2. What are the EMSCNJ Annual Reports?
• Annual reports have been completed since the
Council existed. The statistics contained are
vital to the leadership of the Council when
presenting the Council to legislators.
• The reports keep the communication lines
open to the proper persons of our squads and
so everyone knows where the resources are to
help our communities in times of need.
3. Important Items
• Pop up blocker must be turned off to access
and use the Membership Database
• Use one of the following browsers: Internet
Explorer 11.x or higher; Safari 8.x or higher;
Chrome 38 or higher
• Please do not ‘save’ the link nor your
password to your browser
4. Entering the Database
• Go to: http://production.njsfac.org
• Do not try to log into the EMSCNJ website
itself – the Membership Database has its own
log in area (see below and next slide)
• Click on Program Areas, then Membership, the
Update Data Management

• If you don’t remember your log-in or
password, please have the senior line officer
(captain/chief) or senior administrative officer
(president) email the Membership Secretary
at njsfac.membership@gmail.com to request
the log in, password, and/or a password
change. This cannot be done by text or phone.
• These are the only people who can request
and receive the log-in and password
9. Squad Directory Page
• The first page is the Directory Page. This
information must be updated each January for
the new year. The top part can be edited
directly:
• Squad Name, building address, mailing
address ---- all fields including Meeting
Information. Hit Submit Changes button to the
right.
11. Squad Officers
• Squad officers are listed on the bottom of the
Directory Page. These fields are filled in from
the “View/Edit Members page”
• To make changes, click on “View/Edit
Members” button
13. Changing Officers Information
• Scroll down to the officer’s name, make any
changes needed, i.e. phone, email, CPR and
EMT certification dates, and if “riding Yes or
No”
• Click into the box for Squad Exec Title, Squad
Ops title and choose the appropriate title
• If a Delegate or Alternate, click into the
Delegate? Box and choose. Delegate 1 will
appear on the Directory page.
15. Members Information Con’t
When completing the Members section, please
be that the member contact information is
correct and complete, i.e. name, phone/email,
address
• Check for whether the member is “Riding –
Yes or No”
If the member is an active RIDING member, then
they need current EMT and/or CPR certification
dates!

• If the member is not “Riding”, certification
dates will not be required
• If a Delegate/Alternate, please be sure to click
into the Delegate box and choose one
• If a squad officer, please be sure to click into
the squad officer boxes (Squad Ops /Squad
Exec) and choose the appropriate or closest
title.
18. Members Information con’t
• When adding a member, click the Green “Add
New Member” button and a blank record will
appear. Fill in the appropriate blanks
• When deleting a member, click the Red
“DELETE” button
• Click the return button to return to the
Directory page
• All members marked as “Riding” must have
current CPR and/or EMT certification dates
19. Vehicle Page
• From the Directory page, click on View/Edit
Vehicles. Add new vehicles via the Green “Add
New Vehicle” button, delete old vehicles via
the Red “DELETE” button
• Be sure the correct license plate and VIN
numbers are noted on the records
• Click the return button to return to the
Directory page
22. Annual Reports
• To enter your squads annual statistics, click
the View/Edit Reports button from the
Directory page – there is a message near the
button that explains that this is the way to
submit your Annual Reports
24. Annual Report Data
• Enter your squads PREVIOUS year’s data:
• Total Calls
• Total Miles traveled (if you do this)
• Total Volunteer hours (if you are 24/7
volunteer, start out with 35,040 = 24 hours a
day x 4 people per day x 365 days)

• Complete the Communications area (phone,
dispatch frequency, etc.)
• When complete, hit the Submit Reports
button.
• Please send an email to the Membership
Secretary (njsfac.membership@gmail.com)
and advise her your reports are complete

Some updates are “in the works”
• A message when reports are submitted that
will pop up thanking the user
• A separate page so the squad can see their
Delegates and Alternates in one place
• An email will be sent to the squad
captain/chief and the District VPs when the
SUBMIT button is clicked advising that the
squad has completed their reports
29. Cards & Certificates
• Once a squad is 100% compliant (dues paid,
inspections up-to-date, and reports complete
for the year), the squad can print out the
Delegate cards, Member cards, and Annual
Squad certificate
• From the Directory Page, click on Squad
Documents – from there these items can be
downloaded and printed by the squad
31. Additional Information
The Membership/Directory database is an
active, live database. Updates take effect
immediately. The database can (and should be)
updated all year long as you get new members
and update members’ certifications
In January, enter your previous year’s statistics,
be sure your Squad Directory page is updated
with your new officers, and submit your reports.
