Below are the notes from todays meeting.
By Wednesday everyone should attempt to enter the information
into MS Project, expand on any points that you feel are
necessary and we will as a team decide how to move
forward. Our next meeting is scheduled
for Wednesday at 6:30pm. I have submitted the assignment
for last week along with the SOP. Let me know if you need
anything.

Statement of Work—Project Description and
Project Product
The Cup will be a coffee shop that will be in a major city
or town that will allow community members and people that are
less fortunate can come in and have a coffee or something to
eat. The way we will accomplish the project is by using many
resources like real estate agent, are construction team, and other
necessary steps that we need to take to get the project
underway.
Too start the building process for the community we first
need to figure out where we want to have the company built in
so the team will have to discuss where they want to have it in
and why we would want it in that city. Also we need to make
sure that the building we choose is the right dimensions. Need
to make sure that we find something that will fit our budget.
When we find the right city to build the coffee shop we will
need to make sure that the area will get the right amount of
attention to the company and build a foundation. So when
speaking to the real estate agent we need to make sure we tell
her what specific details and what we need to have within inside
the building.
Once the land is picked we need to make sure we put down
a deposit so when do not loose it and we can start building right
away. First when we start the building process we need to make
sure to get the necessary permits before building because we do
not want any issues while building. The building process should
start no later then January 24,2017 because we need to open the
coffee shop in a timely matter. We will start with the exterior of
the building process and complete that officially before starting
the inside. The outside building should be done no later then
April 17,2017. While doing the exterior we may have a few
workers inside too start working on the interior so we can have
business up and running by the middle of April. When that is all
complete we will have the construction team come in and install
and the gas lines and electrical lines, all the necessary
equipment to have the inside up and running. We want to make
sure that we are doing this in a timely manner because we do
not want to prolong the process of the building.
Once the company is open for business we need to make
sure that we have many things that promote are company so we
have the right people come in and see what the coffee shop is
like. We want to be welcoming and have the right attitudes so
they feel like they belong in there and want them to keep
coming back.
Project DeliverablesThe tangible outputs for Fill the cup could
be many different objectives to follow. You want to make sure
that we are starting the building process in a timely manner
because you want to be the best, and have your company open
for business so you can beat the other competition out there.
The services that we will be providing are for the less
unfortunate can come into the building be able to get warm and
have a nice cup of coffee with a lower price then most places
out there that charge an arm and leg for coffee. The first big-
picture item that I will have for the company “The Cup” would
be advertisement all over the city were me and my team will be
opening the company and that all are welcome for the grand
opening, and have different give away so people will come back
to your business.1. A building that is 6,000 to 8,000 square feet
to be able to seat enough people in the building2. Making sure
before the building is open that you have the air condition and
heat working so when its cold you have warmth and when its
hot you have cold air.3. Necessary supplies to ran a coffee shop
for example coffee pots, coffee filters, fridge’s, blenders,
everything that would make the business run smoothly.4. Also
you need furniture so customer can sit and feel welcomed into
the building, enough chairs and tables to fix at least 60 to 80
people at one time.5. Advertisement outside of the Coffee Shop
showing that we are opening for business and everyone is
welcome to come in and try are brand of coffee.6. Having
different Menus so the customer can look at it when they are
sitting at the table. Also behind the register have huge signs
showing what the customer can order the type of drink7. We
will also serve different types of pastries if anyone is feeling
hungry and want to have a snack.8. Employee’s have to be
respectful to ever customer that walks into the store even if the
employee is having a bad day.9. Give the customer what ever
they ask for because you want to make them happy and satisfied
with The Cup.10. Computer Center: customers are able to use
internet access that do not have the ability at home too.
Project Objectives
Total Cost & Time
The total annual cost of the ‘Fill the Cup’ project is estimated
to be $750k which includes the fixed costs like location,
building cost, inventory and variable costs like manpower,
marketing and branding costs etc. The project is estimated to be
completed in 12 months’ time duration.
Quality Objectives
The objective of this project is primarily to provide community
services through our cafés and we want to serve our customers
and community and pay back to them by collaborating with
community centers in United States. We plan to acquire a space
of approximately 6000 to 8000 square feet where we would
create a community center that serves coffee and food to people
too. We are targeting to help people who do not have anywhere
to go to, including youth; hence a lot of needy people would
find free meals at our café. We will impart training programs,
create jobs and provide basic necessities to help those in need.
Since we aim to make it a community driven project, we do
realize that ‘quality’ factor needs to be very high.
Our quality objective is to provide meals to at least 10,000
people on monthly basis by generating revenues of at least
$1000k annually which is 25% higher than our total estimated
cost. We also aim to create at least 100 jobs at our cafe that will
be open by the end of the year.
Our goals towards are objectives include:
· Meeting our set targets on time and in accurate manner so as
to meet our vision
· Making the best use of the resources we have without any
wastes. This includes our human resources as well as material
ones.
· Create jobs which provide employee fulfillment and
satisfaction so as to minimize the poverty impact and
unemployment from the society
· Train the staff and community so they can work towards our
objectives and being more community driven.
· Ensure it remains a CSR project without losing track
Project Assumptions
Following are some assumptions in our project:
· Everybody understands and relates to the cause of our project
like we do. This includes our customers, team, management and
community in general.
· Government and no external party would have any issues with
us for creating a profit plus community service business and
they have no objection to our profit plus community help mode
of operations.
· We have assumed that acquiring space will not be a hurdle so
we can expand our business and cafes as and when required.
· Customers would support us more than other competitor cafes
because we are aiding the needy and helpless so we can enjoy
an obvious competitive advantage.
· We will be able to break even in a year’s time duration and
meet all the costs incurred easily.
· Our marketing strategy will prove to be fruitful and will help
bring us business easily.
· No other business like this would open up during this
timeframe to compete with us so we will have a clear monopoly.
· No natural calamity will affect our business during this time
like flood, tsunami, earthquake etc.
· Political and economic conditions will not have any impact on
our business for example an economic recession cannot come.
· We will have enough profits by the end of first year to support
our community service cause
· Our coffee and food will become a favorite to all the
customers and there is no way they will not love our taste since
we are giving our best shot. Our best efforts are sure to meet
desired results.
· Our business is just what the market needs. We are catering
exactly to customers requirements.
· The owners and management of the business are able enough
to run the business smoothly and ensure all profit goals and
other aspects of the business are met efficiently.
· The demand for coffee will remain consistent as has been in
the past and present, with no changes in consumer behavior
whatsoever.
· All the coffee lovers in US are our target market, men,
women, young, old alike.
· All the inventory and raw material we use in our processes
will be available and at the same rate as now for the whole year
so as to not affect our business operations.
· Banking interest rates for the loans we might have to take will
remain constant thus not affecting our annual cost.
· All the resources we hire will be honest to the business and
share our commitment to the objectives and goals.
· Our costs will not exceed the estimated costs for the year
· There is no competitor competing us as of now
· Our suppliers will also be honest and committed and will share
our vision towards the community cause.

By Wednesday everyone should attempt to enter the information into MS Project, expand on any points that you feel are necessary and we will as a team decide how to move forward. Project Charter V 2.0 Project Scope Statement Project Name Fill The Cup Project Number 1 Project Manager Prioritization 1 Owner(s) Statement of Work—Project Description and Project Product The Cup will be a coffee shop that will be in a major city or town that will allow community members and people that are less fortunate can come in and have a coffee or something to eat. The way we will accomplish the project is by using many resources like real estate agent, are construction team, and other necessary steps that we need to take to get the project underway. Too start the building process for the community we first need to figure out where we want to have the company built in so the team will have to discuss where they want to have it in and why we would want it in that city. Also we need to make sure that the building we choose is the right dimensions. Need to make sure that we find something that will fit our budget. When we find the right city to build the coffee shop we will need to make sure that the area will get the right amount of attention to the company and build a foundation. So when speaking to the real estate agent we need to make sure we tell her what specific details and what we need to have within inside
  • 3. the building. Once the land is picked we need to make sure we put down a deposit so when do not loose it and we can start building right away. First when we start the building process we need to make sure to get the necessary permits before building because we do not want any issues while building. The building process should start no later then January 24,2017 because we need to open the coffee shop in a timely matter. We will start with the exterior of the building process and complete that officially before starting the inside. The outside building should be done no later then April 17,2017. While doing the exterior we may have a few workers inside too start working on the interior so we can have business up and running by the middle of April. When that is all complete we will have the construction team come in and install and the gas lines and electrical lines, all the necessary equipment to have the inside up and running. We want to make sure that we are doing this in a timely manner because we do not want to prolong the process of the building. Once the company is open for business we need to make sure that we have many things that promote are company so we have the right people come in and see what the coffee shop is like. We want to be welcoming and have the right attitudes so they feel like they belong in there and want them to keep coming back. Project DeliverablesThe tangible outputs for Fill the cup could be many different objectives to follow. You want to make sure that we are starting the building process in a timely manner because you want to be the best, and have your company open for business so you can beat the other competition out there. The services that we will be providing are for the less unfortunate can come into the building be able to get warm and have a nice cup of coffee with a lower price then most places out there that charge an arm and leg for coffee. The first big- picture item that I will have for the company “The Cup” would
  • 4. be advertisement all over the city were me and my team will be opening the company and that all are welcome for the grand opening, and have different give away so people will come back to your business.1. A building that is 6,000 to 8,000 square feet to be able to seat enough people in the building2. Making sure before the building is open that you have the air condition and heat working so when its cold you have warmth and when its hot you have cold air.3. Necessary supplies to ran a coffee shop for example coffee pots, coffee filters, fridge’s, blenders, everything that would make the business run smoothly.4. Also you need furniture so customer can sit and feel welcomed into the building, enough chairs and tables to fix at least 60 to 80 people at one time.5. Advertisement outside of the Coffee Shop showing that we are opening for business and everyone is welcome to come in and try are brand of coffee.6. Having different Menus so the customer can look at it when they are sitting at the table. Also behind the register have huge signs showing what the customer can order the type of drink7. We will also serve different types of pastries if anyone is feeling hungry and want to have a snack.8. Employee’s have to be respectful to ever customer that walks into the store even if the employee is having a bad day.9. Give the customer what ever they ask for because you want to make them happy and satisfied with The Cup.10. Computer Center: customers are able to use internet access that do not have the ability at home too. Project Objectives Total Cost & Time The total annual cost of the ‘Fill the Cup’ project is estimated to be $750k which includes the fixed costs like location, building cost, inventory and variable costs like manpower, marketing and branding costs etc. The project is estimated to be completed in 12 months’ time duration. Quality Objectives The objective of this project is primarily to provide community services through our cafés and we want to serve our customers
  • 5. and community and pay back to them by collaborating with community centers in United States. We plan to acquire a space of approximately 6000 to 8000 square feet where we would create a community center that serves coffee and food to people too. We are targeting to help people who do not have anywhere to go to, including youth; hence a lot of needy people would find free meals at our café. We will impart training programs, create jobs and provide basic necessities to help those in need. Since we aim to make it a community driven project, we do realize that ‘quality’ factor needs to be very high. Our quality objective is to provide meals to at least 10,000 people on monthly basis by generating revenues of at least $1000k annually which is 25% higher than our total estimated cost. We also aim to create at least 100 jobs at our cafe that will be open by the end of the year. Our goals towards are objectives include: · Meeting our set targets on time and in accurate manner so as to meet our vision · Making the best use of the resources we have without any wastes. This includes our human resources as well as material ones. · Create jobs which provide employee fulfillment and satisfaction so as to minimize the poverty impact and unemployment from the society · Train the staff and community so they can work towards our objectives and being more community driven. · Ensure it remains a CSR project without losing track Project Assumptions Following are some assumptions in our project: · Everybody understands and relates to the cause of our project like we do. This includes our customers, team, management and community in general. · Government and no external party would have any issues with us for creating a profit plus community service business and they have no objection to our profit plus community help mode
  • 6. of operations. · We have assumed that acquiring space will not be a hurdle so we can expand our business and cafes as and when required. · Customers would support us more than other competitor cafes because we are aiding the needy and helpless so we can enjoy an obvious competitive advantage. · We will be able to break even in a year’s time duration and meet all the costs incurred easily. · Our marketing strategy will prove to be fruitful and will help bring us business easily. · No other business like this would open up during this timeframe to compete with us so we will have a clear monopoly. · No natural calamity will affect our business during this time like flood, tsunami, earthquake etc. · Political and economic conditions will not have any impact on our business for example an economic recession cannot come. · We will have enough profits by the end of first year to support our community service cause · Our coffee and food will become a favorite to all the customers and there is no way they will not love our taste since we are giving our best shot. Our best efforts are sure to meet desired results. · Our business is just what the market needs. We are catering exactly to customers requirements. · The owners and management of the business are able enough to run the business smoothly and ensure all profit goals and other aspects of the business are met efficiently. · The demand for coffee will remain consistent as has been in the past and present, with no changes in consumer behavior whatsoever. · All the coffee lovers in US are our target market, men, women, young, old alike. · All the inventory and raw material we use in our processes will be available and at the same rate as now for the whole year so as to not affect our business operations. · Banking interest rates for the loans we might have to take will
  • 7. remain constant thus not affecting our annual cost. · All the resources we hire will be honest to the business and share our commitment to the objectives and goals. · Our costs will not exceed the estimated costs for the year · There is no competitor competing us as of now · Our suppliers will also be honest and committed and will share our vision towards the community cause. Each deliverable will be measured based on the following criteria with guidelines around what is approved and what will be rejected. This document is to be utilized as a guide and can be customized to meet certain deliverables as needed. Any changes in timeline, budget or any specs need to be agreed on by all parties.
