales Management to all 11 Area Offices was
successfully completed and the system was developed using “Access 2”. During the transition
period the former system, which was facilitated by “File Pro 16+” was still running
simultaneously. During the year 2000 data migration from “Access 2 to “FoxPro”/ “Visual FoxPro”
was started and was completed during 2001. This upgrade was running smoothly and effectively
managing all the records and data of the company till the next upgrade in the year 2008.
During 2008, the evolutionary development of the Integrated Management Information Systems
(IMIS), which was developed using C# and SQL Server, was completed. This system is functional
and having regular integration of various important needs and requirements by the MIS & IT
department. Almost every employee in this organization has to have a basic knowledge for IMIS
to submit daily reports on their duties and jobs. The systems integrated are Sales, Procurement,
HR Systems and Inventory Systems (CWH).
Currently, the company conducts its operations in MIS & IT department considering it as the most
important and influential department within the operations. All the data including sales &
marketing, accounts, administrative, inventory records and more are stored and processed
through the MIS & IT department. Although the traditional paper-based record keeping systems
are also at force, but the operations mostly rely on the electronic record keeping. Top-notch
Enterprise Management Systems and Database Management Systems are at work to keep the
organization’s operations running flawlessly. Few of the last integrated systems along with the
under developing systems are:
 Factory Production Management Systems (as DSS; effective from 2014 December in the
Factory)
 Leave Management Systems (effective from March 2015)
 Vehicle Management Systems (Under Process form 2014)

During the beginning the operations of MIS & IT department were fenced within the Head Office
along with few other Area Offices only. But after 28 years of improvements and evolution of
technology MIS & IT department expanded its operations in all 12 area offices, Dhaka East, Dhaka
West, Mymansingh, Chittagong, Comilla, Sylhet, Khulna, Kushtia, Barisal, Bogra, Rajshahi and
Rangpur along with the Central Warehouse, Bhaluka. Only the Head Office and the CWH are
interconnected for the operations of the MIS & IT department.
Employees within the MIS & IT Department
During the 3 months of internship period, the major personnel within the MIS & IT Department
of SMC, to whom the experiences were more interactive are –
Mohammad Giash Uddin; Manager, MIS & IT.
Md. Mahfooz Alam; Senior MIS Executive.
Md. Abu Bakkar Khan Chowdhury; Senior Systems Executive.
Mr. Mofijul Haque Khan (Jitu); Senior Systems Executive.
Mr. Sumon Swarnoker; IT Officer, MIS & IT.
Mohammad Giash Uddin, The Manager of the MIS & IT Department, is one serious and
hardworking person who would do as much as possible within his capability to make the
operations of the MIS & IT department smoother and quicker as well as providing flawless
support of IT to the whole organization. As an in-charge of this department, his role in
accomplishing tougher and challenging targets are remarkable. Mr. Giash never likes to take any
excuses for any type of mishaps or doable – undone tasks. He rather keeps his head in the game
by continuously pushing his team forward with as much motivations as possible.
Md. Mahfooz Alam, the Senior MIS Executive on the other hand, is one very calm but “serious
about work” kind of person. His motto is to do as much as possible within the boundaries of the
organization and the department. His 28 years long experience in MIS & IT department of SMC
makes him the most knowledgeable person in the department. Usually he looks after managing
and allocating the IT resources to the whole organization and he does his job with a credence
expertise.

Md. Abu Bakkar Khan Chowdhury, the Senior Systems Executive is one calm headed thoughtful
person, who always thinks carefully about each and every situation to tackle. Using the calm brain
of his thoughtful mind, he always comes up with the best solution to every problem he faces. Mr.
Bakkar is an ideal person to be an apprentice to, for learning issues about network, domain
management and computer hardware.
Mr. Mofijul Haque Khan, the Senior Systems Executive can be called the “Data-Brain” of the
organization. He is the only person that manages and provides solutions to all the database
management issues and problems. One of the core components of SMC IT division – IMIS is
managed by Mr. Jitu and he is good enough for this task, whereas there are a very few qualified
for this.
Mr. Sumon Swarnoker, the IT Officer and the youngest employee within this department as well
as the whole Head Office, is another key personnel. He provides ad-hawk desk supports to all the
employees and also provides one stop support to solve any issues regarding the IT department
of any of the 13 area offices of SMC. Mr. Sumon is a calm and understanding person in nature
and his urge to learn as much as he can get can be seen in his eyes from the very first look at him.

The Internship –Starting of a Journey
After submission of the application for the internship, it was reviewed by the Managing Director
of SMC, Mr. Ashfaq Rahman and was forwarded to the Manager, MIS & IT, Md. Giash Uddin for
approval and finding a scope of work within the department. After few days of evaluation and
overviews of the application the approval for the internship was unfolded and I was given the
opportunity to have a life time experience of working as an intern for the MIS & IT department
of the country’s one of the most popular Social Welfare organization – SMC. My tasks were
assigned and was instructed for the essentials.
The Assignments
On the first day of the internship, the duties to be performed, the jobs to be done and the
conducts and orders to be followed were clearly and specifically debriefed and I was to start
immediately. The tasks were assigned to me by the Manager, MIS & IT; Mr. Giash and debriefed
by Mr. Mahfooz Alam, the Sr. MIS Executive. The motives and goals of those tasks were clear –
to learn about the corporate world and emphasize on the academic education achieved through
practical work. The major tasks and responsibilities were –
Being present on time (8.30 am) every day when the office operations starts. Punctuality
is considered to be the most important corporate task here in SMC.
Attending every tasks performed by Mr. Sumon Swarnoker (IT Officer) by being beside
him and learning the techniques and ways to perform those jobs. Among a huge variety
of tasks performed by Mr. Sumon, which I had to learn and observe, then later which I
had to perform myself, are -
Loading daily IMIS sales data sent by the area offices in to the IMIS server.
Providing ad-hawk support to the users of the IT resources within the Head Office
as well as the area offices if needed.
Preparing new computer systems as per the SMC MIS & IT department procedures
– domain configured users, restricting user credentials, system and application
software installation, and upgradation of the OS etc.

Assessing and troubleshooting the computer systems from SMC HIV-ESP
Integrated Clinics.
Cabling and networking one floor of the office building when there was a shift of
floors within the building.
Printer, scanner and copier troubleshooting when necessary.
Generating new ideas for more effective and efficient ways of works within the
work field.
Monthly sales data entry from area offices to the IMIS server at the end of every
month.
Providing support to the distant area offices from the Head Office using VPN or
remote desktop connections.
Setting up email addresses provided by the smc.org domain for the users.
Providing written assessments and requirements of the systems coming up for
troubleshooting.
Allotment of IP addresses and configurations of network setup on the new
structure of the organization.
Managing the priority of the supports to be provided by “importance” and by
“positions”.
Adding new employees’ IDs into the network printers and providing them access
into the printing operations.
Creating new log-on profile for the newly recruited employees for their personal
usages and official works.
Inputting the new employees’ ID Cards in to the attendance machine for electronic
management of their entry and exit.
Matching the Inputted ID Card numbers with the employees’ actual identities and
fingerprints for fingerprint recognition.
Complying with the organizational codes of conducts that are followed by the SMC
officials.
Trying to learn as much as possible from within the work areas and the regular works
arisen during the office hours.

Making a Difference
During the work period, there were as many days pressurizing, also there were days to relax
without pressures. The whole time my target was to learn as much as possible from the corporate
world I am working in and provide the best I can. I always tried to figure out the easiest, effective
and efficient ways to complete any task coming forth. Regardless of the “office-hours” I tried to
provide the best of my capabilities for the organization and also during the time I sorted some
ways which, in my sense could enhance the performances of the department as well as the
organization as a whole.
Leaving my own words for the changes, the personal opinions of the few personnel I worked
closely with and for, are really motivating for me and those words bear the power of pushing me
further off the limits.

Apart from these, whenever any new ideas came into my mind, I always rushed to the
supervisor’s desk and shared those and tried to prove my points. Some of my ideas were
accepted and some were not for valid reasons. I never hesitated to take any task under my
custody and always tried to complete those within the time provided. Keeping a smile on the face
every morning I started the office and till the end I was able to keep that smile on my face
unharmed and intact and kept on providing supports and learning newer things.
During the time period of the internship, my one and only intention was to provide the very best
of me to the organization and learn as much as possible from the superiors and experienced
colleagues. On the line of my work as an intern at SMC, there are few noticeable things that I
took part and performed in. I tried my best to provide the best for those events.

Notable lessons at SMC
An Intern in any organization means “learning” a lot for the student and preparing himself/herself
for the upcoming corporate life of his/her, even if s/he chooses the path of entrepreneurship.
Learning about the organizational behaviors, implying his/her academic skills into practical fields
and making the past experiences (if any) well welded before going into the practical field. As an
intern at SMC I have also gathered much experience and learnt lots of lessons out of the academic
learning accomplished. The most notable lessons include:
Implication of theoretical IT management knowledge into practical field.
Maintaining a good relationship with the colleagues, superiors and subordinates.
Maintaining the organizational codes of conducts as per the organizational policies.
Being a part of one of the recruitment processes of the organization, I have learnt
about the look outs from the employers’ point of view.
Providing ad-hawk services and supports to the users any time and maintaining the
priority based importance shifting while performing the jobs.
Learned to provide services to the organization and the department on my own as the
supporting officer had 2-3 emergency leaves during my work period at SMC.
There are various situations that demoralizes the working moral but, I have learnt to
overcome those situations and hold the smile on the face while working so that none
gets the chances to criticize my ability to provide services.
Only had theoretical knowledge on networking and cabling, but during my work
period I had the life-time experience to be able to provide network and cabling
solution to one whole floor of an organization.
Always had to maintain the time line and pace with the supporting officer I was
working with. This lesson was important for me, because the cooperation and keeping
the pace is always important for an organization as well as the employee.
Learnt few thing about submissions of “time-sheets” which are used for attendances
and payoffs and also making “bill statements” for working during off days.

Receiving incoming components and providing written assessments along with the
acknowledgements of the receipts are one of the important lessons as an intern in
the organization.
During the work period, I happened to have few days without any pressure of works,
I learnt how to utilize those free times for productive purposes for the organization as
well as learning newer things.
The most important thing learnt was, to be punctual on any task assigned to me and
also to be present at the work place in time.
Cooperation with the other departments and their employees and out of the box tasks
to be completed were one of the many important lessons to be learnt as these tasks
sometimes were of much expertise or needed much research for it to be completed.
Some Exquisite Situations
During the time length of my internship at SMC I happened to face some beautiful as well as
some tough situations which I had to deal with a presence of mind and instantly. These delicate
situations were also educational for me as I might happen to face more and more likely situations
on the future work life of mine. Some of these situations are –
The 2nd Floor Incident:
While working on the 2nd floor of the building for cabling and networking the floor, there were a
mess down there. The masons were working on breaking the false ceilings, carpenters were
washing the floor for painting and the engineers were busy with the electrical wiring there. It is
to mention that, cabling and networking a floor needs a calm and neat place to work at. At first
the supporting officer of mine and I tried our best to concentrate on our own work but it was
way too difficult for us to do our jobs at that situation as there were unsteady ceiling tops and
dust everywhere. I was about to lose my temper there, but I tried to hold on to the smile I possess

and waited for the supervisors’ orders to postpone the task to the next day and patience has got
its prizes which we were rewarded with.
Odd Situations at Supports:
I had to face more than one odd situations while providing supports to the users (employees).
Some of them wanted some privileges which were out of company policy while some others
wanted some extra modifications to their hardware setup which would cost a lot to the company
to provide for only one person alone. I had to slide myself out of those situations with some
satisfactory and logical answers to those employees. Hence there are many to whom I had to
provide support, but the situation sometimes called for losing temper as they seemed to show
themselves as the most knowledgeable persons within the organization. Instead of losing the
temper, I Held myself together and patiently waited for them to try and solve their own problems
which they didn’t succeed and after that with the “smile” I took over the problem and provided
the solution as early as possible. On the other hand, there are some personnel in the
organization, who treat the supporting personnel (IT Officers and others) as labors and lower
class staffs. All of these times I had to keep myself calm and hold the “smile” on the face and jot
myself out of there as early as possible.
Confusions on Addressing Few of the Superiors:
As my father, Md. Mahbubur Rahman was a former employee of SMC, I already knew many of
the employees there who happened to be my supervisors and colleagues during my internship
period. Within the first few weeks I really had a hard time figuring myself out about what to
address them if they were my supervisors, “Uncle” or “Sir”? Or if they were my colleagues,
“Uncle” or SMC-traditional “Bhai”? After few confusing weeks I decided to address whatever I
have always addressed to my known supervisors and the rest would be official.

Expectations vs. Reality - The Differences
While I was a student, learning about the businesses and corporate policies and conducts, the
expectation was to find the organizations by the “book-definitions”. But there are lots of
differences between theoretical knowledge and practical field. While book defines managing the
organizations by balancing effectiveness and efficiency, the organization believes in balancing
fiscal flexibility and effectiveness, efficiency comes later there in some situations. And the brains
of the organizations always make these management decisions to make their organization more
profitable and sustainable for the long run by focusing on the bigger tasks not the little ones.
On one side, academic knowledge supports the brain with some theoretical knowledge, may be
some practical lessons on the labs, the other side on the organization teaches to go deep into
any systems as an MIS educated student. While joining the internship, my expectation was to
learn managing the IT and IS sector of an organization. But the hard reality struck me with the
tasks of engineering on IT and a very few managerial lessons. I took this as granted and still
expecting to learn more about management of IT and IS on the near future line of my work.
As many of my elderlies scared me of internships being boring and being a labor literally, I was
expecting this 3 months’ period to be that way. But it was really my pleasure to be a part of SMC
and the tasks were not boring at all, rather they were exciting and fun doing. And the
organization, staffs, subordinates, coworkers and superiors have always treated me as an officer
of the organization which gave me a self-satisfaction with my position and my works. It might be
this organization only or to me only, but the concept about internships being boring and laboring
has changed within me and my ideas.
There are many situations and scenarios which are expected for some specific situations, but the
irony of life and fate never meets those expectations always. Sometimes those realities become
tougher than the expectations and sometimes they become more beautiful and fun than the
expected. SMC gave me a lot of new surprises and dimensions which I would love to retain for
the rest of my life.

Another look-out and Career Plans
The internship at Social Marketing Company was the first corporate organizational experience I
ever had and this would always capture a specific unforgettable position within my brain. After
completion of this internship of 3 months’ time period, the experience and the environment has
really influenced me to dream of an office to work at having the same corporate environment as
SMC and the field of work to be more managerial. The interactions in between the elderlies and
the same-agers within this organization was of so much harmony that, my wishes are to have the
similar environment on anywhere I work at.
There are many mistakes and stumbles I have suffered during this period of my internship. Some
of those mistakes were not noticeable while many were. I would be much more careful on
performing my duties and responsibilities if I ever get to redo my internship at SMC. Also, I would
pass much more time of the period learning the managerial stuffs by staying closer to the
superiors who are in charges of the managerial body of the organization. And least of all, I would
be more careful interacting with the coworkers here that I have hurt (if) through my work or
reactions and recover the gaps among us for more effective and nice corporate relationships.

Summarizing the Organizational Learnings
Technical Skills:
During the work period, learning the operations of the essential software run for the
organization, Integrated Management Information Systems (IMIS) was one of the
mandatory tasks to accomplish. Also learnt the operation of the “attendance machine” -
inputting new data, deleting old unused data etc.
Along with IMIS, learnt to organize and manage domain users, server configurations, IP
telephony etc. as well as the operations of few common software like MS Outlook, Adobe
Photoshop and Illustrator (basic operations) and more.
Analytical Skills:
Along with the technical skills, the basic analytical skills are also necessary to provide
assessment of any computer systems and overall analysis of components’ analysis, which
were few of my tasks during my internship period.
People Skills:
Interactions in between the employees and coworkers as well as the subordinates and
staffs are one of the most important skills to be learnt at any organization as an employee.
During this 3 months’ time period of my internship, I found the opportunities and used
them to reshape my interpersonal skills along with the conflict management issues.
Personal Development:
During these 3 months’ period, I had to be present at the office at 0830 hours every
weekdays’ morning and that made a very good habit for me to maintain. Also, I had to be
punctual and accurate in any time frame I was provided to complete a task, which made
me more specific about timing and punctuality.

Being a Critique
After completion of 3 months long internship, there are some factors I have
experienced and with the little knowledge of academic theories, I feel
changing some policies and systems might actually make the
organization more effective and efficient; where the balance of these two
would lead to organizational profitability and success.
The procurement process of the organization is one of the longest processes here, which
makes the procuring of necessary and emergency products a longer task to accomplish.
Decentralizing the procurement division and authorizing the procuring power to every
department head would make it more effective and easy.
MIS & IT department holds the major functionality within the organization but it has fewer
or reserved facilities in terms of spaces for the department, arrangements of the staff-
desk placements and number of expert officials to manage and operate. Enlarging the
space facilities of the MIS & IT department and making the MIS & IT department
independently operational would greatly enhance the efficiency and effectiveness of the
department as the MIS & IT department is not “One” separate entity within the
organization; rather it is merged with the Finance division. Also there is a very little space
for the IT operations to conduct the Hardware related troubleshooting efficiently.
Providing a larger space for these sort of task would help the technicians to perform their
jobs more freely.
Fewer or no IT technicians for laboring works as handling the hard-works (i.e. cleaning the
hardware to be used for works etc.) are not usually practiced within this organization.
Recruiting one or more staffs for these jobs would solve the problem.
Communication between other departments and MIS & IT department is not good
enough to keep the organizational operations up-to-date. The acknowledgements of
every IT related events should be immediately completed within the departments
through e-mails, phone notifications, memorandums or any other ways possible would

greatly enhance the credibility and interest of MIS & IT department in completing the
tasks within given time.
No classified vendor for on-spot computer hardware components support on credit
terms. Local “all from one” vendors of the hardware components; who are actually
stationary items’ sellers, are to some extent “expensive” which could be affecting for the
organization. The procurement division could consult the MIS & IT department for
suggestions for emergency IT hardware vendors which could be financially and
productively good for the department as well as the organization.
The entry and exit process for the regular employee are not flexible and often causes
queues during rush hours. Providing more than one attendance machine on every floor
would solve this problem on a long term basis.
Vague instructions to the assisting Area Offices about IT operations which often causes
damages to the systems as well as the works. Providing a clear and strict instruction
manual with approval from the supervisors and decision makers and training those
employees over handling the IT related issues would make this situation resolve in no
time.
No proper access into few of the materials of IT resources to perform troubleshoots and
supports singlehandedly which sometimes delays the important tasks and hampers the
work of the organization as a whole. Training and providing these credentials to the
supporting officer would make this process more accurate and quicker.
The organization believes in providing authentic software products. But there are few
cases where providing authentic software products become difficult and expensive. Going
off the book and supporting the users with the trial versions could be one way to solve
this problem.
More open ended cooperation from the superiors, subordinates and colleagues are
expected. Few of the employees must learn to treat the supporting officer accordingly
and support his/her activities of providing services to the users as well as the organization.
A very little scope for expanding knowledge on different disciplines as the corporate
structure stands very strict. Coming out of the box for sharing and knowing more of the

knowledge gathered at a personal level of relationships would make the interpersonal
relationships more strong as well as it would expand the knowledge to higher extent.
The organization does not provide the users with the newest IT platforms and
technological features competing with the modern organizational pace (POP3-IMAP)
regarding the reasons of users’ needs and requirements. But according to many critiques,
the up to date technological features would often reduce the number of complaints which
would only take the reconfiguration of the servers.
All these assessments and critiques are solely based on my personal opinions from observing the
systems and regulations of the organization depending on the academic knowledge learnt at the
institutional level. I hope these critiques of my assessments would be takes as my urge for SMC
to grow higher as possible.
Few Words for Concluding
To conclude, I must say that, it was an experience of lifetime for me to be a part of Social
Marketing Company even for only three months’ period, and even as an intern; not a full time
employee. Meeting various people, maintaining corporate relationships along with interpersonal
ones, learning newer and exciting things every day, abiding by the organizational codes,
managing conflicts in-between the employees and many more things, which were learnt during
the short but most important period of time of my life would always be framed in my brain and
heart for the rest of my life. The internship at SMC taught me the most important things for me
to head to my future organizational and corporate life.

Page | 1 Introducing the Organization Social Marketing Company (SMC), one of the first initiators of Social Welfare and awareness programs in Bangladesh holds the top most position as a “Not-for-Profit” organization. Since the beginning SMC is dedicated to provide opportunities for better family health for the people of our country by addressing issues of social priorities and awareness. Social marketing simply stated is the application of commercial marketing tools and concepts to influence behaviors that benefit individuals and communities. While the goal of commercial marketing is primarily profit maximization, social marketing aims to change behavior for social good. SMC is a significant partner of the Government of Bangladesh in the national Health and Family Planning Program working closely with both the Directorate General of Family Planning (DGFP) and the Directorate General of Health Services (DGHS). Through marketing of products at affordable prices and wide scale distribution, SMC now is a major player representing 30% of the Contraceptive Prevalence Rate and 60% of ORS use nationally. The company now boasts to be an indispensable partner in the national family planning and health programs. Brief History of SMC Social Marketing Company (SMC) is one of the largest and most successful private sector social marketing organizations in family planning and child health globally. It started as the Family Planning Social Marketing Project in 1974 under a tripartite agreement between the Government of Bangladesh, Population Services International (PSI) - a US-based NGO, and USAID. In 1990, SMC became a nonprofit Private Limited Company under the Companies’ Act of 1913. SMC – Introducing the Departments Social Marketing Company has departmentalized the operations for ease into few separate sections and divisions. The functional divisions are –  Human Resources & Administrative Services Division  Internal Control & Compliance Division  Finance, MIS & IT Division  Procurement Division
  • 2. Page | 2 Effective from January 2015, SMC corp. has recently introduced a new body of the entity namely Social Marketing Company Enterprise Lt. Page | 3 Understanding the New Sustainable Model Social Marketing Company has been working selflessly for the rural development and awareness programs in Bangladesh with the help of few organizations like US-AID, UK-AID, GOB etc. SMC was and still is a “not-for-profit” organization. But due to the current scenario and conditions of the country along with the new regulatory formulations of the different legal advisories, SMC looks forward to self-dependency instead of counting on the donations only. Keeping this vision in mind, SMC created its new self-sustainable “for-profit” subsidiary – SMC Enterprise Ltd. SMC-EL looks forward to make itself self-dependent by commodity sourcing through manufacturing, imports, local procurements warehousing etc. and trading through sales and marketing of self-financed profitable products to the consumers. The profit then goes to the SMC Corp. and along with the donors’ help and supports Social Marketing Company keeps growing in the long run. Mission and Vision Statements of SMC “To improve the quality of lives of vulnerable and less privileged population primarily in public health through sustainable social marketing efforts in collaboration with national and international governments and donors. SMC aims to become a more results oriented organization with a more efficient management structure, more open communication channels at all levels, sounder financial management and planning capabilities, and a satisfying work environment for all its staff capabilities, and a satisfying work environment for all its staff” – The Mission Statement “Our Vision is to be the leader among the best practicing sustainable social marketing programs globally using a model of cross subsidy generating resource from business operations to support programs designed to enhance social good” – Vision

Page | 4 Introducing the MIS & IT Division The organization started its operations incorporating the MIS & IT department in 1986 with few IBM 6150 desktop computers having very few employees who were expert in the field. The management and record keeping systems were paper-based, but the intervention of technology kept it one step ahead to success. The system used Sales MIS and Payroll systems run by “dBase 3+” as Database management tool. The accounts department then was incorporated with the Basic Language software as a management tool. The first upgrade in the MIS & IT department came forward during the early stages of 1988. The components were upgraded to Unix Platform having multi-user System. The database management tool used for the record keeping was “File Pro 16+” and the hardware components were NCR 36/600 mini computers having storage of 140 MB. Later on another internal 140 MB HDD was added along with 325 MB external storage drive. The data backup media was Tape Drives and 5.25” Floppy Disk Drive. This system was functional effectively till the year 2000 AD. During 1998, the decentralization of Distribution Sales Management to all 11 Area Offices was successfully completed and the system was developed using “Access 2”. During the transition period the former system, which was facilitated by “File Pro 16+” was still running simultaneously. During the year 2000 data migration from “Access 2 to “FoxPro”/ “Visual FoxPro” was started and was completed during 2001. This upgrade was running smoothly and effectively managing all the records and data of the company till the next upgrade in the year 2008. During 2008, the evolutionary development of the Integrated Management Information Systems (IMIS), which was developed using C# and SQL Server, was completed. This system is functional and having regular integration of various important needs and requirements by the MIS & IT department. Almost every employee in this organization has to have a basic knowledge for IMIS to submit daily reports on their duties and jobs. The systems integrated are Sales, Procurement, HR Systems and Inventory Systems (CWH). Currently, the company conducts its operations in MIS & IT department considering it as the most important and influential department within the operations. All the data including sales & marketing, accounts, administrative, inventory records and more are stored and processed through the MIS & IT department. Although the traditional paper-based record keeping systems are also at force, but the operations mostly rely on the electronic record keeping. Top-notch Enterprise Management Systems and Database Management Systems are at work to keep the organization’s operations running flawlessly. Few of the last integrated systems along with the under developing systems are:  Factory Production Management Systems (as DSS; effective from 2014 December in the Factory)  Leave Management Systems (effective from March 2015)  Vehicle Management Systems (Under Process form 2014)
  • 5. Page | 5 During the beginning the operations of MIS & IT department were fenced within the Head Office along with few other Area Offices only. But after 28 years of improvements and evolution of technology MIS & IT department expanded its operations in all 12 area offices, Dhaka East, Dhaka West, Mymansingh, Chittagong, Comilla, Sylhet, Khulna, Kushtia, Barisal, Bogra, Rajshahi and Rangpur along with the Central Warehouse, Bhaluka. Only the Head Office and the CWH are interconnected for the operations of the MIS & IT department. Employees within the MIS & IT Department During the 3 months of internship period, the major personnel within the MIS & IT Department of SMC, to whom the experiences were more interactive are – Mohammad Giash Uddin; Manager, MIS & IT. Md. Mahfooz Alam; Senior MIS Executive. Md. Abu Bakkar Khan Chowdhury; Senior Systems Executive. Mr. Mofijul Haque Khan (Jitu); Senior Systems Executive. Mr. Sumon Swarnoker; IT Officer, MIS & IT. Mohammad Giash Uddin, The Manager of the MIS & IT Department, is one serious and hardworking person who would do as much as possible within his capability to make the operations of the MIS & IT department smoother and quicker as well as providing flawless support of IT to the whole organization. As an in-charge of this department, his role in accomplishing tougher and challenging targets are remarkable. Mr. Giash never likes to take any excuses for any type of mishaps or doable – undone tasks. He rather keeps his head in the game by continuously pushing his team forward with as much motivations as possible. Md. Mahfooz Alam, the Senior MIS Executive on the other hand, is one very calm but “serious about work” kind of person. His motto is to do as much as possible within the boundaries of the organization and the department. His 28 years long experience in MIS & IT department of SMC makes him the most knowledgeable person in the department. Usually he looks after managing and allocating the IT resources to the whole organization and he does his job with a credence expertise.
  • 6. Page | 6 Md. Abu Bakkar Khan Chowdhury, the Senior Systems Executive is one calm headed thoughtful person, who always thinks carefully about each and every situation to tackle. Using the calm brain of his thoughtful mind, he always comes up with the best solution to every problem he faces. Mr. Bakkar is an ideal person to be an apprentice to, for learning issues about network, domain management and computer hardware. Mr. Mofijul Haque Khan, the Senior Systems Executive can be called the “Data-Brain” of the organization. He is the only person that manages and provides solutions to all the database management issues and problems. One of the core components of SMC IT division – IMIS is managed by Mr. Jitu and he is good enough for this task, whereas there are a very few qualified for this. Mr. Sumon Swarnoker, the IT Officer and the youngest employee within this department as well as the whole Head Office, is another key personnel. He provides ad-hawk desk supports to all the employees and also provides one stop support to solve any issues regarding the IT department of any of the 13 area offices of SMC. Mr. Sumon is a calm and understanding person in nature and his urge to learn as much as he can get can be seen in his eyes from the very first look at him.

Page | 7 The Internship –Starting of a Journey After submission of the application for the internship, it was reviewed by the Managing Director of SMC, Mr. Ashfaq Rahman and was forwarded to the Manager, MIS & IT, Md. Giash Uddin for approval and finding a scope of work within the department. After few days of evaluation and overviews of the application the approval for the internship was unfolded and I was given the opportunity to have a life time experience of working as an intern for the MIS & IT department of the country’s one of the most popular Social Welfare organization – SMC. My tasks were assigned and was instructed for the essentials. The Assignments On the first day of the internship, the duties to be performed, the jobs to be done and the conducts and orders to be followed were clearly and specifically debriefed and I was to start immediately. The tasks were assigned to me by the Manager, MIS & IT; Mr. Giash and debriefed by Mr. Mahfooz Alam, the Sr. MIS Executive. The motives and goals of those tasks were clear – to learn about the corporate world and emphasize on the academic education achieved through practical work. The major tasks and responsibilities were – Being present on time (8.30 am) every day when the office operations starts. Punctuality is considered to be the most important corporate task here in SMC. Attending every tasks performed by Mr. Sumon Swarnoker (IT Officer) by being beside him and learning the techniques and ways to perform those jobs. Among a huge variety of tasks performed by Mr. Sumon, which I had to learn and observe, then later which I had to perform myself, are - Loading daily IMIS sales data sent by the area offices in to the IMIS server. Providing ad-hawk support to the users of the IT resources within the Head Office as well as the area offices if needed. Preparing new computer systems as per the SMC MIS & IT department procedures – domain configured users, restricting user credentials, system and application software installation, and upgradation of the OS etc.
  • 8. Page | 8 Assessing and troubleshooting the computer systems from SMC HIV-ESP Integrated Clinics. Cabling and networking one floor of the office building when there was a shift of floors within the building. Printer, scanner and copier troubleshooting when necessary. Generating new ideas for more effective and efficient ways of works within the work field. Monthly sales data entry from area offices to the IMIS server at the end of every month. Providing support to the distant area offices from the Head Office using VPN or remote desktop connections. Setting up email addresses provided by the smc.org domain for the users. Providing written assessments and requirements of the systems coming up for troubleshooting. Allotment of IP addresses and configurations of network setup on the new structure of the organization. Managing the priority of the supports to be provided by “importance” and by “positions”. Adding new employees’ IDs into the network printers and providing them access into the printing operations. Creating new log-on profile for the newly recruited employees for their personal usages and official works. Inputting the new employees’ ID Cards in to the attendance machine for electronic management of their entry and exit. Matching the Inputted ID Card numbers with the employees’ actual identities and fingerprints for fingerprint recognition. Complying with the organizational codes of conducts that are followed by the SMC officials. Trying to learn as much as possible from within the work areas and the regular works arisen during the office hours.
  • 9. Page | 9 Making a Difference During the work period, there were as many days pressurizing, also there were days to relax without pressures. The whole time my target was to learn as much as possible from the corporate world I am working in and provide the best I can. I always tried to figure out the easiest, effective and efficient ways to complete any task coming forth. Regardless of the “office-hours” I tried to provide the best of my capabilities for the organization and also during the time I sorted some ways which, in my sense could enhance the performances of the department as well as the organization as a whole. Leaving my own words for the changes, the personal opinions of the few personnel I worked closely with and for, are really motivating for me and those words bear the power of pushing me further off the limits. “You did well during the internship. Some of my ideas were accepted and some were not for valid reasons. I never hesitated to take any task under my custody and always tried to complete those within the time provided. Keeping a smile on the face every morning I started the office and till the end I was able to keep that smile on my face unharmed and intact and kept on providing supports and learning newer things. During the time period of the internship, my one and only intention was to provide the very best of me to the organization and learn as much as possible from the superiors and experienced colleagues. On the line of my work as an intern at SMC, there are few noticeable things that I took part and performed in. I tried my best to provide the best for those events.

Page | 11 Notable lessons at SMC An Intern in any organization means “learning” a lot for the student and preparing himself/herself for the upcoming corporate life of his/her, even if s/he chooses the path of entrepreneurship. Learning about the organizational behaviors, implying his/her academic skills into practical fields and making the past experiences (if any) well welded before going into the practical field. As an intern at SMC I have also gathered much experience and learnt lots of lessons out of the academic learning accomplished. The most notable lessons include: Implication of theoretical IT management knowledge into practical field. Maintaining a good relationship with the colleagues, superiors and subordinates. Maintaining the organizational codes of conducts as per the organizational policies. Being a part of one of the recruitment processes of the organization, I have learnt about the look outs from the employers’ point of view. Providing ad-hawk services and supports to the users any time and maintaining the priority based importance shifting while performing the jobs. Learned to provide services to the organization and the department on my own as the supporting officer had 2-3 emergency leaves during my work period at SMC. There are various situations that demoralizes the working moral but, I have learnt to overcome those situations and hold the smile on the face while working so that none gets the chances to criticize my ability to provide services. Only had theoretical knowledge on networking and cabling, but during my work period I had the life-time experience to be able to provide network and cabling solution to one whole floor of an organization. Always had to maintain the time line and pace with the supporting officer I was working with. This lesson was important for me, because the cooperation and keeping the pace is always important for an organization as well as the employee. Learnt few thing about submissions of “time-sheets” which are used for attendances and payoffs and also making “bill statements” for working during off days.
  • 12. Page | 12 Receiving incoming components and providing written assessments along with the acknowledgements of the receipts are one of the important lessons as an intern in the organization. During the work period, I happened to have few days without any pressure of works, I learnt how to utilize those free times for productive purposes for the organization as well as learning newer things. The most important thing learnt was, to be punctual on any task assigned to me and also to be present at the work place in time. Cooperation with the other departments and their employees and out of the box tasks to be completed were one of the many important lessons to be learnt as these tasks sometimes were of much expertise or needed much research for it to be completed. Some Exquisite Situations During the time length of my internship at SMC I happened to face some beautiful as well as some tough situations which I had to deal with a presence of mind and instantly. These delicate situations were also educational for me as I might happen to face more and more likely situations on the future work life of mine. Some of these situations are – The 2nd Floor Incident: While working on the 2nd floor of the building for cabling and networking the floor, there were a mess down there. The masons were working on breaking the false ceilings, carpenters were washing the floor for painting and the engineers were busy with the electrical wiring there. It is to mention that, cabling and networking a floor needs a calm and neat place to work at. At first the supporting officer of mine and I tried our best to concentrate on our own work but it was way too difficult for us to do our jobs at that situation as there were unsteady ceiling tops and dust everywhere. I was about to lose my temper there, but I tried to hold on to the smile I possess
  • 13. Page | 13 and waited for the supervisors’ orders to postpone the task to the next day and patience has got its prizes which we were rewarded with. Odd Situations at Supports: I had to face more than one odd situations while providing supports to the users (employees). Some of them wanted some privileges which were out of company policy while some others wanted some extra modifications to their hardware setup which would cost a lot to the company to provide for only one person alone. I had to slide myself out of those situations with some satisfactory and logical answers to those employees. Hence there are many to whom I had to provide support, but the situation sometimes called for losing temper as they seemed to show themselves as the most knowledgeable persons within the organization. Instead of losing the temper, I Held myself together and patiently waited for them to try and solve their own problems which they didn’t succeed and after that with the “smile” I took over the problem and provided the solution as early as possible. On the other hand, there are some personnel in the organization, who treat the supporting personnel (IT Officers and others) as labors and lower class staffs. All of these times I had to keep myself calm and hold the “smile” on the face and jot myself out of there as early as possible. Confusions on Addressing Few of the Superiors: As my father, Md. Mahbubur Rahman was a former employee of SMC, I already knew many of the employees there who happened to be my supervisors and colleagues during my internship period. Within the first few weeks I really had a hard time figuring myself out about what to address them if they were my supervisors, “Uncle” or “Sir”? Or if they were my colleagues, “Uncle” or SMC-traditional “Bhai”? After few confusing weeks I decided to address whatever I have always addressed to my known supervisors and the rest would be official.

Page | 14 Expectations vs. Reality - The Differences While I was a student, learning about the businesses and corporate policies and conducts, the expectation was to find the organizations by the “book-definitions”. But there are lots of differences between theoretical knowledge and practical field. While book defines managing the organizations by balancing effectiveness and efficiency, the organization believes in balancing fiscal flexibility and effectiveness, efficiency comes later there in some situations. And the brains of the organizations always make these management decisions to make their organization more profitable and sustainable for the long run by focusing on the bigger tasks not the little ones. On one side, academic knowledge supports the brain with some theoretical knowledge, may be some practical lessons on the labs, the other side on the organization teaches to go deep into any systems as an MIS educated student. While joining the internship, my expectation was to learn managing the IT and IS sector of an organization. But the hard reality struck me with the tasks of engineering on IT and a very few managerial lessons. I took this as granted and still expecting to learn more about management of IT and IS on the near future line of my work. As many of my elderlies scared me of internships being boring and being a labor literally, I was expecting this 3 months’ period to be that way. But it was really my pleasure to be a part of SMC and the tasks were not boring at all, rather they were exciting and fun doing. And the organization, staffs, subordinates, coworkers and superiors have always treated me as an officer of the organization which gave me a self-satisfaction with my position and my works. It might be this organization only or to me only, but the concept about internships being boring and laboring has changed within me and my ideas. There are many situations and scenarios which are expected for some specific situations, but the irony of life and fate never meets those expectations always. Sometimes those realities become tougher than the expectations and sometimes they become more beautiful and fun than the expected. SMC gave me a lot of new surprises and dimensions which I would love to retain for the rest of my life.

Page | 15 Another look-out and Career Plans The internship at Social Marketing Company was the first corporate organizational experience I ever had and this would always capture a specific unforgettable position within my brain. After completion of this internship of 3 months’ time period, the experience and the environment has really influenced me to dream of an office to work at having the same corporate environment as SMC and the field of work to be more managerial. The interactions in between the elderlies and the same-agers within this organization was of so much harmony that, my wishes are to have the similar environment on anywhere I work at. There are many mistakes and stumbles I have suffered during this period of my internship. Some of those mistakes were not noticeable while many were. I would be much more careful on performing my duties and responsibilities if I ever get to redo my internship at SMC. Also, I would pass much more time of the period learning the managerial stuffs by staying closer to the superiors who are in charges of the managerial body of the organization. And least of all, I would be more careful interacting with the coworkers here that I have hurt (if) through my work or reactions and recover the gaps among us for more effective and nice corporate relationships.

Page | 16 Summarizing the Organizational Learnings Technical Skills: During the work period, learning the operations of the essential software run for the organization, Integrated Management Information Systems (IMIS) was one of the mandatory tasks to accomplish. Also learnt the operation of the “attendance machine” - inputting new data, deleting old unused data etc. Along with IMIS, learnt to organize and manage domain users, server configurations, IP telephony etc. as well as the operations of few common software like MS Outlook, Adobe Photoshop and Illustrator (basic operations) and more. Analytical Skills: Along with the technical skills, the basic analytical skills are also necessary to provide assessment of any computer systems and overall analysis of components’ analysis, which were few of my tasks during my internship period. People Skills: Interactions in between the employees and coworkers as well as the subordinates and staffs are one of the most important skills to be learnt at any organization as an employee. During this 3 months’ time period of my internship, I found the opportunities and used them to reshape my interpersonal skills along with the conflict management issues. Personal Development: During these 3 months’ period, I had to be present at the office at 0830 hours every weekdays’ morning and that made a very good habit for me to maintain. Also, I had to be punctual and accurate in any time frame I was provided to complete a task, which made me more specific about timing and punctuality.

Page | 17 Being a Critique After completion of 3 months long internship, there are some factors I have experienced and with the little knowledge of academic theories, I feel changing some policies and systems might actually make the organization more effective and efficient; where the balance of these two would lead to organizational profitability and success. The procurement process of the organization is one of the longest processes here, which makes the procuring of necessary and emergency products a longer task to accomplish. Decentralizing the procurement division and authorizing the procuring power to every department head would make it more effective and easy. MIS & IT department holds the major functionality within the organization but it has fewer or reserved facilities in terms of spaces for the department, arrangements of the staff- desk placements and number of expert officials to manage and operate. Enlarging the space facilities of the MIS & IT department and making the MIS & IT department independently operational would greatly enhance the efficiency and effectiveness of the department as the MIS & IT department is not “One” separate entity within the organization; rather it is merged with the Finance division. Also there is a very little space for the IT operations to conduct the Hardware related troubleshooting efficiently. Providing a larger space for these sort of task would help the technicians to perform their jobs more freely. Fewer or no IT technicians for laboring works as handling the hard-works (i.e. cleaning the hardware to be used for works etc.) are not usually practiced within this organization. Recruiting one or more staffs for these jobs would solve the problem. Communication between other departments and MIS & IT department is not good enough to keep the organizational operations up-to-date. The acknowledgements of every IT related events should be immediately completed within the departments through e-mails, phone notifications, memorandums or any other ways possible would
  • 18. Page | 18 greatly enhance the credibility and interest of MIS & IT department in completing the tasks within given time. No classified vendor for on-spot computer hardware components support on credit terms. Local “all from one” vendors of the hardware components; who are actually stationary items’ sellers, are to some extent “expensive” which could be affecting for the organization. The procurement division could consult the MIS & IT department for suggestions for emergency IT hardware vendors which could be financially and productively good for the department as well as the organization. The entry and exit process for the regular employee are not flexible and often causes queues during rush hours. Providing more than one attendance machine on every floor would solve this problem on a long term basis. Vague instructions to the assisting Area Offices about IT operations which often causes damages to the systems as well as the works. Providing a clear and strict instruction manual with approval from the supervisors and decision makers and training those employees over handling the IT related issues would make this situation resolve in no time. No proper access into few of the materials of IT resources to perform troubleshoots and supports singlehandedly which sometimes delays the important tasks and hampers the work of the organization as a whole. Training and providing these credentials to the supporting officer would make this process more accurate and quicker. The organization believes in providing authentic software products. But there are few cases where providing authentic software products become difficult and expensive. Going off the book and supporting the users with the trial versions could be one way to solve this problem. More open ended cooperation from the superiors, subordinates and colleagues are expected. Few of the employees must learn to treat the supporting officer accordingly and support his/her activities of providing services to the users as well as the organization. A very little scope for expanding knowledge on different disciplines as the corporate structure stands very strict. Coming out of the box for sharing and knowing more of the
  • 19. Page | 19 knowledge gathered at a personal level of relationships would make the interpersonal relationships more strong as well as it would expand the knowledge to higher extent. The organization does not provide the users with the newest IT platforms and technological features competing with the modern organizational pace (POP3-IMAP) regarding the reasons of users’ needs and requirements. But according to many critiques, the up to date technological features would often reduce the number of complaints which would only take the reconfiguration of the servers. All these assessments and critiques are solely based on my personal opinions from observing the systems and regulations of the organization depending on the academic knowledge learnt at the institutional level. I hope these critiques of my assessments would be takes as my urge for SMC to grow higher as possible. Few Words for Concluding To conclude, I must say that, it was an experience of lifetime for me to be a part of Social Marketing Company even for only three months’ period, and even as an intern; not a full time employee. Meeting various people, maintaining corporate relationships along with interpersonal ones, learning newer and exciting things every day, abiding by the organizational codes, managing conflicts in-between the employees and many more things, which were learnt during the short but most important period of time of my life would always be framed in my brain and heart for the rest of my life. The internship at SMC taught me the most important things for me to head to my future organizational and corporate life.
