DIRECTORY INFORMATION BUTTONS
UNITED STATES (state) / INTERNATIONAL (country)
The fastest way to retrieve directory information is "by state" or "by country." Click on "by state" or "by country" to get a list of state or country names. Click on the triangle next to a state or country name to get a list of all clubs in that state or country. Click on a club name to get directory information for that club.
This procedure will take longer due to massive downloading. Click on "by club name" to get a list of alphabets. Click on the triangle next to a letter to get a list of all club names beginning with that letter. Click on a club name to get that club’s directory information.
HINT: It may be necessary to scroll down to see data. Use "back", "forth" buttons on top, left of the page to navigate through pages.
MEMBERSHIP REPORTS BUTTONS
OBJECTIVE: To transmit data to us electronically by keying membership figures and member data. This is accomplished by completing the data entry form(s) and clicking the “close report” button.
While data is being entered, the form is considered “OPEN”. Once all data has been entered, the form must be “CLOSED”. It will close all associated member transactions. The closing of the form indicates to us that the form is complete and ready for processing. It is, also, what generates the final product.
IMPORTANT:The report and all its associated member transactions are not recorded into the Lions master files until the report has been closed.
You must have your user name and password ready. Your user name will be your 6 digit club number, and your password would have been emailed to you when you sent an email to it@lionsclubs.org
You must have your user name and password ready. Your user name will be your 6 digit club number, and your password would have been emailed to you when you sent an email to it@lionsclubs.org
There are three buttons associated with completing the monthly membership reporting process. They are:
ENTER MEMBERSHIP REPORT - This is how you access the data entry screens.
B) VIEW MEMBERSHIP REPORTS & TRANSACTION - This is where you can review and modify data until the report is closed.
HINT: You can determine whether the report and transactions are closed, open or cancelled in this view.
C) PRINT MEMBERSHIP REPORTS – This is where the final product, the official monthly membership report, is located. This is the report that is printed, saved or e-mailed. Only reports that are closed are displayed in this view since that is what generates the official form.
HINT: This is the place to retrieve last month’s closing membership figure before keying the next report.
To assure viewing of up-to-the-minute data, it is a good policy to refresh or reload the views associated with letters B and C above. This is especially true after modifications to reports and/or member transactions have been made. To refresh, click “view” from the menu bar and choose “refresh” or “reload”.
When you scroll down to the next section, here is where you key in the total from last month, plus number of new, transferred in, or reinstated members.
IMPORTANT: Do not attempt to enter any figures in the “Members Before Deductions” and “Members at Close of Month” categories. It is impossible to do so. They currently show zero. Many clubs erroneously enter these figures in the “dropped from membership” box. These figures are calculated automatically after clicking the “submit” button at the bottom of the screen. They are based on what you enter in the membership totals section located in the middle of the form. Also, remember that in most cases, the report and join months will be one month earlier than the current calendar month.
If you enter a figure in the new, transfer, reinstate, or drop boxes of the membership totals section, it must correspond to the number of member transactions you key for that category. If they do not balance, the report will not close. When this page is complete, review your data and click the “submit” button at the bottom of the page.
If transmission is successful, your data is redisplayed with the calculated totals. There are buttons in the left margin that allow you to enter add, drop and change of name/address member transactions to your report. If you do not have any member transactions to key, go to section 4 of 4 (closing the report) of this document.
ENTERING MEMBER TRANSACTIONS
Minimum, mandatory entries are, once again, outlined in gold. The comment box should pertain to its specific member and is limited to 24 positions.
A) Click a member transaction button in the left margin.
HINT: For transaction resulting in additions to your membership, first choose the country field to ensure the proper address formatting.
B) When data entry is complete, click the “submit” button at the bottom of the screen. If transmission is successful, receive the “Thank you for your submission” page. If an error message is displayed click the “back” button from your browser bar to modify data in the form.
C) After success, click the “return to form” text.
D) You may continue to key member transactions by following steps A through D of this section. You may review or modify data by clicking the “view membership report” button in the left margin.
HINT: Review/modify transaction(s) before reviewing/modifying the reports since the report contains the “close report” button.
The button titled “View/Print Annual Activities Reports” is where the final product is located. After opening the report, by double clicking its name, you may print, E-mail or save the document from this view.
