Goal Setting for Time Mgmt What do you have to do this year? ….this month? ….this week? ….today? ….this hour? ….this minute?
Factors that disturb you Emails MSN Office mates Telephone Noise from the neighbouring office Office environment Working Conditions
Planning your time Plan about 70% of your time Leave 30% for the unexpected Go through it at beginning of each week Do a Brainstorm/Mindsweep (GTD) Categorise (to-do list) Prioritise (to-do list)
Exercise 1 Do a mindsweep – clear your brain and find out what your aims and objectives are. Write down your vision, goals and objectives – using the above and make a list.
Wheel of life (exercise) Categorise what you want to achieve Rate how well you doing in your current life Identify where you need most improvement In those areas: use more resources, spend more time on it
Getting Things Done (GTD) You don’t manage time but you manage your resources to gain more time (remember, everyone has the same amount of time) Prioritise according to your goals, deadlines, objectives and overview Have the 50,000 ft overview Choose your category
Categorise Mindsweep Random list of to-dos, ideas and thoughts Put things in your inbox Categorise Put it into your “folders” Folders e.g. from GTD: 50,000 feet 40,000 feet 30,000 feet 20,000 feet 10,000 feet Maybe someday
Inbox / In-tray Anything that needs to be doing, put it in your inbox/in-tray Everything in there needs attention but does not block your mind Try to empty your inbox weekly Put e.g. business cards in but when processing your inbox, put them in a filing system, e.g. outlook
Folders / To-do lists 50,000 feet: similar to life goals/vision 40,000 feet: similar to career goals 30,000 feet: important goals 20,000 feet: more imminent goals 10,000 feet: imminent goals Categories/Tasks: things to do & to get done See it like an “Eagle” – imagine you were at 50,000 feet, what is important there and what is important on the ground.
Someday Maybe…. Anything you want to do in life but won’t do in the next couple of years , e.g. learn golf, climb Mount Everest, go on a world trip, see the Pyramids in Egypt
The problem with lists… … you need to refer to them and use them Use outlook TASKS and categorise them into: Personal Restaurants, then alphabetically by city Good reading, then by book title or author …
Covey’s Approach - PRIORITISE
Exercise 2 Categorise your mindsweep, make a list (see exercise 1) Fill in the Wheel of Life (coaching) Prioritise those task / categories (to-do list)
