Personal Statement
Experience
I have previous experience of clerical, administrative and financial work. I currently work for Income
Savings Ltd, where I am required to do general administrative duties as well as supporting the management
team in complete their duties. I am required to type letters to be sent to both clients and agency partners
whilst also liaising with both over the phone, answering all inbound calls and making outbound calls as and
when required. My composure and customer service is essential as the company works on a referral basis
and so ensuring customer satisfaction is key to ensuring not only retaining business but also potentially
increasing business also. I organise meetings for the management team and also take minutes of meetings.
I manage the company’s client database to ensure data is correctly captured, filed and up to date. When
supporting the management team I am required to draw invoices for clients, make sure weekly payments
have been received from clients and payments have been made to both Agencies and clients for referrals.
In this role I have gained valuable experience in how to manage customer expectations and also how best
to communicate with clients and also the most effective way to manage my time. Constantly improving my
communication skills has led to me bringing many new customers to the company. My eagerness to learn
has allowed me to manage client’s expectations, by providing them with account illustrations and example
invoices without the support from the management team.
Qualifications
I have a high standard of Numeracy and Literacy. I use numeracy on a daily basis within my work when
dealing with invoices and making basic calculations when dealing with the petty cash. When dealing with
client invoices I need to ensure that the hours are correct, the rates of pay and also the expenses is of the
correct amount. I need to then work out for the client how much tax they are required to pay after
deducting their expenses and salary. I also use literacy daily as I am constantly in communication with
clients and agency partners; writing letters for late or missed payments, sending emails to agency partners
about new referral schemes and also checking through client and agency contracts.
Knowledge/ Skills
My current role highly stresses the importance of customer relationships and so due to this I have
developed my telephone skills and manner to ensure that I get the best customer satisfaction and meet our
client’s expectations. I approach all customers in a positive manner and liaise with people from various
backgrounds and professions. I am required to discuss with them matters relating to their financial state
and also personal situation to identify what is the best suited product for them. In my current role I use a
whole range of systems which also including Microsoft Word, Office, Power Point and Excel and am
required to create many documents including customer invoices, presentations, introduction letters and
also expense sheets. I have to draw up many invoices and expense forms for customers in relation to their
Ltd Company. I am then required to send this information to the client and ensure that only the client has
access to their information. Due to the sensitive nature of the role I have to ensure that I am careful with
client information and ensure security checks are made when any customer calls the office.
I have the ability to organise workload and work under pressure to ensure deadlines are met, operating in a
highly pressurised environment. I have a passion for achieving good results. I make sure that at the start of
my day I am clear about what the goal is; I then begin on the most urgent task, reviewing what is most
needed doing next on an on-going basis. My planning is based on careful estimation of the workload and a
large margin for error to ensure that I am never overstretched. In my current role I have to ensure that all
customers who have made contact with the company have had a call back by a member of the team, if not I
am required to call them back to go through all relevant services that they require. It is my responsibility to
ensure customers have been called and requests have been completed as I am the first point of contact for
the customer. Having to follow through on all calls is very demanding and ensuring I organise the calls to
the relevant departments and also chasing up the calls from the most urgent allows me to complete the
task. Also making use of the various resources I have available to me such as Outlook allows me to get
reminders and contact the relevant member of staff to find out whether the task has been completed. This
is very challenging and also provides the best satisfaction as it gives me a real sense of achievement which
motivates me to do well and exceed not only my managers expectations but my own high expectations.
I have the ability to be flexible within the working environment. I have the ability to work effectively as
part of a team, lending support to others to achieve common goals as well as making a positive
contribution to wider initiatives. I work very closely with my line manager and was required to organise a
meeting for him however I had to ensure that he was available and other members of the team were also
not using the offices at the time as the client who was visiting was one of our top 3 clients. I was only
informed in the morning so I had to organise my workload so that all important tasks were completed and
delegated my manager’s workload to free up his diary for the meeting. Being able to effectively
communicate with other members of the team and explain to them what tasks had to be completed
allowed me to arrange and organise a successful meeting. This gave our company good brand recognition
as the client went on to provide many successful referrals. After this I spoke to the manager about
providing me with some training so that next time I would be able to either complete or manage his work
load so as to make it easier for both him and other colleagues as they would not have to handle the
additional work.
Personal Attributes/ Qualities
I have the ability to communicate effectively with colleagues, clients and senior management with a good
standard of interpersonal skills. I have the ability to communicate clearly verbally and in writing. In my
previous role I had to regularly send out letters to patients to ensure they were aware of their
appointments and also any new promotional service offers we had available at the clinic. I also
communicate with many clients on a daily basis in regards to their invoices and expenses and also
communicate this back to colleagues who deal with their accounts. This has enabled me to strengthen my
communication skills and also my team working skills as it allows us to complete client requests with ease.
When clients have become difficult I have been able to manage the situation by maintaining a calm
demeanour and helpful attitude which allowed me to calm the situation and also provide the client with a
solution to their problem.
I am very organised and this allows me to manage my daily tasks as well as additional work given to me by
the management team. Prioritising the important tasks and making full use of the resources available has
allowed me to become much more efficient and productive.
