2. Key theme
This presentation will:
• Cover methods of managing workloads within a workplace, including
- the Function Fox system that is used at Blueprint Design
- comment on the Design Request Form that I used in the
Marketing Office when working at South Downs College
• I will also discuss a method which has helped me in managing tasks
both at home and in the workplace.
3. Time management is important
but not always easy to implement
“It's the process of arranging and controlling how
you spend your time, both in and out of work.”

4. How do you manage your time?
Where do you work?
Within your offices, how do you keep track of what you’re doing
each day/ week?
Think about how you do this as a team and for your personal
workload.

5. A Lynda.com worksheet
When I first started at Blueprint I was set up with a lynda.com
account and in turn set certain relevant playlists and videos to
watch when I had a spare moment.
The one that has stayed in my memory and really helped change
the way I think was called ‘Time Management Fundamentals’.
6. I’d like you to watch this clip and complete the quick
task. It feels a little forced but it gets you thinking.-

9. Managing workload
Business Personal
Can you each tell me about the methods that your business as a whole uses?
And how do you keep track what what jobs you’re allocated?
Is there a central process? Do you know what each other is doing?
10. Managing workload
Usually within a company, a Team Leader is in-charge of managing the
workload – new projects as well as how existing projects are completed.
Common methods to manage projects include:
• The use of a whiteboard somewhere visible by all staff
• An excel spreadsheet, that again can be accessed by all of the team
• A notepad/ chart book
• An online system, internally managed
- examples of this are the Design Request Form at South Downs College
and FunctionFox at Blueprint Design
11. Focus
I’d like you to fill in a worksheet from Lynda.com that helped me to focus and
feel more organised by ‘clearing my mind’

21. • Mike and Matt use the recorded times to check
estimates for clients are accurate and therefore
ensure that Blueprint is going to make a profit.
• FunctionFox has other uses too, for example the blog
entry which is used to record conversations and can
track emails.

23. Do you have any questions?
• Do you think FunctionFox would work well in your
office?
• Did you like the presentation being broken up by an
activity?
• How could I improve my presentation technique?
(one thing you liked and one thing I could improve).
Editor's Notes
Get the audience to answer the questions in turns
I’d like to show you a clip.
Now at first it seems ‘cringey’ for want of a better word, however I would recommend it to you all
– don’t sit down in a rush to watch it, give it time.
Get a timer ready on my phone.

A few slides ago I asked you to think about the methods used within your workplace of managing work.
Can you each tell me about the methods that your business as a whole uses?

(It sounds like a yoga technique but give it a chance!)

• I find the use of FunctionFox hugely helps me to monitor what my daily/weekly tasks are. It’s a live list which mean I constantly know the latest information. Both Matt and I can check what I’m working on and how long it’s taking me, and also monitor my progress/ swap current projects based on client needs.
• I find I am a lot more productive through using FunctionFox.
• Factors within my new office environment are also improving my time management, for example having different and positive team around me, and being surrounded by design and designers to bounce ideas off.
